ABSTRACT
Changes in Information Technology (IT) allow schools to utilize databases and
applications such as Student Information System thus, making the accessing of records
centralized. One of the changes that came about is the online‐based applications.
These applications improved the traditional‐ transaction processing systems. Thus,
most universities switch to the online‐based system because of its effectivity to acquire
process, store and retrieve information from the Internet. Moreover, the system is
accessible to all students’ information. Philippine Best Training System Colleges is still
using manual system and paper‐based student information system. Staff finds it tedious
in searching and preparing reports on student’s information and also laborious due to
repetition of processes done in filling and updating of records. As main goals of the
school “to generate and disseminate new knowledge and technologies that will promote
sustainable resource development and enrich the competent and effective services
geared towards efficiency and economy” the current system is inconsistent with the
asserted school’s main goals.
Chapter 1
THE PROBLEMS AND ITS BACKGROUND
In this chapter, we will discuss the background, purpose, problems, significance,
objectives, scope and limitations of the study. We will also include the theoretical and
conceptual framework that the study will be based on and the different terms related to
the study.
Purpose and Background of Study
In today’s generation most people use modern technologies to be able to serve
their clients fast and efficient, this make their job easier. Modern technologies are not
only use by employees and professionals but also by different kind of people especially
student for their studies and research.
For IT (information technology) student and professionals, they use modern
technology to simplify life to help create a new technology for improving lives within their
society, seeking new ideas in order to help. The importance of technology in the society
is demonstrated by the use of it in our daily lives.
As for school industry, many schools are turning toward automated systems
whether small or big to perform their everyday tasks instead to manual systems
because automated systems can replace the cost and time consumed in processes that
were once completed by hand while providing companies with more accurate data.
For all schools serving their students efficiently is one of the top priorities of a
business regardless of school type. Any school whether it’s small, medium, large can
achieve by using modern technology i.e. SIS (Student Information System). It is proven
that using SIS can drastically increase the schools efficiency in inputting student’s
information rather than using a manual system like paper-based works as it can serve
the students.
Since the PBTS (Philippines Best Training System Inc.) is having a large
numbers of students, this school has to adapt more efficient ways to catch up their
students. It is one of the schools in Rizal Province that is stuck to manual system
operations compare to other colleges or universities in Rizal. That is why researchers
conducted a research that might help PBTS’s status.
This school has a manual system like paper-based works causing a hard time
when updating student’s information, viewing grades and paying bills. Managing their
student’s database is also done manually. Every semester the manual creation of
various reports also made their routine difficult. Manual processing has been proven to
be the cause of slow processing, inaccurate and unsecured data, as well as data loss.
The researchers decide to develop a system which will minimize the work done
in manual approach and lessen the use of papers. Hence, this will allow the students;
school staffs and teachers ease in updating student’s information, updating their grades,
paying bills and viewing of grades.
Scope and Limitations of Study
A Student Information System is the software application that institutions,
particularly schools, colleges and universities, use to manage data regarding the
students. The system allows for online testing to be used, and subsequent online
marking and rapid mark delivery, as well as storing information regarding the personal
and contact details of the student, including their description, studies, current
accommodation, and payment methods and details for tuition.
This study will cover primarily about PBTS Student Information System’s
recording management, updating records and billing updates. This topic will focus on
their methods of operations, problems encountered and solutions that they are
conducting to solve their problems.
This study will not cover complex recording tasks because that is a job for the
schools staffs. Other topic that this system will not cover is the student and teachers
daily attendance because that’s a different system because we won’t use any SIS
hardware.
Statement of the Problem
This study aims to develop an effective Student Information System for Philippine
Best Training System Colleges Inc. during the year 2016.
Specifically this study sought to answer the following questions:
1. Is the developed system Student Information System, were useful to the
staffs, teachers and students in PBTS?
2. Is the performance of the system Student Information System reached the
satisfaction and needs of the respondents?
3. What is the level of acceptability of propose system Student Information
System as evaluated by the respondents when it comes to accuracy and
applicability?

Theoretical Framework
In this here, we will discuss about the different theories about the system that the
researchers gathered to guide them for the development of the proposed system (SIS).
Related Literatures
A Student Information System (SIS) manages student records and information. A
SIS may handle course management, scheduling, personnel records,
grades/comments, room/resource management and more. They can be used to run
complex enrollment reports, admissions, course schedules, grades and more. A SIS
helps schools manage various operations including student data, administrative, and
fundraising operations. Many SIS are web-based allowing access from any computer
with an internet connection with no additional software installation. The management of
web-based software is much more centralized and easier to keep updated. By
implementing a SIS to manage daily school needs, teachers and administrators can
save time and have immediate access to a variety of student data. These systems are
needed for all parties involved in education – parents, children, teachers, administrators,
alumni, etc. A SIS allows parents a quick and easy way to communicate with their
children's teachers or the school administration. Parents are more involved when they
receive up-to-date information about the school events, grades, school attendance,
home works etc. Teachers receive automated grade-books, reports, links to parent info,
etc. Students may access assignments and grades.
The Importance of Student Information System (SIS) - as the name implies, a
student information system exists to manage student information. Student information is
one of the most valuable resources any school has. Therefore, its management is
extremely crucial when making good decision around those students. And while some
schools may claim to store their student data perfectly, the key difference between
student data and student information is the fact that data is not organized. Student
information systems will organize student data in a way that administrators, teachers
and parents among other important stakeholders can access and interpret easily.
The function of Student Information System is to maintain the report of student’s
data, handling inquiries from prospective students, handling the admissions process,
enrolling new students and enabling online scheduling, updating student accounts,
automatically creating class and teacher schedules, handling records of examinations,
assessments, marks, grades and academic progression.
Benefits of using SIS - The SIS handle every aspect of student data right from
admission, intuitive user interface with pioneering features, smart management of
students and staff data, streamlines and simplifies everyday administrative tasks,
makes chaotic schedule stress-free and easy to manage, quick access to, data
anytime, anywhere in a click, stores, generates and retrieves accurate data of students.
Conceptual Framework
The researchers use the Input -- Process -- Output (IPO) as their conceptual
framework which guides them while undergoing the study to develop a Student
Information System for Philippine Best Training System Colleges.
