Sap R/3 systems are client systems. The client enables you to run several business
operations at the same time in one SAP R/3 system.
Client is, in organizational terms, an independent unit in the system. Clients have their
own data environment and therefore their own user master and transaction data,
assigned user master records and chart off accounts and specific customizing
parameters.
So that you log on to SAP R/3 system, you must have a master record created for you for
corresponding client. For reasons of access protection, you must enter a password when
you log onto the sap system. The system does not display the password you enter.

SAP R/3 system is available in several languages. Use the language input field to select
the logon language for each session.
You can place your









Command Field: Use command field (hidden as default) to go to applications directly by
entering the transaction code.
Standard Tool Bar: the push buttons in the standard tool bar are found on every screen
in an SAP R/3 system. Any push buttons that cannot be used in a particular application
are grayed out. If you place your cursor on a push button for a while the system displays
a quick info text that explains the push button function.
The Application Tool bar: shows which functions are available in the current
application.
A Tab page: provides a clearer overview of several information screens
Status bar: the status bar displays information on the current system status, for
example. Warning or error messages
Menu bar: the menus shown here depend on which application you are working in.
Title bar: the title bar displays the functions that are available for the user.

Selecting Functions





You can call functions in the system as follows
o Menu Option
o Favourites
o Entry in the SAP easy Access menu
“/n” ends the current session
“/i” delets the current session
“/oCV01N” opens a new session and branches out to the transaction specified (CV01N)
By entering “ search_sap_menu” in the command field, you can display menu paths for
the desired SAP transaction.

Trigger:
Once a Enquiry is approved for further execution, the Non Chargeable Project structure to be created in
the system. The Project structure thus created will be used to record inputs from concerned department
to create quotation.

2.0 Create Non Chargeable WBS Structure
Trigger:
Once a project is identified for planning and execution, the same needs to be created as a project
structure in the system. The Project structure thus created needs to be changed project during its
execution.

Create Network and Internal activity:

In the project builder from the templates area click and select the Network
and
activities
, drag and drop it to the relevant WBS element where the Network and activities
needs to be attached.

Maintain required information while creating networks as follows:

Plant – Plan to be maintained as per inputs required from required location
MRP Controller – To be maintained as per the departments

Create Network activities by dragging(as shown in above screenshot) from the templates area
Network, Activities viz. Intenal activity, Cost activity to the required WBS element/Network.

competent authority to review and set the project structure to “20 -REVW” - Reviewed

Trigger:
Project builder is one stop tool to maintain and create the project structure. Network activities can be
easily assigned to different WBS elements here simply by dragging & dropping the activity to the
required WBS element. It can be noted here that it is much easier to create WBS elements in T.Code
CJ01. Hence, it is up to the user’s convenience to use which ever transaction he’s comfortable with to
attain the same result.
In project builder on can create and change the project structure viz. WBS elements, network and
activities by dragging and dropping the individual objects from the templates area. Project planning
board in the project builder gives the users among other functionalities scheduling and confirming
activities.
BUSINESS PROCESS PROCEDURE OVERVIEW
To create the entire project viz. Project definition, WBS Elements, Network and Activities from one
transaction by the user responsible.

Trigger:
Internally approved increase in project funding.
Business Process Procedure Overview
This document describes how to modify the project budget with a funding supplement, Return or
Transfer. A supplement to a project (versus a supplement in a project) will add the budget increase to all
levels of the project’s hierarchy. Thus the entire project’s budget is increased. The distributed and
distributable proportions from higher to lower level WBS elements remain unchanged. A supplement
may be made to either the overall or the annual budget levels. This entry will create an audit trail of all
changes to the original budget.

Timekeepers, employees and/or managers need to maintain employee time sheets. In SAP, time sheets
are maintained using CATS (Cross-Application Time Sheets).
Business Process Procedure Overview
This document describes the business process procedure for maintaining time sheet data. Project
Managers, Enigineers, HOD’s and/or input data into time sheets via the CATS screen. Time data is
stored in the CATS database and is available for reporting.
Tips and Tricks

Enter times (F5) icon allows you to access the specified “Time Sheet: Data Entry View”

Settings (F7) icon allows you to modify your Data entry profile settings (i.e. General, Time, Persons,
Worklist, Default, Checks, Cost accounting variant, and Workflow)

Entry View.”

The settlement is run manually for a single project, a WBS element, or network.
Business Process Procedure Overview
The organization’s business process requires that project charges be settled. This process may be part
of a month-end accounting close or run as frequently as desired. A project manager or a project analyst
can choose an individual project/WBS/Network to settle which will cause a posting of revenue and/or
expense from the project to another receiving object.

For example, in capital projects, the project costs for the period

It is recommended to first run most settlement in test mode with the detail list option selected. This
should give you a detailed list of any items which need to be changed or corrected before actual

Enter the WBS Element No. Press Enter.

Select the WBS Element.

Go to Menu to Menu Bar  Edit Option  Status  Closed (Refer Fig. below)

This will change the System Status from Technically Competed to Closed

