Demonstrate a student's ability to use technology in a workplace environment. Demonstrate a student's ability to work and communicate with a variety of other people in the workplace. Demonstrate a student's ability to act professionally. To enable the students to learn and be perfect in recording, preservation and file handling in the process of work. 1 To apply the knowledge and skills of records management. To acquire knowledge and skills in relation to the course. 1.2 Location of the Organization ICEA Malaba is found in the URA premises close to DTB bank in Malaba one stop border post. Malaba, Uganda is a town in Tororo District in the Eastern Region of Uganda, on its eastern border with Kenya. It sits adjacent from Malaba, Kenya, across the Malaba River that marks the border between Uganda and Kenya. 1.3 Mission of the Organization What we stand for and where we are going, to protect and create your wealth. 1.3 Vision of the Organization At ICEA LION, our overarching vision is to be the leading Pan African provider of insurance and financial services. It guides and informs everything we do 1.4 Field Organizational structure ICEA Lion Malaba is based on a small organizational structure as it is just a branch from ICEA head offices Kampala, 2 Sales Branch manager Field Agents Accounting and finance Underwhritting team IT Department 1.5 Tasks carried out by the organization ICEA General Insurance deals with following: 3 Motor Insurance: Motor Insurance can be divided into two groups, two and four wheeled Vehicle insurance. This has an extension of COMESA Yellow Cards that covers COMESA regions and this was mainly issued online that real gave me a lot to do. Health insurance: Common types of health insurance includes: individual health insurance, family floater health insurance, comprehensive health insurance and critical illness insurance. Travel insurance: Travel insurance can be broadly grouped into: individual travel policy, family travel policy, student travel insurance, and senior citizen health insurance. Home insurance: Home insurance protects a house and its contents. Marine Insurance: Marine cargo insurance covers goods, freight, cargo, and other interests against loss or damage during transit by rail, road, sea and/or air. Commercial Insurance: Commercial insurance encompasses solutions for all sectors of the industry arising out of business operations. Accident Insurance Theft Insurance Property Insurance CHAPTER TWO INTERNSHIP TRAINING ACTIVITIES 2.0 Introduction This chapter comprises the activities of the organization and ones in which the internee was attached. 2.1 Work Carried Out By Department. The department was dealing with the comesa yellow card which required IT skills. The Yellow Card is essentially a Regional third party motor vehicle insurance Scheme that provides third party legal liability cover and compensation for medical expenses resulting from road traffic accidents caused by visiting motorists. Besides offering third party liability protection to the insured or the driver whilst in a foreign country, the COMESA Yellow Card Scheme also offers emergency medical cover to the driver and passengers of the foreign motor vehicle involved in the traffic accident. The COMESA Yellow Card Scheme is currently operational in twelve COMESA Member Countries and one non COMESA member Country. The Countries in which the COMESA Yellow Card is recognized as a valid insurance cover are; Burundi, Democratic Republic of Congo, Djibouti, Eritrea, Ethiopia, Kenya, Malawi, Rwanda, Sudan, Tanzania, Uganda, Zambia and Zimbabwe. It is also widely used by non– COMESA motorists particularly from SADC countries visiting or transiting through the COMESA member countries. Over 180 insurance companies in the COMESA region are involved in the issuance of Yellow Cards and operations of the scheme. 4 This QR bar code has a verification link as seen below. 5 2.2 Tasks Assigned I was right at the heart of matters as I need to deal directly with employees and customers who have technical problems such as trouble with their email accounts, forgotten passwords or viruses. Typical Technical Support responsibilities include: 6 • Installation & configuration of a company’s computer hardware operating systems and applications. • Maintenance and monitoring of computer networks and systems. • Logging the queries of customers and employees. • Analysis of call logs in order to discover any underlying issues or trends. • Diagnosing and solving hardware or software faults. • Testing and evaluating new technology. • Performing electrical safety checks on the company’s computer equipment. • Responding to call-outs in a timely fashion. • Following instructions, either written or in diagram form, in order to set up a system or fix a fault 2.3 Experience gained: During my internship training, I learnt and gained skills which enabled me to do office work well and successfully. Some of the experience I gained are as follows: Time management: • I learnt how to manage time as it was told by the supervisor to arrive at work before 8:00am and departure at 5:00pm. • I gained skills of co-operating with others that is to say, interpersonal relationships. • Problem solving: • Due to good personal relationship habits, I learnt to know that official problems are solved with handled by consulting and also through team work with other staff members. This resulted in to better performance of the office work. • 7 Communication skills: • This was acquired through engaging with a number of people, good co-operation among most staff members of different ethics, speaking different languages. I acquired both good oral and written communication skills as I interacted with many different people. Interpersonal skills: • I was able to improve on my listening skills through sparing time. • I learnt how to work with people in the stress free environment without being criticized and blamed all the time. This was achieved by the guidelines given time by the field supervisor. Self-confident: Self-discipline, record keeping and also friendliness was maintained at the work place. Filing of the documents: The filing of the documents was done daily and in this case, I have gained the experience of filing the documents in different files for example in the box files, spring files and fastener file. Dressing code for the office worker: I gained the experience of dressing. The office worker does not dress anyhow like just a business Man. 2.5 Challenges encountered during Internship training: During my Internship training at ICEA, I encountered several challenges These challenges were personal, organizational, work group, community and others and they include; Adopting to the working environment. Due to the fact that I was new in the organization, it took some time to get used and cope with the working environment. I was not used to this culture and society this was a big challenge. Noise pollution at the office. 8 The organization being located in a noisy area along the road was not suitable for the work which required a lot of concentration for. Boredom During the field attachment, the intern had to endure boredom especially towards the end of the period. This was due to the monotony of the work being carried out and there was little to learn except for the fact that there was an expectation for the work load to increase at a later date. Bureaucratic tendencies The organizational challenge the student encountered during the internship training was the length reporting lines. This limited the training in the way that it leads to unnecessary delays and therefore some targets and plans by the student ended up falling short as well as inappropriate feedback. This was solved by the specifying the supervisor that I was expected to report to. Hunger: This was actually a big challenge to me some days I used to lack money for lunch and yet food was not even provided in the office. Language barrier: Malaba being a one stop Border post (OSBP), it receives a number of clients from different tribes and nationalities who speak different languages hence making communication difficult. Limited Access: The space that I used to carry my field work was a bit small because much number of internees were admitted and there the agency which included the registry staff members. Lack of transport: 9 The distance from work place to where my residence was too far yet transport was not provided. Solutions: Food or breakfast should be provided to workers to avoid laziness. Transport allowances should be given to workers such that they can report at work in time. Previous documents to be numbered well to reduce on work load and misfiling of documents. The Organization should provide enough petrol in order to avoid power interruption. 10 CHAPTER THREE CONCLUSION AND RECOMMENDATION 3.0 Introduction This chapter presents conclusion and recommendation for Internship improvements. 3.1 conclusions I believe that Internship training has sharpened my thinking in terms of doing practical work that depends on theory, because there were a lot of things I met while interacting with people at work. Work placement in records Management really helps students to put into practice what they have learnt in theory, before they qualify as records managers. In this very profession, I learnt that challenges cannot forego in rendering of services. I conclude that Mbale Municipal Local Council is a good Organization. 3.2 Recommendation • Installation of more computers in all departments to avoid too much paper work and staff inconvenience of secretaries and other departments. • Provision of breakfast and lunch so as to avoid the tendencies of being out of office. • Recruit more staff in department of Human Resource so that clients are worked on in time. • Motivating clients both officially and technical staff by proving incentives to allow them perform their work effectively. • Extend provision of transport allowance to the staff to minimize late coming and absenteeism. 11 12
