System Description:
Introduction:
Spice inventory management system is a web-based inventory management application designed and developed
for small, medium and large corporations. We covered almost all the features that an ideal inventory management
system should contain. Our developed software is applicable for both barcoded/non-barcoded inventory controls.
We have just deployed our product for commercial purpose.
Our Spice Inventory has three layer authentic procedure for security purpose. These are as below

User name and password login as usual.

Pin code and randomized security code which ensures that the user has pin code and security code which
randomly generates at every login.

Homepage:
Spice Inventory management has a homepage that shows messages about the system. This homepage is
customizable according to the need of our potential clients. But for the time being we have only showed
who has logged in and which department he/she is from.

Vendor:
Vendor or Supplier is responsible for the delivery of products to the party who orders them. Here we have
implemented an automated procedure for enlisting vendor information to the software which ensures
detailed description of a vendor.

New Vendor:
This is a page layout of a vendor which describes features of a particular vendor.
Vendor List:
This features all the list of vendors with search filtering option. One can edit and delete vendors as demanded.
Search option developed with auto suggestion of names which saves a lot of (Vendor list).

Purchase:
Users of this software can make purchase order to the desired vendor they want to. It contains vendor
information and ordering of items to be performed.

Purchase Order:
This page contains vendor, required product, model, quantity, discount, price and sub-total accordingly.
Shipping address is required to ship products to the address mentioned. Obviously the address is
dependent on the warehouse selected.

Purchase Return:
Purchase return option is a feature describing the amount of product to return to the vendor whom it was
purchased from. It has return date and order ID must be selected in order to see the purchase order ID.

Purchase Invoice:
Purchase invoice shows all the orders with Order ID, Order date and with a printable invoice which shows
all the details of the ordered product.

Order History:
Order history presents all the purchase orders performed with received flag or pending flag. A product
must be received before it is entered into the inventory product information. Searching can be done with
either by `status ‘or by `order date`.

Customer/New Customer:
Every inventory product would be sold to the potential clients it holds. This system has a panel of
customers where customer data can be saved for future use or products can be sold to the non-existing
customers instantly with few of the information while selling.

Customer List:
Shows the list of existing customers of an inventory. Customers can be edited or deleted. Searching of
customers can be done by name with hinting (suggestions) or Phone(identifying uniquely).

Sales/New Sales:
Sales order to the customers contain customer name who the product will be selling to, order date,
shipping address of a customer, sales order consisting list of multiple different products with vendors,
product type, model, unit price and quantity.

Sales History:
Sales history with sales date and sales order ID searching. Sales history contains history of every sales
performed with sales order ID, customer name, sales date, ship to address etc.

Sales Exchange:
Sales exchange for exchanging damaged products purchased by a customer. Feature is as
below.

Inventory:
Inventory demonstrates the information on the status of the current stock, products that have
to reorder, Product entry, product list and damage entries of stocked products.

Current Stock:
It shows the current stock of the inventory products featuring vendor, product name, model,
quantity, purchase price and sales price which are enough to determine the current stock
status.

Reorder Products:
Reordering of products determines the level of product quantity if it declines the minimum
order quantity of products that we inserted while making a new product entry to the
inventory. If any product goes under minimum quantity value than it is required to order that
product. Reorder product table only shows if it meets the above mentioned criterion.

Product Entry:
It is required to enter all the information relevant to a product such as product type, model,
made in, picture, prices, product description and all other attributes of a product.

Product List:
List of products with detailed information and searching includes vendor name to search for a
product.

Damaged Products:
Damaged products entry includes purchase order ID, Product ID, quantity and damage date.

Material Receiving Entry:
Material receiving entry transforms the pending purchased order status to the received status.
It goes to the final purchased products after it gets received.
Store Requisition Entry:
Store requisition for the users of inventory to use material for their internal purpose.
Material Return Memo Entry:
Materials are being returned by the inventory users after the remaining part of the requisitioned material. There are two types of
inventory. Main inventory and used inventory. Returned materials are getting back to the used inventory. Main inventory will be
used if requisitioned material not used at all.
Journal on material receiving entry:
This is a journal voucher regarding received material that is being purchased. It contains MRR ID, date
of received material, Order ID and product name.
Journal on Store requisition entry:
This is a journal voucher regarding received material that is being purchased. It contains MRR ID, date
of received material, Order ID and product name.

Administration
Administration panel of the inventory management system. Describes users of inventory,
location, warehouses, departments, category, sub-category, company setup and login history.

Add User:
Adding new inventory users with a list of requirements. Some of them may not be important
or mandatory.

User List:
List of created users with search by warehouse list, name and department. Edit and delete
option let the users to modify.

Add Location:
Add locations as much as desired.

Warehouse/Add Warehouse:
Adding new warehouse features includes the following:


Warehouse list represents its name, address and location it resides.

Departments/Add departments:
Inventory departments adding that corresponds to a particular user of inventory.

Department List:
List of departments of an inventory with search by department, edit and delete option
included.


Login History:
Login history describes all the network communications to the software from outside users. It keeps
track of users logging in from outside.

Report:
This part of inventory describes the entire reporting pattern that a inventory system should
have.

Daily Stock Report:
Daily stock report with advanced searching option by date.

Sales Report:
Sales report with advanced search option by sales date.

Complete Inventory Report:
Complete Inventory report describes the summation of all inventory products with its prices
and has a total calculation of the quantity of products. Search option by category and subcategory of products.

Damage Report:
This report illustrates the amount of damaged product with purchase order ID

Material Receiving Report:
Material received report after the purchase order has been accomplished.
