Instructions for registration in Hora Est:
It is mandatory for Radboud university medical center PhD students to
register in Hora Est.
What is Hora Est?
Hora est is a software system used by the Radboud University and the Radboudumc to register all
PhD candidates and generate the necessary digital correspondence for thesis submission and
graduation.
Hora Est:
1. Serves PhD –students, supervisors, scientific directors, the department, the Dean and the
Registrar of the University.
2. Monitors every PhD project from the beginning, as soon as the PhD student finds a
supervisor, until the actual doctoral graduation ceremony.
3. Enables you to monitor the progress of the PhD project.
4. Provides management information.
5. Generates the necessary correspondence.
Who is considered a PhD student of the Radboud university medical center?
Every researcher in a PhD project under the supervision of a Radboud university medical center
professor, is a Radboud university medical center PhD student.
Registration is of the utmost importance for you as a PhD student:
1. To successfully complete your studies and obtain the degree of doctor.
2. To be admitted to courses offered by the Radboud university medical center.
3. To keep you posted on issues of importance to PhD students.
How to register in Hora Est? Please follow these steps:
Go to https://horaest.ru.nl
Log in with your Z/U-number and password.
Go to Form 1:
1. Complete Form 1 under all tabs:
a. Personal information – please make sure the correct Faculty and Research Institute is
chosen
b. Education programme(s)
c. Supervisor(s)
d. Co-supervisor(s)
e. Dean
2. Go to Form 1, at the bottom of tab “Dean” and print Form 1.
a. Click on “Print and Finish” (if you have problems printing, press the ctrl-key until the PDF
opens)
b. On the next screen, click "Openen", to open the PDF document.
c. Print the form as a PDF.
3. Sign the form yourself.
4. Ask your supervisor, and if applicable, your co-supervisor, to sign the form.
5. Send by regular mail (not e-mail):
a. Form 1 with the signatures
b. A copy of the diploma(s) mentioned in Form 1
c. Proof of identification, preferably a passport.

What happens next:
1. Form 1 will be checked on behalf of the Dean. If not completed properly, you will be
contacted with the request to complete the items indicated.
2. If completed correctly, the Dean will sign the form and present it to the Registrar of the
University.
3. The Registrar will make a formal decision regarding the request for acceptance as a PhD
student and will file the form for future reference.
4. After completing the compulsory name, email and research institute fields, you will
receive an email requesting that you initiate your Training and Supervision Plan. In this
email are further instructions.
Further details
1. Hora Est is best viewed in combination with Explorer 8 or Firefox 3.
2. Selection in tabs “Supervisor(s)” and “Co-Supervisor(s)”
a. If affiliated to RU Nijmegen please tick the box ✔. Type the first letters of your
supervisor’s surname and click
. Make your choise of the given names.
b. If not affiliated with RU (for example a co-supervisor who is affiliated to another
UMC), make sure you do not tick the box  . Please fill in the requested
information.
c. If you need to fill in more names, click + and a new field opens to fill in another
name.

1. What is the link to Hora Est?

2. I lost my user name and password? (only for registration before 18 February 2016)
To retrieve your user name and password, go to https://horaest.ru.nl, click password forgotten and
give your e-mail address as required. Also try your private e-mail address. If the system does not
recognize your e-mail address, please send an e-mail to horaest@radboudumc.nl for help.
If you registered in Hora Est after 18 February 2016, you can log in with your z-number and
corresponding password.
2. My z/u number and password don’t work? (only for registration after 18 February 2016)
If you registered in Hora Est after 18 February 2016, you can log in with your z-number and
corresponding password. If the system does not recognize your details, please send an e-mail to
horaest@radboudumc.nl for help.
3. Is signature director research institute necessary?
No, it is optional.
4. Is registration in Hora Est necessary?
Yes, it is mandatory, by decision of the executive board of the Radboud University.
5. How do I know I successfully completed my registration and I formally have been accepted as a PhD
student in Hora Est?
Go to https://horaest.ru.nl and check your status. Commencement of Doctoral Studies Procedure with
the Date of Admittance in the next column, means you successfully completed your registration and
you formally have been accepted as a PhD student in Hora Est.
