Purpose: People credited with this unit standard are able to plan, create and use
computer database to solve a problem, using a supplied brief.
Elements and performance criteria
Element 1
Plan a computer database to provide a solution for organisation use.
Performance criteria
1.1
The plan identifies the requirements of the database in terms of its purpose and target users.
1.2
The plan outlines the specifications, including constraints and/or features to be met by the
database for it to provide a solution.
1.3
The plan identifies the model of database to be used and justifies its selection in terms of its
ability to meet the purpose and the needs of the target users. Range: may include but is not
limited to – flatfile, hierarchical, relational, network, a combination of models.
Element 2
Create and use the database to provide a solution for organisation use.
Performance criteria
2.1
Data fields are created and properties managed to produce the database required by the plan.
Range: includes but is not limited to – size, data type, text and number format, Boolean,
currency, integer, decimal, dates or times.
2.2
Data is entered and a test report is created, printed and checked against the properties of the
database fields for formatting, layout and readability. Range: report format includes – column
headings, groupings, subtotals.
2.3
The database is queried using a range of comparisons and the results are analysed against the
requirements of the plan. Range: text – use of wildcards for selection; numerical comparisons
including = and one other; multiple comparisons on the same fields; multiple comparisons on
different fields.
2.4
The finished database is confirmed as being fit for purpose in terms of providing a solution to
the problem and meeting the purpose and requirements of the organisation as outlined in the
plan.
Element 3
Create end-user documentation for the database.
Performance criteria
3.1
A simple end-user document is created to facilitate use of the database.
Conditions
This assessment will take place during class time. You will have 6 hours to complete this
assessment. You must hand in all your work. Put a single line through any pages you do
not want marked.
Brief
Arthur Pendragon is President of the Camelot Chivalry Club. Most of the Club members
live in Camelot.
Arthur would like the records of the chivalry club computerised into a database
displaying the information in an appropriate format that is legible and easy to read. A
handwritten copy containing the membership data has been supplied.
You are to plan, create and evaluate a database using appropriate field sizes, types and
formats to display the club members’ information. Because Arthur may want to create
envelopes from the database in the future, please format the Town/City field to capital
letters.
Arthur wants to be able to view a complete list of members’ details and other selected
data from the database as required. He will want to print out the database viewed in
different ways (eg arranged by Number or Last Name).
Arthur will also want you to use the database to:
a. edit records in the table (add, update, and delete) and reprint the table
b. query (filter) the database to produce only specified information
i.
members’ data only (no scores)
ii. only male members’ names and addresses
iii. members names and scores only
iv. details of members with certain surnames only eg Tuck or Hood
c. sort the table/query on a specified field
d. print the table/query.
e. report on the tournament results
Part A:
Plan your database. (PC 1.1, 1.2, 1.3)
Instructions:
Using the planning template on the back of the assignment cover sheet, create a plan for
making the database to meet Arthur’s requirements. It should include:
a statement of the purpose of the database;
a list of the steps you are going to take in order to complete the project;
a reason for the model of database you have selected to use;
the design of the features required in order to provide solutions to the requirements listed in the
brief:
the table or tables required;
the properties of the data fields;
queries that you will need to create; and any
printed reports required.
Ongoing planning should be recorded as annotations to your draft printouts. You should
include explanations for any changes made in your resource allocations (including time)
or any design alterations or refinements.

Part B:
Create your database. (PC 2.1, 2.2)
Instructions:
READ all the instructions below before you start!
Create your database to match the description outlined in your plan.
Save the file as Sherwood Chivalry<your student ID>.
Enter the records into the database table from the hard copy provided.
All data within a field must be in the same format.
Save as Members<your student ID>.
Format the City field to be displayed as all capital letters.
Edit the data records to remove any inconsistencies or errors in the data (eg wrong spelling).
Check that all data can be read and that the table format is correct
Print on one page a copy of your table sorted alphabetically (A-Z) by Last Name.
Printout One
Delete the records for Guinevere Pendragon and Lancelot du Lac from your database table.
Add the additional records for members who joined at the second tournament. They have both
paid their junior subscriptions, of $40, in full.

Print out a copy of your data table sorted on the Number field in ascending order.
Check that the data and formats are correct, or have been corrected appropriately, by
comparing it with the original document and the instructions above.
Printout Two
Part C:
Use the database. (PC 2.3)
Instructions:
READ all the instructions below before you start!
Arthur Pendragon needs some information about club members. Create appropriate
queries or reports to provide lists for him. You must save and print out copies of each of
these query results.
The National Chivalry Association has requested a full list of current members. Produce an
attractively formatted report showing the all club members grouped by gender and sorted by
age (oldest first). All fields except the scores are required.
Save as Member Data<your student ID>
Printout Three
The next club tournament is advertised all round Camelot but Arthur wants to ensure that all the
members living elsewhere are also informed. Query the database for members who are not
residents of Camelot, showing the name, village and telephone numbers only.
Save as Outsiders<your student ID>.
Printout Four
The club treasurer, Gawain, wishes to contact those members who have not yet paid their
subscription. Query the database to show the name, telephone number and subscription
amount for members whose subs are not paid. Exclude members who are not required to pay
any subs.

Arthur wants to select a development squad for national competition. Query the database for
members whose average score over the two tournaments is higher than 300 but lower than 400.
Sort the list by gender, then by score in descending order.

Instructions:
READ all the instructions below before you start!
Create a word processed document, type the title Evaluation and save it in your
assessment folder. List each requirement of the brief and explain which features of your
database meets that requirement. Give examples of the queries or reports produced to
show how your database is ‘fit for purpose’.

User documentation. (PC 3.1)
Instructions:
READ all the instructions below before you start!
Create a word processed document, type the title User Documentation and save it in
your assessment folder. Give a short description of the purpose of the database, and
how to access and use the database.
Format the document – it must use consistent font and layout, be legible, and should
either avoid the use of undefined jargon or acronyms, or provide a glossary for these.
The document must be saved in a format that is accessible to users.
