Don’t Just Work, Work Smart. cloud-based enterprise project, portfolio and work management June 2014 Agenda Engagement & Project Objectives Team Introductions & Upland EPM Live Overview Deployment Approach & Responsibility Matrix Statement of Work Deliverables Product Overview Next Steps 2 Team Introductions Customer Team Roles Executive Sponsor – The project’s executive champion should participate and support the initiative from the beginning, through go-live and beyond. Project Manager– This person partners with the Upland project manager to lead the implementation and make sure the project tasks and overall timeline are on track. Business / Functional SME’s – These resources will need to participate in initial deployment to represent their respective teams business requirements One or more Power Users – These users help make sure your project will meet the needs of the end users, including management. We also recommend that you use power users as first-line support. To fill that role, consider training these users first and then providing more in-depth training. Application Administrators– This person should be involved throughout the implementation and afterward. It’s important that the administrator understand the business processes and requirements from managers and users. One or more trainers – Trainers need to identify relevant materials from EPM Live or develop custom training materials (such as quick-reference guides). You’ll need materials both for the initial implementation to on-board new users and once the application is live, for remediation or for new functionality System Administrators– (for on-premise deployments only) this person should be involved throughout the implementation and afterward. It’s important that the system administrator understand the technical backend and archiving requirements for the system. 4 Upland Family of Cloud Work Management Applications 5 Program & Portfolio Management Project Management & Collaboration • Top-down governance process • High-level tracking & visibility • Alignment & prioritization • Capacity & financial forecasting • • • • Project and work execution Multiple planning tools Social collaboration platform Dynamic resource planning Professional Services Automation Online Timesheets & Billing Workflow & Document Automation IT Financial & Business Management • Manage cost & billing rules • Charge back & invoicing • Tight integration to CRM and Financials • Time and expense tracking • Time Tracking & Approval • Project Costing & Budgeting • Leave Time Accrual & Usage • Project Billing • T&E Expense Reporting • Define workflows and integrate with business systems • Capture content from any source & turn docs into data • Automatically index documents • IT service and product costing • Consumption and demand visibility • IT budgeting and forecasting • “What If” financial analysis Product Features Portfolio Management Align Work with Strategic Objectives Align resources and investments with strategic objectives Review your comprehensive, real-time project portfolio information to ensure effective decision making Determine optimal portfolio with budget and business constraints 7 Governance & Workflow Define multiple workflows to standardize, communicate, and enforce the governance framework across the organization Define workflows for consistent governance controls 8 Schedule Management Manage work from simple work items to large programs Deliver work on time and on budget Build Work Plans Using Web-based Planner Manage Backlogs Using Agile Planner 9 Gain Visibility and Control Across All Work Work Management Increase the effective working time Increase team members’ ownership and accountability of this process Increase control over the execution of work Managers have more visibility into work priorities 10 Manage and Track All Your Work Demands In Your Organization Financial Management 11 Financial Analysis Determine Optimal Budget Under Business Constraints Understand budgets and actual spending Compare current Investments against forecasted & actual performance More accurately monitor of finances Integrate with other Financial Systems 12 Resource Forecasting 13 Resource Management Get People Working On The Right Work At The Right Time Analyze and assign resources to work based on skill, availability, and location More accurately forecast staffing needs Understand current and long-term skill gaps View strategic resource utilization 14 Reporting Gauge overall progress of the various work investments throughout their lifecycle Identify trends over time to understand and improve your business Review comprehensive, realtime information to ensure effective decision making 15 Make The Right Decisions On Data You Can Trust Communities All Work, All Process, One Platform 16 Project Management Office Communities allow users to focus only on their data and their processes New Product Development IT Planning & Control Application Lifecycle Management Integration Connect Your External Line-of-Business Data & Applications 17 Social Collaboration Keeping Everyone Informed & Up-to-Date 18 Statement of Work Deliverables Item Quantity Considerations/Description Quick Start Implementation Services: QuickStart Build-To-Order Deployment Services Fixed cost scope Includes kick-off meeting, BTO Questionnaire workshop (Requirements and Design), configuration on SaaS, Testing Installation Services Fixed cost scope Pre-Installation meeting; Installation of EPM Live EPM Live Enterprise Annual Subscription Pilot: 25 Full Users 60 Team Members Named users Development License 10 Full User Dev/test user licenses Software: Premier Success Package Training EPM Live University Full access Premier Support Web site support plus… 24/7 Telephone Support Accelerated Response Time Live Technical Q&A Quarterly Health Checks 19 Named users What’s Included in a QuickStart?
