DEGREE CONFERRAL: SEMESTER GUIDELINE
After Drop/Add:
Students who are eligible to Graduate are notified (90+ credits)
Students Apply to Graduate through HUB or the Graduate School
Once applied – students degree checkout status is set to “Applied” – term
activation is blocked – can view their graduation status in HUB
After the Application Deadline:
Students in ineligible plans are no longer eligible to apply for graduation
Departments can view applicants in SIRI – ADV SIRI Report
Manual review of applicants in all degree types begins – departments begin
to apply appropriate exceptions to student records
Degree checkout statuses are updated to “In Review, Review Complete”
After Grades are posted & End of Term Processing Run:
CONF reports are generated – In Progress work no longer appears – CONF
SIRI Report
Departments and Auditors in the Office of the Registrar cross check applicants
reports to ensure they are still closed/satisfied and update their degree checkout
statuses accordingly (IE: Approved, Pending, Not Satisfied)
Departments provide departmental honors in spreadsheet format and a list of joint
majors for degree audit to enter
DEGREE CONFERRAL: SEMESTER GUIDELINE
After the Degree Date:
Office of the Registrar batch awards degrees (degree checkout
statuses moved to “Awarded” – notifies departments
Students listed as “Not Satisfied” will be moved to a degree
checkout status of “Denied” and notified via email
Students listed as “Pending” (IE: transfer credit/study abroad
transcripts that haven’t been received“) will be moved to a degree
checkout status of “Denied” and notified via email
Pending Deadline – 1 week Post Conferral
Diplomas:
Diplomas are now ordered prior to the conferral date
Receive and verify Diplomas – Service Indicators are held
for one year (student notified via mail)
Students are notified via email – able to pick up in the SRC
(must make a reservation)
Student are able to provide a pre-paid UPS Shipping label
Diplomas are mailed to students permanent address

TERM ACTIVATION
 Terms are activated through an expected graduation date
 If a student needs to enroll for a term after their anticipated
graduation date they need to complete a Graduation Information
Change form and a term will be assigned through their new date.
 If a student hasn’t been enrolled for more than one term, they need
to either reapply via admissions, or apply as a non-matriculated
student
 NOTE: A student may not be enrolled beyond their anticipated
graduation date unless they are listed as non-matriculated or
admitted into a dif ferent/new SBSQ program.
GRADUATION INFORMATION CHANGE FORM
 When is it used?
 When a student is changing conferral terms (Ex: updating their
graduation date from Spring to Summer)
 When a student no longer has access to HUB, but would like to apply
for graduation
 After the application deadline has passed
 Where can I find it?
 On the Office of the Registrar website – under “FORMS”

 We will also accept a request to update an anticipated graduation

Checking your Graduation Status
Should you want to check the status of your graduation application, you can perform the same initial
steps as when you applied for graduation:
From your Student Center, click the drop down box under the Academic group header and select Apply
for Graduation. Then click the Go button.
You will then see a link “View
Graduation Status” in the location
that was once “Apply for
Graduation”. Click that link.

For double degrees, five criteria must be met:
 Degree types must be dif ferent (BA , BS, MusB, BFA);awarded
concurrently
 No more than two 300- and 400-level cour ses taken (exception for
MTH)
 A minimum of 30 credits accrued beyond the full requirements of the
degree with the larger number of required undergraduate credits or
150 credits total, whichever is greater
 All requirements for both programs (including minors) are fully
completed
 Submissions of both the Application for Double Degree as well as the
Application for Degree


Early conferral of UGRD Degree – 120 total credits including Grad
 Program/Plan Information:
 Student will have 2 Stacks – an UGRD and a GRAD
 When student begins Graduate Portion of Program, must register UGRD side for
Degree Conferral
 Prevents from getting DISC row on UGRD (Discontinued)
 Diploma Information:
 Students will receive 2 diplomas – one UGRD and one GRAD
MAJOR REQUIREMENTS – JOINT MAJOR
Joint Majors
Combining the subjects of two departments (e.g., geography and economics, physics and
mathematics). A joint major does not require completion of all of the requirements of each
major; rather, it is composed of requirements from each major as determined by the student
and the directors of undergraduate studies in each department. Joint majors must be between
programs leading to the same degree.
 Example:
 Degree: Bachelor of Arts
 Major: Psychology & Communication

for all students listed as a candidate
 Earlier pick-up dates at the SRC-Capen
 Students will receive an email to sign up for pick-up day
 Same day release for pre-paid UPS requests
 Students that have changes in honor levels will be reordered
after final grades have been received.
 They will receive their diploma by mail once we’ve received it
 Students added as candidates after the pre-order will be
reordered and mailed their diplomas
DIPLOMAS
 Student Names
 Name on the Diploma must match what is on their HUB student
record.
 Students can view their name by printing their unofficial transcript or
checking Graduation Checkout Status in HUB
 All candidates will receive an email well in advance of their conferral date
informing them to review/update their name
 Must submit a name change prior to date in the email for diploma to be
correct
 Additions of accent marks or upper and lower case letters must be made
prior to the deadline date
 Any changes received after the deadline, a student will need to pay for
replacement order
DIPLOMAS
 Addresses
 Diplomas are always sent to the permanent address on file.
 Students can view/update their address in their HUB Student Center
 All candidates will receive an email well in advance of their conferral date
informing them to view their address
 Student can provide a pre-paid UPS label to send their diploma to a
different address than their permanent
 Pick up
 Students eligible to pick up their diplomas will receive an email to
reserve their pick up date at SRC-Capen
 Students must show picture ID to receive their diploma
 ONLY the student can pick up diplomas (no friends)
DIPLOMAS
 Mailing
 Diplomas are mailed via the United States Postal Service and do not
contain tracking information.
 Students have the option to provide a pre-paid UPS Shipping label
 www.ups.com or UPS Store in the Commons
 Pre-paid labels can be mailed, dropped of at SRC-Capen, faxed or emailed
to Degree Audit and MUST include the UB person number
 All pre-paid UPS labels – diplomas will be sent same day as awarded (or
received from printer)
 Provides tracking information for international students
DIPLOMAS
 Diplomas are not released if a student has a financial hold on
their record
 Diplomas are held one year after their conferral date
 After that time they will need to request a replacement diploma
 Replacement Diplomas
 Must submit a replacement diploma request form with payment
 The charge per diploma is $10.00, which must be paid in U.S. funds
by cash, check or money order. Please note, we do not accept credit
card payments for replacement diplomas
