Action required: Office 2016 upgrade
Dear Colleague,
Your PC is still running on Office 2010 and must be upgraded to the latest version.
Office 2010 is seven years old and will be out of support soon. Please follow the below
instructions to upgrade your PC to Office 2016 before June 19, 2018. After this
date, it will be automatically deployed to your PC.
Please do not forward this email to other colleagues. The Office team is sending a
message to each user individually with the request to upgrade to a specific Office
version, which varies depending on the user.
Useful information and recommendation
 The upgrade process, depending on your network and connection, may take several
hours to complete to 1) request, 2) download and 3) install Office 2016. During
the installation you will not be able to work on your Office applications or use
Internet Explorer
 Don’t wait for Office 2016 to be pushed to you, but choose a day and time more
convenient for you
 We strongly recommend that you plan the upgrade while at a Novartis location and
at the start of your day. If you have no other option than upgrading over VPN, we
highly recommend that you plan this at the start of your weekend (ensure you are
connected to your home network and not over mobile data e.g. 3G/4G)
 Make sure your PC is running on power and not on battery. Do not shut down your
PC during the upgrade process
Office applications include
Word, Excel, PowerPoint, Outlook, Skype for Business, OneNote and Visio Viewer
How to get Office 2016
 1) REQUEST: Type Microsoft Office_2016_T_EN_02 in the Novartis Self-Service
Portal “Search Catalog” field: Click the “Add to cart” button, and submit your request
 2) DOWNLOAD: If you chose “asap” as your preferred delivery mode
(recommended), the Office 2016 package will begin downloading within the hour.
You can continue working on your PC while Office 2016 is downloading
 3) INSTALL: After download is complete, you are prompted to close your Office
applications and Internet Explorer (IE) in order to proceed with the installation
(installation will anyway be enforced after 90 minutes). You cannot work with these
applications during the installation
 Once the installation is complete, you will be notified by a pop-up message that the
migration to Office 2016 was successfully completed. Please restart your computer
 If you use Secure Mail to send and receive encrypted emails in Outlook, you must
enroll again by following the Secure Mail Registration Process
