Hello and welcome to Willow Walk.
We hope that you enjoy your time
here and it is as rewarding as
possible. Take advantage of what
is on offer and make the most of it!
This guide will introduce you to your apartment and we have
included all the information you will need to help you settle
in to your new home. It also tells you what to do should an
emergency situation should arise.
If you need any more help or if you have any questions,
you can visit the Elms Village reception which is open 24/7.

Access Control Guide
Key Fob
This is your key fob.
You will ONLY have access to:

Building Access – To Open
To Lock
1)Hold your blue fob over the cylinder
at the bottom of the door handle
2)You will see a BLUE light flash
and hear a beep
3)Turn the cylinder to the right if your
handle is on the left-side of the door,
or turn left if it is on the right-side of
the door
4)Push the handle down, the door will
now open
1)Once the door is closed, lift the handle
up – you will hear the door lock
2)Hold the fob over the cylinder at the
bottom of the handle. You will see a
BLUE light flash and hear a beep
3)Turn the cylinder to the left if your
handle is on the left-side of the door,
or turn right if it is on the right-side of
the door
4)The door will now be locked
IMPORTANT INFORMATION:
If you have left your key fob in your room, or it is lost or faulty –
report to Elms Village reception immediately.
To open or lock your front door from the
inside, please turn the cylinder until you
hear a click.

Fire escape windows
Fire escape windows (these are labelled)
located at ground floor and first floor level
at the rear of the apartments can be
opened partially in the same way as
above. In an emergency you can fully
open the fire escape windows to leave the
apartment. To fully open, turn the handle
up 180 degrees and pull the window
towards you.
Operating the roller blinds

The cords to operate the blinds are found
at either the right or left hand side of the
window. Pull the cord down to lower the
blind and the pull the cord up to raise it.
Your study/bedroom
To open your window: turn handle
up and pull the window open.
To close your window: push window
closed and turn the handle down.
For fresh air: open the ventilator strip
at the top of the window. If moisture
forms in your room, open the window
and it will clear.
Light bulb replacement
If a light bulb fails, please report this
as normal using the online maintenance
system.
External stairs
External stairs leading from ground floor
level to apartments located at upper
floors are either protected by the roof
or are provided with heating to prevent
formation of ice in exceptionally cold
weather. Steps leading to the garden
areas are not heated in this way. In cold
weather conditions, residents should take
added precautions on external stairs/
steps and should support themselves
using handrails at all times.
Living area
Television
Telephone
A television is provided in the living room
and the licence fee is paid for by the
University. Your television has a mixture of
local stations and news channels including
CNN, BBC World, Euro News and NHK.
The full list of channels is as follows:
There is a telephone in your living area.
In order to use this telephone, you are
required to set up a 4voice account with
ASK4 (details can be found on http://
portal.ask4.com/. Once you have an
account, you will be required to enter your
account and PIN prior to making any calls.
You can use this telephone to call people
inside the University and to call the Elms
Village reception (extension 4525). These
four-digit extensions are free of charge.

if you get a television to watch in your own
bedroom or if you watch television in your

Your electricity
and gas
In Willow Walk, your heating is provided by a gas
powered boiler. Electricity and gas usage can be
monitored on the key pad meters shown here.
Usage

The meters in your apartment have been
uploaded with credit which is based on
the historic usage for your apartment.
This should be sufficient to meet your
requirements for the length of your
contract. Should you use more than the
amount of credit provided, you will be
required to pay for the additional cost.
In order to avoid having to pay extra cost
and to reduce waste we would advise that
you use the heating and electricity sensibly.
You will be advised of your the credit
remaining on your meters during the year;
at the middle of semester one, the end
of semester one and the middle of
semester two.
If you need to buy gas credit to top up
your gas meter, please come in to Elms
Village reception 24/7 where gas credit
can be bought.
Please do not let your gas meter run
completely out of credit, if this occurs an
engineer is required to reset your boiler
and this will delay the speed in which you
have access to heat and hot water.
If you need to top your electricity meter,
you can do so either at the Mace in the
Treehouse or the 24/7 BP SPAR garage on
the Malone Road. You must take with you
the electricity top-up card which will be on
top of your electricity key pad upon arrival.

The electricity meter can be identified
with the purple border surrounding
the display screen as shown here.
Check credit remaining
To view the amount of credit remaining
at any time, press ‘1’ on the keypad. You
will see ‘G Account’ and a few seconds
later the screen will change to show the
amount of credit.
Heating
The times for heating in your apartment
have been set within your boiler.
Monday to Friday 7-9am and 5-10pm.

To see the remaining credit in your
meter, press # on the key pad shown.
Gas meter
Your heating and hot water is powered
by a gas boiler. The gas meter unit is
housed in a gold frame located within
the cupboard in the main living area.
Heating control unit
If necessary, you can boost your heating
by 1 additional hour by pressing the +1hour
button on the controller shown here.

Temperature control – thermostat
Gas boiler
The heating temperature is controlled
by the thermostat, which is located in
the kitchen/living area of your apartment
(please note that the temperatures
indicated are in degrees Celsius).
A typical ambient room temperature
is 23 degrees Celsius.
Each apartment is equipped with a
boiler. Some are housed within a closet,
either in the bathroom or kitchen, or
within a cupboard in the kitchen.
The radiators/heaters in the bedroom(s)/
kitchen are fitted with manually operated
valves. These valves can be found at the
bottom right side of the radiator. Turn the
control anticlockwise to increase the heat
and clockwise to decrease it and turn off.
There is a blank circle on this valve that will
indicate that you have turned the radiator
off completely for that particular room.
Please note: you do not need to adjust
settings on the boiler. If you have any
issues with your boiler, please contact the
Maintenance Helpdesk on 028 9097 4419
Monday – Friday 9am to 5pm. Outside of
these hours please contact Elms Village
reception.
Should the boiler shut off due to running
out of gas credit, you can re-start the
boiler using the instructions which are
on the inside of the cupboard door
where the boiler is located.
Re-starting is only possible after
purchasing additional gas credit
from Elms Village reception.
Kitchen and cooking
Fridge/freezer
The fridge/freezer in each apartment
is integrated into the design of the
kitchen behind a kitchen cupboard door.
The main switch for the fridge/freezer
is located on the wall at the side of the
appliance. When in use, this switch should
remain on (the switch will illuminate when
turned on).
The temperature setting for the fridge/
freezer can be found inside the fridge.
The best way to keep food fresh is to set
the temperature between the second
and third mark.

Operating the hob cooker
The main ON/OFF switch for the hob
cooker is located on the wall to the side
of the hob unit. To operate the hob, turn
on the appropriate switch at the wall.
Each ring (zone) is operated by turning the
corresponding dial to the right of the hob.
Even when a ring is turned off at the dial
after use, a ‘hob hot’ warning light will stay
switched on to remind you that the hob
is still hot and that you should be careful.

Please note:
Ceramic hobs become hot and remain
hot during and immediately after use.
DO NOT touch the hob until it has been
allowed to cool.
Never put cooking foil or plastic
materials on the ceramic surface when
the hob is hot. These materials could
melt and cause damage to the hob.
Pan handles should never stand out
beyond the edge of the worktop. This
will ensure children cannot reach them.
DO NOT use pans with rough bases
(eg cast iron), as these scratch the
hob surface.
DO NOT switch on the zones without
cookware in place.
DO NOT lean over the hob when it is
in use.
Ensure the base of the saucepan is clean
and dry before placing it on the hob.
DO NOT hit the surface with heavy
pans.
After use, please ensure that the
control knobs are in the ‘off’ position.
The appliance is not intended to be
operated by any means of an external
timer or separate remote control
system.
DO NOT use the hob if the glass surface
is cracked or damaged; to prevent risk
of electric shock, you should turn off at
the wall and contact Reception.

If your hob is not working:
1)Check that the control knobs are
switched on.
2)Check that the mains supply has
not been switched off.
To prevent any burns or marks to the
kitchen countertops, please ensure that
any hot saucepans or crockery are placed
on the metal cooling racks located at the
side of your hob.
Using the cooker vent/extractor fan
The extractor fan/vent can be found
above the hob and should be used
when cooking with pots and pans on
the hob. To use, pull the cupboard handle
up and out. You will find the light switch
underneath to the right hand side. The
control for the fan is at the back and it
has three settings which can be adjusted
accordingly.
Operating the oven/cooker
Cooker controls and use
The main ON/OFF switch for the oven is
located on the wall to the side of the hob
unit. To operate the oven, the appropriate
switch must be turned on at the wall.
Cooking function knob
To set the function, turn the cooking
function knob clockwise to the required
function.
Each of the cooker functions uses
different elements within the cooker
to offer you the best choice of cooking
every time. These are explained below:
Fanned grill
This function used the fan to
circulate the heat from the grill
element around the food. The
temperature must be set at 200°C.
Grill
This function radiates the
heat from the grill element.
The temperature must be
set at 200°C.
For each grill function please note:
Always grill with the cooker door closed.
Put the grill pan as close to the grill
as possible.
DO NOT grill for more than 30 minutes
at a time.
Preheat the grill for approximately five
minutes with the cooker door closed.
Ensure cookers and grill pans are
cleaned before and after use.

Defrost
Using the ‘fan only’ this cooker
function circulates the air around
the cooker cavity, speeding up
the natural defrost process (1kg
takes approximately one hour, depending
on the type of food).
Fan cooker

Using the circular element
and the fan with a temperature
between 50°C and Max, this
cooking function blows the
air into and around the cooker cavity.
Temperatures are achieved quicker,
reducing or even removing the need for
preheating. Both cooking temperature
and cooking times can be reduced for a
more energy efficient cooking programme.
Temperature knob
To set the temperature, turn the
temperature knob clockwise to
the required temperature.
Once the cooker has reached the
required temperature, the temperature
indicator lamp on the control panel
will switch off.
The temperature indicator lamp will
light up when the cooker elements
are working.
Programming the oven
Please note: the display brightness
automatically reduces between the
hours of 10pm and 6am.
The alert beep will cut off after two
minutes if it is not switched off manually.
Setting the clock
The clock is preset to 00.00, and will
revert to this after a power failure.
With the oven switched off, press
buttons and at the same time.
Select the correct time by pressing the
and buttons within four seconds.
When the correct time is shown on
the display, the clock will set after
approximately a four second delay.
The minute minder
The minute minder can be used when the
oven is switched on or off. It can be set for
up to 23 hours and 59 minutes.
To set the minute minder:
Press button .
Then press the and buttons
to select the required duration for
the minute minder. When the correct
duration shows on the display,
the minute minder will set after
approximately four seconds delay.
A bell symbol will show in the
clock display to indicate the minute
minder is on.
When the countdown is complete,
there will be a beep which will continue
for two minutes. To switch off the beep,
press one of these buttons or .
Please note: at the end of the countdown,
the minute minder will not switch off
the oven. Remember to turn off the
oven manually.
To set a semi-automatic
programme:
1)Select the required function and
temperature (the oven will switch on).
2)Press button and then press the
and buttons to select the required
duration of cooking. AUTO will show
on the clock display.
To set a fully automatic cooking
programme, follow step 1 and 2
above, and then:
3)Press button
and then press the
and buttons to select the required
end time for cooking. AUTO will show
on the clock display.
To check on the time remaining on
the programme, press button .
When the cooking time is completed,
the timer will beep. To switch off the
beep, press any one of buttons or ,
then switch off the oven by turning the
control knobs to the off position and
pressing button to set the programmer
to manual.

To cancel a programme
Press button and then press the
increase or decrease buttons to set the
required cooking time to 00.00. When the
actual time is shown on the clock display,
then press button . This will only cancel
the programme, not switch off the oven.
The programme will be cancelled after
a power failure.
Once a programme is set, the cooking
function and temperature can be
changed at any time without affecting
the set programme.

Please note: at the end of a programme,
the timer will not switch off the oven.
Remember to turn the control knobs
to the off position manually.
Childlock
The oven is equipped with a childlock
to lock the controls and so to prevent
the oven being used.
To switch on the childlock:
Press and hold buttons and
simultaneously for approximately eight
seconds, until the display shows ON.
Press button so the display shows
OFF and the key symbol. The childlock
is switched on and the display will
show the current time and key symbol.
To switch off the childlock:
Press and hold buttons and
simultaneously for approximately eight
seconds, until the display shows OFF.
Press button so the display shows
ON. The childlock is switched off
and the display will show the current
time only.
Important:
Clean the oven regularly – DO NOT
clean the oven unless it has been turned
off at the switch on the wall. If the oven
stops working, contact Elms Village
Reception.
Remove spills as soon as they occur.
Always use oven gloves when removing
shelves and trays from the oven.
DO NOT allow children near the oven
when in use.
DO NOT allow fat or oils to build up on
the oven shelves, grill pan or oven base.
DO NOT place any cooking utensils
or plates directly on the oven base.
Always grill with the oven door closed.
DO NOT grill food containing fat
without using the grill pan grid.
DO NOT cover the grill pan grid or
the oven walls with aluminium foil.
DO NOT use the oven tray for roasting.
DO NOT perform maintenance or
cleaning of the oven without first
switching off the electricity supply.
If the oven has recently been used,
allow to cool.
DO NOT place hot enamel parts
in water. Leave them to cool first.
DO NOT allow vinegar, coffee, milk,
saltwater, lemon or tomato juice to
remain in contact with enamel parts.
DO NOT use abrasive cleaners or
powders that will scratch the surface
of the enamel.
DO NOT attempt to repair the internal
workings of your oven.
DO NOT leave food unattended in the
toaster, grill or cooker.
Toaster
Crumbs will accumulate in the crumb
tray and could catch fire if not emptied
regularly. When the appliance has cooled
down completely, tap the sides of the
case lightly to dislodge any crumbs
lodged in the toasting chamber and
remove the crumb tray. Empty the tray
and replace. Never operate without
the crumb tray. Always use in the upright
position.
Kettle
Before using the appliance, fill your
kettle with water, boil, and pour away.
This will wash the inside of the kettle.
Operating the
microwave oven
To open the door:
Push the door-opening button.
Starting the oven:
Prepare and place food in a suitable
container onto the turntable, or place
directly onto the turntable. Close
the door and press the START/AUTO
MINUTE key.
Stopping the oven:
If you want to stop the oven during
cooking press the STOP/CLEAR key
once or open the oven door. If you
want to cancel the cooking programme,
press the STOP/CLEAR key twice.
Automatic cooking:
Your oven enables you to cook and
defrost food using the automatic
programmes, or to cook and defrost
food manually. Automatic cooking
and defrosting allows you to cook
and defrost using preset programmes
where the timings have been calculated
for you. Manual cooking and defrosting
allows you to cook/defrost foods and
weights that are not included in the
automatic programmes.
Manual cooking:
Enter the cooking time and use
microwave power levels P10 and P100
to cook. Stir or turn the food, where
possible, two to three times during
cooking. After cooking, cover the food
and leave to stand, where recommended.

Your bathroom
The light switch for the bathroom is located
on the wall outside of the bathroom.

Toilet flush
Shower
The toilet has two flush buttons located
above it. The larger of the buttons is
for a long flush and the smaller one is
for a shorter flush. This is a water-saving
device and we would ask residents to
help us conserve water and use these
appropriately.
To operate the shower, turn the lower
knob towards you. To turn off, turn
it away from you. To control the water
temperature, press the red button on
the upper knob and turn anticlockwise
to increase the temperature and clockwise
to decrease the temperature.
Plug/stopper for sink
To prevent any blockages and to ensure
proper drainage of your shower tray,
please clear the shower drain on a regular
basis. To do this, remove the drain cover
and the plug and remove any hairs, etc,
before replacing this.
The plug/stopper for the sink is operated
by pushing down on the metal disc.
To release the plug simply push down
on it again.
Hot water
Hot water is available by turning the
tap to the hot (red) position. You may
need to let the water run for one minute
to get hot water.
The heating does not have to be turned
on in order to get hot water
On the showerhead there is a sliding
button which, when in the ‘up’ position,
will stop water flowing through the
showerhead. Ensure this is in the ‘down’
position for the water to flow through
the showerhead.
Heated towel rail
There is a heated towel rail in your
bathroom. To turn on and off, use
the control at the bottom left hand
side of the rail.
Your safety
Smoke detector in
bedroom(s) and heat
detector in kitchen
These detectors are installed on
the ceiling in each room.
Each one should be tested on a weekly
basis. To test your detector: press and
hold the button marked ‘Push’ and
‘Hold’ to hear the alarm sound.
All connected alarms will also sound.
If the alarm is accidently activated when
cooking, press the Hush button to stop
the alarm.
If the alarm is faulty, it will emit a
beeping noise to alert you to the fact
that you need to report the fault to staff
at the Maintenance Helpdesk on 028
9097 4419 Monday – Friday 9am to 5pm.
Outside of these hours please contact
Elms Village reception.
Never cover the detector. By covering
the detector it cannot operate,
therefore you place yourself and other
students in danger. It is a criminal
offence to tamper with fire safety
equipment in the UK and if discovered
you will be disciplined under the
University’s Conduct Regulations.
Maintenance
These alarms are wired to the main
University electricity supply. Your alarm
is a life-saving device. Spending a few
minutes each month vacuuming any
excess dust from the detector will enhance
its performance and reduce the likelihood
of nuisance alarms. Vacuum close to the
grill and the slots where dust can enter.
Wipe off with a damp cloth. Never use
cleaning agents/polishes.

What to do if you
discover a fire

If an alarm sounds you have a potential
emergency.
Think clearly to ensure all residents
escape as soon as possible. Never
stop to collect belongings.
Check the temperature of door handles
or doors to check if hot. If hot, DO NOT
open them, a fire may be on the other
side of the door. Find an alternative
escape route.
If possible keep doors/windows closed
to stop the fire spreading after you have
passed through them.
Call 028 9097 5099 from a neighbour’s
phone, payphone or the emergency
phone outside the Willow Walk
Common Room – this is preferable
to using a mobile – or report it to Elms
Village reception immediately if that
is easier for you.
DO NOT re-enter the property until
advised it is safe to do so by a member
of the Northern Ireland Fire and
Rescue Service.
Low battery indicator
These alarms are powered by a battery.
If you hear the alarm ‘chirp’ continuously
every 30-40 seconds at the same time
as the LED flashes (and you have not just
pressed the ‘hush’ button), it indicates
the battery power is at an unacceptably
low level. You should report this to Elms
Village reception as soon as possible
and a replacement battery will be fitted.
Carbon Monoxide
(CO) detector
Carbon Monoxide is an invisible,
odourless gas which may result from
a faulty boiler. The boilers have been
inspected by qualified technicians;
however, CO detectors have been
fitted within apartments as an added
safety precaution.
This detector is wall mounted in the
apartment. The digital display indicates
the presence of Carbon Monoxide.
Normally the display will indicate a
zero (0) reading; however, any figure
indicated between 50 and 100 should
be reported to Elms Village reception
immediately.
If the battery is low, the code ‘L6’
will be indicated on the display. Please
report this to Elms Village reception
for a replacement battery to be fitted.
Testing your Carbon
Monoxide (CO) detector
You must test your CO alarm weekly.
To test your CO alarm, press and hold
the test/reset button and wait for the
beeping to begin. To stop the beeping,
press the test/reset button again. The
CO alarm will take time to reset itself
back to normal function.
If your CO alarm fails to test properly,
or if its self-diagnostic test reveals a
malfunction, immediately contact Elms
Village Reception. This alarm will not
monitor CO levels while malfunctioning.
Fire blanket
Your fire blanket, located in the kitchen,
will be serviced once a year. If you are
required to use your fire blanket, please
inform a member of staff at Elms Village
reception and we will ensure it is replaced.
Information for students
with special requirements
Mobility-impaired residents –
accessible apartments
For those ground floor apartments
where the bedroom(s) have fire exit
doors opening directly to the exterior of
the building, please note the following:
The fire door will be operated by a door
guard alarm unit located on the wall
beside the door.
If the door is opened in error by the
occupant (or if someone should attempt
to enter the building via this door) the
alarm will sound.
To stop the alarm sounding you must
contact Elms Village reception on
extension 4525 or 028 9097 4525 from
your mobile. A member of staff will
come to your bedroom and reset the
door alarm.
Hearing-impaired residents
Apartments occupied by those who are
hearing impaired have the following
equipment fitted:
A red alarm lamp, located on the ceiling,
which will flash in the event of a fire.
A vibrating pillow pad, fitted to the
resident’s bed, which will vibrate when
the fire alarm is activated in the event
of a fire, to awaken the resident if they
are asleep.

Recycling
Queen’s University is
committed to improving
its environmental
performance and
fundamentally changing the way
it works so that it becomes an
environmentally sustainable
low-carbon organisation.
We encourage you to be aware of your
responsibility to reduce energy usage,
including water, and recycle where
possible. During your stay in Queen’s
Accommodation, there will be initiatives
and competitions to help reduce waste
and energy use, which we hope you
will participate in. More information
about these will be available from the
Residential Life Coordinators (RLCs)
and your Residential Assistant (RA).
There is a rubbish/recycling unit
that can be found in one of the lower
cupboards in your kitchen. To access
the unit, pull the front of it towards you.
This unit can be used according to your
own preferences; however, the larger
section is recommended for general
household waste, including food waste
and non-recyclable items. The two
smaller sections can be used separately
for glass and cardboard/paper.
To maintain hygiene, it is recommended
that you line each section of the unit
with bin liners/rubbish bags.
Waste Management
Centre
All household waste/
rubbish, including
recyclable materials,
should be taken to
the Waste Management Centre
adjacent to the Common Room.
Within the Centre you will find four
different bins for you to place the
following:
1)General waste
2)Recyclable items to include cardboard,
paper and plastic bottles
3)Glass only
4)Food waste only
For information on what can and cannot
be recycled, please see posters displayed
in the Waste Management Centre or
contact your Residential Assistant (RA).
To access the Waste Management Centre
please use your student card or enter the
code 1118#.

Luggage storage
If you wish to store
luggage, there are
individual storage
cages located beside
the bike store in Willow Walk.

There is a key deposit of £25 payable
for this facility, which will be refunded
when the key is returned. Should you
lose your key, you will also lose your
deposit. Please speak to a member
of staff in Elms Village reception, who
will issue a key and the access code for
the luggage store. Enter the access code
1118# or hold your student card against
the key pad at the door to the luggage
store.
Bike storage
A bike store is located
opposite the Common
Room in Willow Walk.
If you are leaving your bike here, it must
be securely locked to the bike rack. There
is no charge for this facility. Speak to Elms
Village reception staff who will issue the
access code for the bike store. You use the
access code on the key pad at either door
to the bike store.
To access the Bike Storage please use
your student card or enter the code 1118#.
Common room
The common room in
Willow Walk is available to
all Willow Walk residents.
This is a no-alcohol lounge area where
students can relax together, watch TV,
meet socially or to carry out group work.
Facilities include Internet ready PCs,
a kitchenette to make tea/coffee
and vending machines for snacks. Enter
the access code 1118# or hold your
student card against the key pad.
To access the Common Room please use
your student card or enter the code 1118#.
The Treehouse
The Treehouse is an ideal
place for you to meet
your fellow residents.
The MACE shop offers a wide selection
for all your shopping needs. It also
provides hot and cold snacks to grab
and go throughout the day.
An ATM cash machine is located inside
the MACE. There is no charge for cash
withdrawals.
The Lounge is a great bring your own
alcohol student common area equipped
with soft seating, big screen TV, computer
games, computer suite and printing
and photocopying facilities.
The Club room is located on the ground
floor of the Treehouse and can be used as
a study space for group or individual work,
as a place for clubs or societies to meet or
for reflection and prayer.
Laundry
A laundry room is located
in The Treehouse.
There are 18 washers and dryers available
to use for a small charge of £2.50 for a
wash cycle and £1.50 for 50 minutes’
drying time. An iron and ironing board
are also available in the laundry and a
flat screen TV is provided to watch while
you wait.
Smoking
The University enforces
a no smoking policy
throughout all its buildings
and premises, in line
with current legislation, including
your bedroom.
There are three designated smoking
areas, which are located at the front and
the rear of The Treehouse and between
Sycamore 9 and 10, where a shelter and
bins are provided. A smoking shelter
is also located at Willow Walk outside
the Common Room. If you are caught
smoking inside or standing outside
your building, you will be subject to
disciplinary action.
