PURPOSES OF EXHIBITS: The purpose of the exhibits is to provide conference participants an opportunity to
becomeawareofandtobecomeknowledgeableaboutcurrentandfuturetechnology,Instrumentation,software,
andtechnicalandeducationalliteraturesrelatedtothegeneralareaofautomaticcontrol.Atthistime,theexhibits
provide a forum for vendors to advertise and write orders for their products to the mutual benefit of the
conferenceparticipantsandthevendors.
SPACERENTAL:Theexhibitspaceislocatedinahightraffic,publicareaoftheconferencespace.Itislocatedatthe
entranceandexitfromtheplenarysessionsandinthesameareaasthecoffeebreaks.
Thestandardsingleboothrentalspaceincludesafloorareaofapproximately8’x10’.Tables(6’x2.5'),chairs,and
extensioncordswillbeavailableforuse.PowerwillbeprovidedtoallboothsatstandardUS120V/60Hz.Allother
aspectsoftheexhibitaretobeprovidedbytheexhibitor.

TheExhibitormaysetuptheexhibitatanytimeduringthehoursthespaceisrented.Theexhibitshallberemoved
nolaterthan5:00PMWednesday,December14,2016.
ASSIGNMENTOFSPACE:Platinumsponsorshavepriorityplacementofboothlocationsthatwillbenegotiatedin
advance. All other booth locations will be assigned onsite to a space with consideration to exhibitors on a first
comebasis.
SUBLETTING OF SPACE: Exhibitor agrees not to assign, sublet or apportion the whole or any part of the space
allowedwithouttheknowledgeofandwrittenconsentofConferenceManagement.
ARRANGEMENTSOFEXHIBITS:Exhibitoragreestoarrangeexhibitssoasnottoobstructthegeneralview,norto
hide other exhibits. No display material exposing an unfinished surface to neighboring exhibits or aisles will be
permitted.
ADVERTISINGMATTER:ConferenceManagementreservestherighttorefusetopermitdistributionofsouvenirs,
advertising matter or anything else which it may consider objectionable. Distribution elsewhere than from
Exhibitor’sboothisforbidden.
SHIPPING:Thevendorisresponsibleforalldrayagefeesassociatedwithtransport,storage,deliveryandpick-upof
allmaterials.Theexhibitorsmustbeavailableon-sitefordrayagedeliveryandpickuptimestosignfortheirown
material. (The Exhibits Chair will provide the contact information of the drayage contract no later than Aug 1,
2016.)
SAFETY PRECAUTIONS: Exhibitor agrees to take the necessary measures to safeguard visitors in the exhibit area
fromanyhazardsassociatedwithexhibitequipment.
PAYMENT & CANCELLATION: Space shall be considered contracted upon payment per the above schedule and
receiptofasignedcontract.ThespacecontractagreementmaybecancelledbytheExhibitorbywrittennoticeto
theaddresssetforthinthiscontract.Intheeventofcancellation,theConferenceManagementshallhavetheright
tousesaidspacetosuititsownconvenience,includingsellingthespacetoanotherExhibitor,withoutanyrebate
orallowancetothedefaultingExhibitor.
10. CANCELLATION:ConferenceManagementmayterminatethiscontractintheeventtheExhibitAreaisdestroyed
ordamaged,oriftheexhibitfailstotakeplaceasscheduled,isinterrupted,discontinuedoraccessisprevented
duetoanyofthefollowingcauses:strike,lockout,injunction,emergency,actofwar,ofanyothercausebeyond
controloftheConferenceManagement.Insuchevent,Exhibitoragreestowaiveanyandalldamagesandclaims
for damages and agrees that the sole liability of Conference Management and Sponsoring Societies shall be to
refundtheExhibitorallpaymentsmadeforexhibitspace,lessaproportionateshareofallexpensesincurredand
committedbyExhibitManagementandSponsoringSocieties.
11. SECURITY: The Conference Management shall supply security for the exhibit space during the hours the
conferenceRegistrationDeskisclosed.TheExhibitorswillberesponsibleforsafekeepingoftheirexhibitduringall
otherhours.
12. REJECTIONSANDPENALTIES:ConferenceManagementreservestherighttorestrict,reject,prohibitorejectany
exhibit, in whole or in part, which because of noise, safety hazards or for other prudent reasons, becomes
objectionable.IfanexhibitorExhibitorisrejectedforviolationoftheserulesandregulations,noreturnofrental
feeshallbemade.
13. INSURANCE AND LIABILITY: Conference Management will use reasonable care to protect Exhibitor against loss.
However,theywillnotbeliabletodamageorlosstopropertyofinjurytoExhibitor,his/heragentsoremployees,
throughtheft,damageforfire,accidentorothercauses.Exhibitorshouldinsurehis/herpropertyagainstsuchloss.
Exhibitoragreestomakenoclaimagainstandtoprotect,indemnifyandholdharmlessConferenceManagement,
Sponsoring Societies and Exhibit Area against loss, theft or damage to Exhibitor’s property or for any injury to
personsinExhibitor’sarea.IntheeventthatConferenceManagementorSponsoringSocietiesshallbeheldliable
resultingfromExhibitor’sactoffailuretoact,Exhibitoragreestoindemnifythemandholdthemharmless.
14. CONFERENCE MANAGEMENT: The words “Conference Management” as used herein refer to the sponsoring
societies of the IEEE Control Decisions Conference. Exhibitor further agrees that the conditions, rules and
regulationsofConferenceManagementaremadeapartofthiscontractandthatsaidExhibitoragreestobebound
by each and all of these rules and regulations, and agrees that Exhibit Management are made a part of this
contractandthatsaidExhibitoragreestobeboundbyeachandalloftheserulesandregulations,andagreesthat
Exhibit Management shall have full power to interpret, amend and enforce all rules and regulations in the best
interestoftheshow.
