NZCP404 NZIMT Scenario MANAGEMENT PROJECT MONITORING AND CONTROLLING NZCP404 The New Zealand Institute of Management Training (NZIMT) Conference Scenario background The New Zealand Institute of Management Training (NZIMT) is a non-profit business with the aim of increasing the knowledge and skills of managers through education and training. Membership stands at 325 but is declining and without new members won’t survive financially. It has initiated this project to increase membership and to ensure the long-term sustainability of NZIMT. As a result of an analysis NZIMT has decided to run a ‘Technology in Management’ national conference/exhibition. It is assumed there will no other major events on at the same time as the conference. The Project • • • • • The conference will run over 3 days. A web site will run in parallel with the conference. The aim is to enhance the image of NZIMT and increase members by 10-15%, increase awareness of the institute as well as produce enough profit to fund a publicity campaign later. The conference will start 12 months from the start of the project - this date is fixed. There is one month after the conference has ended to collect data and follow up attendees. The complete project is expected to take 13 months, starting as soon as possible. The project has been initiated. Four team members and a project manager have been assigned to planning the conference; they work full-time on the project for the next 13 months. The NZIMT committee will provide the governance for this project and approve any changes to the project. The key milestones are: 1 ▪ End of stage 1– planning, costings, schedule completed. List of possible speakers, services, vendors (exhibitors). Start planning for web site, marketing plan. ▪ End of stage 2 – organised all accommodation, travel options and facilities. Decide venue and book, services and programme. ▪ End of stage 3 - Web site ready for testing. Vendors & speakers confirmed. ▪ End of stage 4 – complete marketing/communications plan and material. Web site complete. ▪ End of stage 5 – registrations open, email all participants, speakers. Evaluation methods complete. Arrange travel for speakers. Confirmed catering. NZCP404 NZIMT Scenario Estimated Budget • • 3 Initial funding is $200,000 but must be paid back from the conference. In addition, a $20,000 donation will come from another firm. Total costs cannot exceed $220,000. A $30,000 profit is expected. To achieve this at least 100 paying conference delegates and 50 exhibitors are required to attend.
