Executive Summary
The intention of writing this report is to provide the facts of the institution of attachment and narrative of
all the activities undertaken during the attachment period. I was attached at the Ministry Of Interior and
Coordination Of National Government for a period of three months to gain practical skills and a working
environment in the ICT department. The major activities I undertook during this period were: Computer
repair and maintenance, computer cleaning maintenance network administration among others. The
major benefit I experienced is satisfaction while working there. The management was friendly and was
willing to assist me in any way. There was also team work which helped me a lot during the attachment.
Industrial attachment is a requirement in partial fulfillment of the course in Diploma In Information
Communication Technology. The objective of this report is unit’s mandate rest’s on the Ict functions
which entails ensuring and maintaining ict standards within the Ministry. It further involves facilitating
rapid national economic growth and development through appropriate application of ICT for sustainable
performance, improvement, increase in productivity, communication and provision of quality Services.

1.0 Historical Background to industrial attachment
1.1 Introduction
The Ministry’s functions have evolved and its operations restructured over time to address emerging
issues. However, it has remained decentralized to the grassroots in order to provide a framework for
quick interpretation, dissemination and implementation of Government policies. Currently the Ministry
oversees the administration, development and security of 8 Provinces, 287 Districts, 476 Divisions,
2,516 Locations and 6,841 sub locations as well as other administrative officers seconded to line
Ministries.

1.1.3 The civil registration department historical background
Registration of births and deaths was introduced for the first time in Kenya in 1904 and applied only to
Europeans and Americans. In 1928 the current act CAP 149 was enacted. This act only provided for the
compulsory registration of the deaths of Africans but not for their births. After independence in 1963,
compulsory registration of all births and deaths was extended in phases to other areas beginning with
Nairobi and Nyeri on 1st March 1963. On 1st September 1971 it became compulsory to register all births
and deaths occurring in Kenya."
British Records: The British government recorded births, marriages and deaths in Africa 1895-1965.
The records are at the National Archives in England, record class RG36. The records cover locations in
Africa and Asia.
The indexes include surname, forename, relation, year of event, type of event (birth, marriage or death),
record set (a TNA reference number). Ministry of interior and coordination of National government has
been in existence for more than 19 years, having been officially opened by His Excellency Daniel T.
Arap Moi on 2nd July 2002 at Bureti Sub County since then it has grown serving as the headquarters in
Bureti Sub County. Its main mandate is to provide title deeds, death and birth certificates.

1.7 FUNCTIONS OF THE ICT UNIT
1. Developing and implementing an appropriate ICT policy for the Ministry
2. Advising the ministry on matter related to ICT

1.8 Objectives
1. Productivity: To enhance productivity and reduce costs by improving the accuracy, timelines and
speed with which the government functions can be met.
2. Information availability: To increase and improve information and data availability, thereby assisting
the ministry in decision making and providing services to the Public.

4. New technology: To evaluate new technology to determine if it will provide benefits to the Ministry
in achieving its business objectives.

CHAPTER TWO
2.0 INTRODUCTION
This chapter gives detailed information of all activities I was involved in during my industrial
attachment. I have used diagrams and powerful description to explain all my undertakings at the
Ministry of Interior and Coordination of National Government.
2.1 THE ACTIVITIES THAT I WAS INVOLVED IN DURING THE
ATTACHMENT PERIOD
2.1.0 Computer Repair and Devices Maintenance
This is one of the main activities I carried out during my industrial attachment.
Objectives
i.
To understand the different computer hardware and software Platform
ii.
To be able to explain the functions of different hardware components and their Relationship
iii.
To understand the common problems in computer hardware and Software
iv.
To be acquainted with the practice of helpdesks and maintenance as practice in Industry
2.1.1 Computer Hardware
I was exposed to the computer hardware, that is the physical components that are tangible and seen that
are involved in the functioning of a device e.g a computer. They comprised of the computer's monitor,
motherboard CPU, primary storage i.e. RAM, expansion cards, power supply, optical disk, secondary
storage, keyboard and the
mouse. The motherboard was defined in the central circuitry board making up a PC.It is where the CPU,
main memory and other components that make up a functional computer are built on. The CPU - Central
Processing Unit is a component in a digital computer that interprets computer program.
A good processor is chosen with regards to the:

 Speed which is determined by the clock
 Amount of cache memory where by the higher the value, the faster the CPU will be.
When choosing a motherboard for a computer these factors are put into

2.1.2 Operating system
An operating system is a collection of computer features and functions that control the hardware and
software sharing of a computer. Windows 10 was the main operating system
Used. An operating system executes the raw system and customer input and replies by giving and
maintaining tasks and internal system resources as a work and facility to customers and programs of the
of the computer system. Example of OS include: windows, Linux.
2.1.3 HELPDESK
A help desk is an information and assistance resource that troubleshoots problems with computers or
similar products. Corporations often provide helpdesk support to their customers via a toll-free number,
website and or email. Helpdesk services are provided mainly by the desk-side team. Desk side team also
known as desktop support is responsible for the desktops, laptops and peripherals such as PDAs.The
help desk will assign the desktop team the second level desk-side issues that the first level was not able
to solve. The network team is responsible for the network software, hardware and infrastructure such as
servers, switch backup systems and firewalls. They are responsible for the network services such as
email, file and security. Similarly,help desk services include the server team which is responsible for
most, if not all of the servers within the organization. Finally, we looked at help desk documentation

such as use of job cards, job completion reports, invoices, request forms, service contracts, service level
agreements and
2.1.4 Computer Cleaning Maintenance
After l was through with the previous day's exercise through helpdesk, I went into cleaning maintenance
of computers by blowing. This is essential because computers have moving parts such as fans on their
CPU’s, power supplies, video cards and in some cases, on the case itself. Each fan is important for the
smooth operation of the computer because they keep the system cool. Should dust (which forms a paste
when in contact with dust) prevent it from spinning, can cause those parts of the computer to overheat
and become damaged. We were provided with blowers and detergents to use and also protective gear to
protect against inhaling of dust. Computer cleaning procedure:
a) Open the case by using a head screw driver to unscrew the screws on the back of the computer.
Slide the panel towards the back of the computer.
b) While the computer is switched off to prevent short circuiting.
c) Blow off dust using a blower.
d) Close the computers and that marked the end of the the day's activity.
2.1.5 Computers Assembling
I was assigned a computer to assemble .I was provided with the new computer components and I was
instructed to test whether the computers were working after the process. I sought clarifications on the
areas which were not clear from my supervisor. She also assisted me in a great deal on how to identify
and troubleshoot various computer hardware problems for instance on how to test whether the power
Supply of the computer is working well. Apart from that she also gave me explanations on the various
computer technologies. I then assembled the computer components back. After which l tested by
switching on the computer in order to ensure it was working well and indeed it was perfect.

Challenges Faced
i.
Government institution are slow in procurement process hence I could not access some tools.
ii.
Health risks as activities like blowing throw dust which are health hazard.
iii.
Time constrains as we were allocated many activities in a day.
iv.
Little exposure during our lessons at school played to our disadvantage
2.1.6 NETWORKING AND SYSTEM ADMINISTRATION
Objectives
 To be able to understand various Network technologies
 To be s able to describe the various hardware networking devises.
 To be able to describe the various understand coherently cabling Installation Procedure
We started by getting the meaning of networking; this is a means of connecting two or more
computers so as to share files,printers,application and other computer related resources. The key goals of
networking being to increase manageability, security, efficiency and cost effectiveness over nonnetworked systems:
 Infrastructure: cabling systems and connection Devices
 Network system soft wares :network operating Systems
 Network ready application Software
 Management aspects: Network administration
The types of network include LAN, WAN, MAN and the internet at large. Whereas the network
architecture include peer to peer networking, server-based networking and terminal-based networking.
The cabling technologies include the coaxial cables, optics fibre.The networking device we looked at in

detail include routers. The four major types of communication media (cabling) available for data
networking today
Included:
a) Unshielded twisted pair (UTP)
b) Shielded or screened twisted pair(STP or ScTP)
c) Coaxial and Fibre Optic(FO)
2.1.7 E-MAIL/INTERNET ADMINISTRATION
This involved mail account registrations to various members of the staff, enabling internet services to
laptops and desktop machines for the staff by reregistering the mac address of the laptops requiring
wireless connectivity for security reasons.

CHAPTER THREE
3.0 CHALLENGES/EXPERIENCES AND SOLUTIONS
1. No remuneration given: It was expensive for my daily upkeep i.e. commuting daily to and fro my
place of residence, meals, rent and other expenses since I did not have any form of remuneration at the
end of the month.
Solution: I had to depend on my parents for the upkeep.
2. Weather: The organization is located in an area characterized by a cold weather and frequent rains.
This was a challenge to me since it became difficult for me to cope up with such kind of weather that I
was uses to.
Solution: I had to adapt to the weather condition through changing the kind of attire that could fit the
situation around me.
3. Lack of cooperation: Lacked enough cooperation from some few members who were not willing to
assist me in terms of giving me the necessary support that I required during the period. I was
underestimated by some of my clients who thought I could not handle their problems effectively.
Solution: I was patient with the clients and tried to explain myself to them and in other cases I had to
call the ICT staff to help.
3.1 Areas for Automation

Human resource management system
This system is supposed to manage all the employees in the organisation.This could be replacement of
the current manual way of doing things that leads to loss of essential employee data. The system can be
designed using Visual basic or Java programming language that will suit the programmer in question.

3.2 Advice To Future Attachees

The attachees should be ready to learn and take the job seriously because the period is used to
apply the theory acquired in class to the practical world.

Personal intergrity, prayer, discipline and hardwork are the backbone to success in life.

The attachees should choose a place in which they have specialized to go for attachment in order
to suit their careers.

Future attachees are advised to take attachment very seriously because it contributes to one's
formation into an effective prospective employee.

Finally, I would urge future attachees to be good ambassadors of our institution.
3.3 Recommendations
The ICT department should continue in helping students acquire practical experience in their field of
studies so that as they complete their studies they will be confident in the job marked. The attachment
period will help student discover new areas that they have not learned in class and this will help them
build up on what they already know.
The ICT department should also emphasize more on practicals, especially in software and networking
and the general knowledge of the hardware. Software students should learn more on how to program
using other peripheral devices i.e. bar code reader as they are used more in the market to make software
products more user friendly and easier to use hence more market for their skills.
I would also like to recommend to the college management to build good relationships with industrial
institutions where the students could be attachees to avoid cases of some students being extremely late in
securing an attachment opportunity or worse missing attachment opportunities.

The department should continue getting in touch with students to keep track of progress made in
securing attachment or at their places of attachment therefore avoiding cases of lateness while assessing
students or some students not being assessed or assessing when
some have already completed their attachment.
3.4 Conclusion
During this period I was involved in team projects and this resulted in improving my communication
skills, being more involved in team work which also culminated in effective communication. I also
learnt how to cope up with people of different cultures, economic and social backgrounds also it was an
eye opener what to expect in the near future when dealing with clients and the work.
The attachment session is a significant period to the trainees due to her exposure to many learning
opportunities where one learns “What is not taught in class”. This period not only acts as a period of
learning to the trainees’ students but also as an eye opener for career opportunities and also life changing
experiences as they change the general perception of students of life after college. It helps them to
prepare for the real job market and other future developments not only in their careers, but in life as
well.
