Chair: Van Tran Vice-Chair: Ethan Enneking Committee Members: Discord: https://discord.gg/DBaJPUk Goal: Raise $5,000 to donate to provide Dentures http://asdautarlington.wixsite.com/dfna/our-sponsors Username Password Ground Rules: ● Must attend every meeting ● Complete assigned tasks by deadline (will be decided at meetings) ● Every member needs to have at least 2 sponsors by January Expectations/qualifications for committee members: ● Has experience in making and designing flyers; arts and craft skills ● Is very organized and can keep to a schedule ● Must have some free time to devote into organizing this event (if the applicant is taking >15 credit hours or has to work a lot, they won’t be able to fully commit) ● Someone with some finance background/have served as a treasurer for an organization; has good sense with money, know how to stay within budget ● Someone who has experience with planning a fundraising event ● Can contribute ideas on how to make the event better; know how to promote an event and encourage people to participate Useful Link: How to Plan a 5k Roles: ● ● ● Group 1: In charge of money along the way (Jenny) ○ Meetings on Fridays at 2pm ○ Create budget and make sure we are going over-budget ○ In charge of tickets and people buying tickets Group 2: Event Location, Date, and other logistics (Daniel, Arshya) ○ Meetings on Monday at 4pm! ○ Tasks ■ Plan out the route (we have one on website) ■ Contact the school and city to find out how to block the roads for the race and what day works ■ Contact Campus police ■ Determine Check in Process ● Create waivers ● Grab wristband and race number ■ How will we time race ■ Find and assign volunteers for day of race ■ Determine materials ● Color bags ● Start decorations Group 3: In charge of public relations (Aylin, Haleigh, The Nguyen, Nabil) ○ Meeting at Fridays at 2pm ○ Tasks ■ Create/hand out flyers (Aylin) ■ Create T-shirt Design (Aylin) ■ Create website ■ Create social media presence ■ Find Sponsorships (Haleigh, 2 each person…..have 2 sponsorships by beginning of spring semester) ■ Set up and go to other organizations meetings next semester (The Nguyen, Nabil) Tasks for first meeting: ● Assign Roles ● Set date and location ○ Contact the school ● Find a theme ● Make a list of materials ● Everyone must find 2 sponsors and 10 people to run ● Come up with a timeline/ due dates
