Preparing a Performance Improvement Plan
Instructions for Managers
You have determined that an official discussion between you and your employee
regarding improvement in work performance or behavior is necessary. As the
manager, you should set a meeting with the employee to get the process started
and run through the following stages ensuring full documentation is kept.
Step 1: Meet with the employee to describe the behavior or performance issue.
 Indicate expected behavior and work on solutions to correct issues.
 Discuss resources and assistance that will be made available to help.
 Outline future consequences of failing to correct the behavior.
 Review the timeframe for improvement and any planned meetings.

Step 2: Ask the employee to acknowledge the plan.
 Provide a copy of the performance improvement plan to the employee.
 Ask the employee to acknowledge receipt.
 Provide HR with a copy of the plan (if applicable).

Step 3: Observe and document any changes in behavior.
 Keep proper documentation of any behaviors or changes/improvements.
 Outline the key points of any progress meetings with the employee.
 Meet with the employee regularly to review progress.
Step 4: Summarize and proceed
 After the allotted timeframe has passed, review progress and decide the next course of action.
Do's: Be prepared, objective, consistent, specific, and factual. Stay calm. Suggest solutions to the issue at hand. Give
the employee a chance to respond. Remember this may be used for legal purposes later on. Make sure the
employee understands the issue and consequences.
Don'ts: Wait, always address issues as soon as possible. Attack the employee's character or personality. Speak in
generalities. Include your opinion or emotional feedback. Leave it open ended or leave room for interpretation.
