Assessment Requirements Case Study It is well known that the internet has changed the way many businesses compete and operate. While most media attention is directed at either new industries or the most popular e-commerce websites, the World Wide Web has also impacted many smaller and lesser known companies, many which do not make the news headlines. However, since the vast majority of business are classified as small businesses, there is much to be learned from the way they go about the website design process. The Picture Frame Guys is a typical example of a small business in an industry made up of many smaller players. This case study reviews this company's efforts to become a leading e-commerce player through the development of a best-in-class website. The case study details the company’s search for a website that could meet their current and future business requirements without breaking the budget. Background Prior to the internet, the custom framing industry was one that was extremely localized. This was due to the fact that any given framing store’s potential market was limited to a few square blocks from the retail store's location. The only way such a business could grow was either by attracting more customers to the same store or by opening new stores in other geographical markets. Both of these options presented significant challenges. In the case of attracting new customers, a successful marketing campaign could only increase sales by 10% or 15% and only for a limited time. While this increase in sales would certainly be beneficial to the bottom line, it would have a limited benefit on long-term financial results as at some point all marketing campaigns come to an end. Regarding the second option, opening new stores could attract entirely new customers. However, finding new locations required months of research to find the right location, significant upfront capital outlay for furniture and fixtures, and necessitated the need to manage multiple locations, including the hiring of employees. Furthermore, it is quite likely that competitors already existed in any new geography so it would take time to attract new customers away from these established retailers. In contrast, selling picture frames via the internet had the benefit of expanding the company's potential market from a single neighbourhood to anybody with an internet connection. Furthermore, an internet site would be open 24/7 and would not require employees to staff. Student Assessment Guide: ICTICT603 Version: v19.1 Page 10 of 41 Developed by: ACBI Approved by: DoS Issued: Aug 2019 Review: July 2020 ICT60115-Advanced Diploma of Information Technology Student Assessment Guide: ICTICT603Manage the use of appropriate development methodologies While this sounds straightforward enough, the solution was full of its own challenges. First, selling picture frames online required specific coding challenges associated with selling custom-made goods. Second, being a small business with limited funds. Industry Challenges Selling frames online is tricky because every single item sold has a different price. Depending on what type of moulding a customer purchases, what size of product is purchased, and which accessories such as glass, matting and glazing are selected, the price varies accordingly. Calculating a frame's price is difficult enough in a traditional frame shop. Doing it online in a way that the information is presented to the customer in an easy-to-understand and straightforward way is not trivial. Therefore, the Picture Frame Guys needed to find not just an internet company that could produce attractive websites, but one that could handle the complex coding requirements associated with pricing. The Search for a Website Development Methodology Given these challenges, the Picture Frame Guys broke down the search for a website development methodology into two major activities. First, an extensive internet search was completed to identify the top 5 potential methodology. These were found by completing a Google search, followed by thoroughly reviewing each methodology website. This included learning about each development design philosophy, checking their portfolio and reviewing at least 3 examples of methodology. Second, a detailed and well thought out requirements document was put together. The goal of this document was to list all design and functionality requirements in detail. The idea was that the more detailed the requirements document, the better quality work would be received. One the quotes were received, instead of simply selecting the lowest price, the Picture Frame Guys team went through each quote in detail. They scored each company on a variety of points and recorded this information in an Excel matrix. Based on the matrix, the top 3 companies were contacted for references. Following these calls, the top 2 providers were asked to have a face-to-face meeting with the Picture Frame Guys. The goal of the face-to-face was less to evaluate technical expertise and more to see which of the two company's would best fit the Picture Frame Guys' culture. Website Design Firm Selected After going through this rigorous process, Visual scope Studios was selected as the design partner. There were three reasons that this company was chosen. First, Visual scope's portfolio had both depth and breadth in terms of design and technical capabilities. Every site in their portfolio was well laid out, attractive and informative without being overpowering or busy. The company did not develop sites with a one-size-fits-all approach. They had also created several e-commerce sites. Student Assessment Guide: ICTICT603 Version: v19.1 Page 11 of 41 Developed by: ACBI Approved by: DoS Issued: Aug 2019 Review: July 2020 ICT60115-Advanced Diploma of Information Technology Student Assessment Guide: ICTICT603Manage the use of appropriate development methodologies Second, the company had demonstrated expertise in search engine marketing and SEO. In fact, it turned out that Visual scope was one of the leading SEO firms in the country and this was a capability that the Picture Frame Guys would be requiring at some point in their online growth efforts. Finally, the website design team at Visual scope was a great fit for the Picture Frame Guys culture. The designers were relaxed and easy-going. They could answer questions clearly and concisely without using industry jargon. It is also interesting that Visual scope was the lowest cost of the proposals received. Conclusion Once the business was awarded to Visual scope studios, the project took 8 weeks to complete. This included a technical validation, user acceptance testing, integration testing, and site launch. The overall process was smooth and completed on schedule. The result was a website that was far superior to any competitor's. The key take-away for small businesses wishing to improve their online presence is to put time into the process upfront. By doing their homework and clearly understanding what they wish to get from a website upgrade, they will be in a better position to drive the quoting process and thereby find the design partner that best meets their needs. The stages are: The Planning Phase: Firstly, the purpose of the website is determined, whether it is a commercial website, educational website, business, entertainment or organizational website. The interactive functionality and requirement of technical support is also defined. The planning stage sets the foundation of a website and an initial requirement analysis helps out in the long run. The Specification Phase: The requirements are assessed, and target audiences are determined. The web design layout, pages, specifications and site navigation types are analysed. Large business websites may require further assessment of technical specifications. Some competitor websites are also reviewed. The Design Phase: The content and organization of the website is decided in this stage and website prototypes are created and frameworks are reviewed. Prototypes are important for developing the user interface as well as testing the site navigation. In this phase, the website gains the idea of its appearance as the overall graphic designs are created and reviewed. The Development Phase: The content of the website is added in this phase. All the required features and functionalities are developed using HTML, CMS, CSS or PHP by the programmers. The end user documentation has also to be generated by the coding team. The Testing Phase: After developing the website, both automated and manual testing is done for analysing the functionality of the website. A complete testing plan, including data processing time, navigation time and load time, is essential for creating an error free website. Other tests include resolution testing, stress testing, cross browser compatibility testing and scalability testing. It is moved to the web host after selecting a domain and registering it. Domain Registration: The domain of a website is registered through an accredited domain registrar. For keeping the registration valid, it should be kept updated before the expiration date, failure of which may lead to loss of domain name. Website Hosting: For making the website reachable via the World Wide Web, the website needs to be hosted. A server provides space and internet connectivity for storing the pages of the website and making it accessible to other connected computers. Depending upon the required bandwidth and disk space, a fee needs to paid to the web host at regular intervals. Types of hosting: Considering the type of database server software, operating system and scripting software, the best suited hosting service is used. Different types of hosting include shared hosting, dedicated hosting, reseller web hosting, virtual dedicated server (VPS), managed hosting service, etc. Services like cloud hosting, clustered hosting and grid hosting can also be used. The SEO Phase: The most important part of the lifecycle of a website is to get listed in major search engines. The website has to be submitted to the prominent search engines followed by Search engine optimization, Search engine marketing campaign, promotion of the website and result monitoring. Analysing the website is vital for improving the value of the website. The ranking in top search engines has to be evaluated and web traffic monitoring is started. Based upon the Search engine position of the website SEO has to be done accordingly, which includes developing keywords, embedding into the web pages, creating site maps, etc. The Maintenance Phase: Maintaining a website is the most crucial phase of its life cycle. Regular revamps are necessary for sustaining a competitive edge. Applications and contents need to be regularly updated. Constant grooming is required for keeping the website “live”. A lot of work is required to be done like SSL Certificates renewal, updating security patches, Frameworks & Tools Update, DDoS Attack preventions, etc. (Netlicensing, 2013) Student Assessment Guide: ICTICT603 Version: v19.1 Page 16 of 41 Developed by: ACBI Approved by: DoS Issued: Aug 2019 Review: July 2020 ICT60115-Advanced Diploma of Information Technology Student Assessment Guide: ICTICT603Manage the use of appropriate development methodologies iv. You must acknowledge and cite your sources. E1. Discuss AGILE and RAD current industry development methodologies. Answer in 100-150 words. AGILE Agile incorporates multiple methodologies based on iterative and incremental development. The best solutions evolve through collaboration between cross-functional teams. This process has been chiefly used in software development to improve speed to market and productivity. Traditionally, development processes have been more linear and rigid, which heightens the risk of creating unsuitable tools that are out of date at the time of delivery. The agile process allows customers to see tangible results at regular intervals throughout product development and share related feedback to drive further enhancements. Critically for the fast-paced travel industry, the agile approach speeds up development processes and provides the capacity to pivot and change plans within an ever-changing landscape, while also keeping to tight deadlines. The Agile values: Individuals and interactions, working software, customer collaboration, responding to change. Pros: Emphasis of modern techniques, highly adaptive, constant customer feedback, and allows for iterative development. Cons: Potential of increased technical debt, difficult to make additions within an iteration, and minimal emphasis on documentation. (Arsenault, 2017) RAD Student Assessment Guide: ICTICT603 Version: v19.1 Page 21 of 41 Developed by: ACBI Approved by: DoS Issued: Aug 2019 Review: July 2020 ICT60115-Advanced Diploma of Information Technology Student Assessment Guide: ICTICT603Manage the use of appropriate development methodologies Rapid application development describes a method of software development which heavily emphasizes rapid prototyping and iterative delivery. The Rap model is, therefore, a sharp alternative to the typical waterfall development model, which often focuses largely on planning and sequential design practices.
