CHAPTER 1
The Problem and its Background
Introduction
Attendance plays an important role in every organization. It helps
determine whether or not a business can be successful in the future.
And through the attendance monitoring, the employees will also help
train themselves to become more punctual, thus resulting to a day-today task being fulfilled on time. Attendance will also serve as a basis in
deciding which employees are most likely to stay in the company for a
longer time.
Other than being a basis on determining the possible effects for the
company and its employees, attendance also serves as an aspect that
can affect the relationship of its employees.
Some employee might
fabricate their attendance records which would be unfair to others
because the ones who fabricated their records would earn more or just
the same as the others without rendering the same time or amount of
work that should’ve been done. This kind of situation greatly affects the
work environment and can change the mood or work attitude of anyone.
Also, the attendance of the employees will serve as a basis on
computing the employee's’ pay slip more accurately. Thus with a proper
attendance monitoring, the generation of every employee's’ salary would
be made in an accurate way.

Background of the Study
Mega Rock Land Security Agency is authorized by the Philippine
National Police Supervisory Office for Security and Investigation Agencies
(PNPSOSIA), the supervising authority in Civilian Security Command. It
is also registered with the Department of Trade and Industry.
Established in 1993 the agency can boast of being one of the most
efficient, aggressive, highly motivated and innovative in the industry. Our
security guards are carefully selected and have undergone extensive
training on all aspects of security and safety. A continuous training
program is being implemented by the agency for its security guards to
make them cope-up with the day to day problems being encountered in
security and safety business. The MEGA ROCKLAND SECURITY
AGENCY is healed by MR. TEODORICO P. BAYNOSA, General Manager,
who with the guidance and counsel of experience in the field of security
Industry founded this company.
The manual operation of the Mega Rockland Security Agency is
facing different problems. Like the late submission of DTR which
affecting the delayed salary of personnel. In this project, automated
system will be developed which shall eliminate all the problems
associated with the manual process.

Statement of the Problem
Main Problem
The main problem of Mega Rock Land Security Agency is their
manual process of encoding and recording salary and late submission of
DTR because of the manual recording of attendance of the employee and
sends it to the main office personally.
Specific Problems

Manual submission of Daily Time Record of the HR per companies.
Due to delay submission of DTR, payroll computation takes more
time.

Manual encoding and printing of employee’s payslip using MS
Word.

Manual encoding of employee’s information like name, SSS
number, license number, position, address and contact number.

The current system sheet that they use has no error handling or
validation
functionality
that
results
to
inconsistency
of
the
information.

The current system that they use has no security features like
login security, anyone can access and manipulate.

Objectives of the Study
General Objective
To develop an Online DTR and Payroll System with easy, userfriendly, secured, responsible and functional systemthatfulfills the needs
of Mega Rock Land Security Agency.
Specific Objectives

To develop a system that can submit the DTR online.

To develop a system that can automatically generate payslip.

To develop and implement a system that can easily search and
filter employees information for payroll.

To develop a system that can validate and error check different
information like employee name, number of hours worked and all
the encoded data.

To develop a system that has secure the records of employees and
have more manageable files.

Scope and Limitations of the Study
Scope
The study focuses on designing, creating, testing and improving of
the Daily-Time Recording and Payroll System. The users can access the
system through their laptop, desktop and cellular phones, it will be
responsive on any medium. The Forum part of the System can be
accessed even if the user is outside the network of the organization;
he/she just need to have an internet connection. The proposed system is
also equipped with the capability of automatically creating a report file
which includes reports to be relayed to the finance and accounting
system, Can create a forum or board for announcements and event
scheduling, can send messages between users and admin.
All Company assigned will have their own account with an access
level. The HR Manager of Mega Rockland Security Agency will be assign
as Administrator of the system, which can access the high-level features
of the system, while the other users have a limited access to avoid
tampering and protect the important data of the company

Limitation
The Online DTR and Payroll System cannot be access without
Internet connection. The employee’s salary will not be sent through
Automated teller machine (ATMs) or cheque, No other currencies are
computed in the system but Philippine Peso only. No data will restore if
the system accidentally crash, close or the internet connection was
disconnected. This proposed system is only applicable and can only be
used by the management of Mega Rockland Security Agency.

Theoretical Framework of the Study
Mega Rock Land Security Agency is currently using MS Excel, to
record their Payroll and Time card for the Attendance of their employees.
The time card holds all the information about the employee. After a
month, all the time cards are stored in a file cabinet alphabetically. Then
an attendance report is printed and submitted to the main office for them
to check.
The system’s purpose is for the benefit of the organization as it will
help improve the punctuality of employee, speed-up work and will help
produce a precise computed employee salary. Another aspect that the
organization will benefit from is that the reports of the employees’
attendance and pay slip won’t be fabricated. The process in getting each
employee’s salaries would then be more reliable. In this manner, every
result will be produced in an easier and faster way, thus, will increase
the productivity in the organization.

Significance of the Study
To the Company
Mega Rockland Secuirty Agency will greatly benefit with the
proponent’s study because they don’t need to hire any programmers to
do the work in their system. The proponents will develop their system. So
the proponents ask for the support of the company. This will lead in
lessening the expenses of the company which can be used in their other
expenses. They will also find it easier to do task with the system like the
biometrics wherein they can assure that their time keeping system is
secure.
To the Proponents
The proponents will gain knowledge about the business system
existing inside a Finance office, with this; skills in system analysis will be
improved and also it helps the researcher to have an idea about payroll
system and develop their own system. They can learn about the
proponent’s system and at the same time develop a greater system with
the help of the proponent’s study.
To the Future Researches
This will be serving as basis or reference to the future researchers
whose studies are related to the system. They will enhance their potential
in the preparation and validation of the work system.

Definition of Term
Operational Terms

Payroll - total amount of wages and salaries paid by a
company to its employees.

Employee - This refers to a person who is hired to provide
services to a company on a regular basis in exchange for
compensation.

Gross Pay - This refers to total of an employee’s regular
remuneration
including
allowances,
overtime
pay,
commissions and bonuses, etc. before any deductions are
made.

Deduction - This refers to business expenses or losses which
are legally permitted to be subtracted from the gross revenue
of a firm in computing its taxable income.

Daily Time Record - This refers to a record of how a
person’s time has been spent. It is used to calculate pay,
asses the efficient use of time, or charge for work done.

Report - This refers to give an official account or statement
of as a treasurer reports the receipts and expenditures.

Salary - This refers to wages received on a regular basis,
usually weekly, bi-weekly or monthly.

Loan - This refers to funds transferred from one party to
another as payment for purchased goods or services.

Days Worked - This refers to the actual days worked by an
employee, often well in excess of those stated in the contract
of employment and sometimes without the payment of
overtime.

Basic Pay - This refers to monthly rate divided by the
number of working days multiplied by the number of days
worked.


WAN Based (Wide Area Network Based) refers to services or
applications that are accessible over a computer network, which
typically consists of two or more local-area networks, that are often
connected through public networks, such as a telephone system.

LAN Based (Local Area Network Based) refers to services or
applications that are accessible over a computer network in which
devices share a common wireless link or communications line to a
server.

Database - large group of integrated data that can be retrieve and
manipulate to produce information.

PHP - general-purpose programming language originally designed
for web development.

AJAX - also known as "Asynchronous JavaScript And XML". A
combination of web development technologies used for creating
dynamic websites.

JQuery - a concise and fast JavaScript library that can be used to
simplify event handling, HTML document traversing.

XAMPP (Cross-Platform, Apache, MySQL, PHP and Perl) is an
open-source and free web server package, which was designed to
help developers to review their work using their computers even
without connection to the internet.

