Instructions for E-publishing a PhD Thesis in
Göteborg University Publications – E-publishing and Earchive (GUPEA)
This document contains instructions for ”e-spikning” and e-publishing of a PhD
thesis at Sahlgrenska Academy , Faculty of Science, Faculty of Social Sciences,
and the Faculty of Education, Faculty of Arts and Faculty of IT-university
Assistance in connection with the registration is given by the Digital Library at

Substantive questions have to be put to the respective department or Faculty
Office.
Login information for GUPEA is sent in an email to the PhD student with the
headline: "GUPEA: E-nailing of the dissertation / E-publishing of doctoral thesis."
Please contact the Digital Library if you have not already received this mail.
In order to implement e-nailing and e-publishing, you must have access to your
thesis and nail sheet as pdf documents. Note that this must be the exact same
version as in the printed version of your dissertation!
Your registration in GUPEA will be reviewed by the institution and faculty office
and publishing "e-nailing" will be done the same ay as you nail your printed
version, normally three weeks ahead of the public defense.

If the interface displays in Swedish, change language by clicking ”In
English”
Sign in with your e-mail and
the password you received in
an email from GUPEA.
To change your password, click “Have
you forgotten your password?”and
enter your e-mail address.
My GUPEA
Once you have logged in, you see your thesis in "Started Submissions"
This section is for use in the continued authoring of your document.
Click the first "Open" and then "Edit" to complete registration.
Click ”Open”

DESCRIPTION OF THESES
Describe your thesis in three steps.
On each page, click "Next" to save the information
you filled out and move on.
You have the opportunity to back down and change
the already completed tasks.
You can also save the item and continue at another
time. If you logg out, the item is saved and you can
continue the next time you log in GUPEA.
Describe this Item
Check that the document consists of multiple
files (you should upload the PDF files for both
the thesis frame and the abstract).
Click "Next" to save the data on the
current page and proceed to the next
step.
"Cancel or save '- you can save the
recording to continue at a later date.
First, select "Cancel or save" and then
"Save Registration" as the item is
retained the next time you log in
GUPEA.
NOTE! To save the data for the current
page, you need only click "Next"!
Describe 2
In this step, enter:
• Author
• E-mail to the author (optional)
• Thesis title is already filled, but check that it is correct
• Institution - select from list
• Series Data (only if the thesis is part of a series)
• ISBN and if applicable ISSN
• Articles - for a doctoral thesis with previously published articles or
manuscripts, register the bibliographic citation here. Link to published
articles with DOI or id from PUBMED (please see instructions).
• Thesis language - Select the language of the main content of the
item. (choose from list)
Please note! Only one reference per “box”. Click the "Add more" if you
need more empty fields. All articles should be listed as references
even if they are only submitted or in manuscript!

Link to Articles: Published articles you should link to. One requirement
is that the article has a DOI code (Digital Object Identifier).
DOI name should be written in the reference under the form:
::doi::[+ doi for that specific article ]
For example:
::doi::10.1037/0012-1649.43.5.1156
For articles indexed in PubMed the PMID can be
used!

Describe 3
In this step, enter:
• Examination Title (contact your institution for any questions)
• Place and time for the public defence of the dissertation (written in
Swedish)
• Public defence date of the dissertation (selected from list)
• Subject keywords of the thesis (If many - click on Add more)
• Abstract
• Any additional description
Upload file
To make this step will need:
1. The thesis as a PDF file. Please note the following:
• This file must be identical to the pdf file that the printer uses for the
printed thesis.
• Title sheet must be included in the file. Binder / cover may be be
included.
• In the case of an aggregation thesis pdf file will not contain articles / parts
work.
2. Spikblad/Abstract as a PDF file.
If you click "Browse...", a new
window will appear in which you
can locate and select the file
you want to upload on your local
hard drive.
2.Description
Type in ”Thesis” when you upload the pdf-file or
Thesis frame. Type ”Abstract” when you upload
spikbladet, the abstract.
3.Choos Next to upload the file
Confirmation - File Uploaded Successfully
Check that the description is
correct.
Click 'Add another file ' to upload
the next file.
For each pdf file that you upload, you get a confirmation. You can click on the file name to
check the document and you can change the description.
To upload the next file, click on "Add another file"
Verify submission
Review item
In this step, make sure the information you have registered and files you
have uploaded are correct.
Click the "Correct one of these" to change any inaccurate data.
You can safely check the files which have been uploaded - a new window
will be opened to display them.
If everything is OK, please click the "Next" button at the bottom of the page.
Agreement regarding electronic publishing
University of Gothenburg administers an agreement regarding electronic
publishing.
In this step, please read the text and then you have to take a position on
the agreement.
The agreement is also available at:
http://www.ub.gu.se/publicera/epublicering/avtal/
If you choose to accept the registration agreement, “I grant the license”
your submission is now complete and you can not make any changes to
the input data.
The thesis will now follow the workflow that applies to your
faculty/institution.
If the manager rejects the registration, you will be notified via an e-mail
where the details of the additions / changes needed are noted.
The thesis is publicly available on the nail day, “spikningsdagen”.
