PROPOSAL. FAILURE TO EXECUTE AND RETURN THIS ADDENDUM FORM MAY
DISQUALIFY YOUR FIRM’S PROPOSAL.
This Addendum shall become part of your firm’s proposal and the subsequent documents
if applicable.
The following items are issued to, add to, delete from, modify and clarify the ITN and all
associated documents. These items shall have full force and effect as the ITN and all
associated documents. Proposals to be submitted on the specified response due date
shall conform to the additions and revisions listed.

REVISED RESPONSE DUE DATE:
The ITN Response Due Date has been revised from June 9, 2015 at 2:00 PM EST to June 17,
2015 at 2:00 PM EST.
The new Response Due Date is Wednesday, June 17, 2015 at 2:00 PM EST.
CLARIFICATIONS:
Due to the quantity and the timing of questions submitted, an Addendum #2 will be forthcoming.
If a Proposer’s questions are not answered below, the questions will be answered in Addendum
#2.
The deadline date for Proposer questions, the Inquiry Deadline Date, is considered expired.

QUESTIONS:
1. Please confirm that Performance/Talent Management/Compensation Merit Cycle are
not in scope.
Answer: Performance/Talent Management/Compensation Merit Cycle are not
in the scope.
2. What is the pay period begin date, pay period end date, and check date for the current
bi-weekly pay cycle?
Answer: Begin: May 22; End: June 4; Check date: June 12
3. Will Budgets be in scope for the Financials implementation? Will Endowments be in
scope for the Financials implementation?
Answer: The budgets will be in the scope for the financials implementation,
endowments will not.
4. Is there a schematic diagram or a list of the integrations to/from external systems?
Answer: Yes, refer to the High Level Systems Context Diagram labeled as
Attachment 1 to Addendum 1, dated 06/05/2015.
5. Approximately how many integrations do you estimate will need to be built to the
financials applications?
Answer: Approximately 20 – 25.

6. Please confirm all Health & Welfare and Retirement benefits eligibility and elections
are managed by the State or a Third Party Administrator (TPA). In addition, please
confirm all other voluntary deductions (e.g. donations, parking) are also managed by the
State or TPA.
Answer: The retirement plans are managed by the Division of Retirement;
the benefit plans are managed by People First. Voluntary deductions are
managed in house, not be the State or TPA.
7. Please provide an organization chart or reporting structure for the administrative staff.
Answer: Refer to the organization chart labeled as Attachment 2 to
Addendum 1, dated 06/05/2015.
8. Please identify the department, role and number of staff currently responsible for
performing HCM and Financial tasks. (i.e., Identify those responsible for tasks such as
Recruitment, expense approvals, Purchasing and Accounts Payable, timesheet
approvals, etc.)
Answer: The University’s cross-functional implementation team, in
conjunction with subject matter experts, will work to implement all HCM
functions and financial tasks.
9. In Scope of Services it states that “The anticipated start date is June 22, 2015 and the
anticipated ‘Go-Live’ date is July 1, 2016.” However, for Tab 2 the second bullet reads
“The timeline must reflect the project completion within ten (10) months.” Please clarify if
the intent is to limit the implementation to 10 months and if that 10 months includes any
post go-live support.
Answer: The start date is an estimated day, but the system must be
completely implemented by July 1, 2016.
10. May we include appendices with additional information such as representatives
resumes, data security policy, etc., in a 10th tab?
Answer: No, a 10th Tab will not be permitted. Resumes of key personnel and
team members should be submitted in Tab 4 as indicated on Page 11 of the
solicitation document. Data security information should be submitted as part
of the narrative describing the security protocols in Tab 5 as indicated on
Page 11 of the solicitation document.
