System Basics
Using the Remote Control
The remote Control is used to:
o
Make calls
o
Adjust volume
o
Navigate screens and
o
Select options
To enter text you use the same method you use on your mobile phone. For example if you wish to
type the letter ‘e‛ press the number 3 button twice. You can also use the keyboard button on the
remote control.

Making and Answering a Calls Making a Video Call
This can be done in a number of ways
Method 1 – IP Address
1.
Entering the IP address of the site you wish to call
e.g. 10.12.14.16
2. press the green call button on the remote control
Method 2 – Directory
The directory is a list of sites currently registered on the DET network
1.
Locate the site you wish to call by:
o
Spelling the name using the number buttons on the remote control
o
Pressing ‘keyboard‛
o
Scrolling through the list of sites using the up‛
o
Paging through the list using the ‘zoom in‛
o
Using the alphabet tabs then scrolling to the site you want
to use the on screen keyboard

Ending a Call
To hang up a call

Press the green call button twice to hang up
Answering Calls
Incoming calls are handled in 2 ways depending on the specific site requirements

The system answers the call automatically

Controlling What You See
You can adjust the camera prior to and during your meeting, conference, workshop etc
Using the remote control you can select and control:
o
Main camera
o
Additional cameras
o
Far site cameras
o
Document cameras
o
VCR‛s, DVD‛s
Controlling the camera or video – near and far site
1.
Press ‘near‛

Setting and Using Camera Presets
Camera presets are stored camera positions that you can create ahead of time or during a call.
Presets allow you to:
o
Set the camera to a pre-defined location
o
Select a video source such as a DVD
To view your near-site presets
Press
Preset on the remote control.
Icons for presets 0-9 are shown on the screen. The colored icons indicate stored
camera positions, and the gray icons indicate available presets.
Storing presets
1.
Choose a near-site or far-site camera or other video source using the ‘near‛
or ‘far‛
buttons on the remote control
2. Adjust the came position using the arrow buttons on the remote control, up, down, to the
left, or to the right.
3. Press
Zoom to zoom the camera out or in.
4. Press and hold one of the number keys on the remote control until you see the onscreen
message advising you the preset has been stored. The preset will be assigned to this
number. To store a double-digit preset, press the first digit quickly and hold the second
number down
N.B. The system uses preset 0 as the default camera position.
Moving the camera to a preset
1.
Press the number on the remote control you assigned the preset to.
2. The camera moves to the preset position for the camera or other video source.
Deleting all presets
1.
Press ‘near‛
to select the near site camera.
2. Press ‘preset‛
ton the remote control.
3. Press ‘delete‛
to delete all presets.
N.B. You cannot delete just one preset. If you need to change just one override an existing
preset with the new camera position.

Switching Between Screens
When you are in a call the system shows you the video on full screen. You may need to for example go
back to the main screen to look at a setting or view the directory

Picture in Picture (PIP)
During a call the PIP shows what the main camera is sending to the far site(s)
To move, turn on/off PIP

2. If PIP window has a yellow border, you can move it to each corner by pressing ‘PIP‛
repeatedly.
N.B, After a short pause the border turns blue and won‛t move any more

Managing What You Hear
Use the polycom remote control to raise or lower the volume of the sound you hear. Changing the volume
affects only the sound you hear at your site.
Adjusting the Volume

Showing Content
Before your conference starts make sure you have connected and powered on the document camera, VCR,
DVD player, digital camera etc.
Using a Document Camera, VCR, DVD Player, 2nd digital camera
1.
Press
Camera on the remote control.
Select the appropriate video source from the onscreen menu using the numbers on the
remote. ‘1‛ is the main camera.
2. To stop showing a document, object, videotape, or DVD and return to the main camera:

Video Conferencing Tips
Read through these quick tips for ideas on how to optimize your video conferencing experience. You‛ll find general
tips for a better meeting, as well as simple suggestions for improving video and audio quality, and for showing
documents.
Tips for Great Meetings
Make sure you have the video number(s) of the site you want to call or that the site is listed in a directory.
Set your camera presets before you start your call so that you can quickly use them during the call. (You can
set up to 100 near-site presets. Depending on the system you call, you may also be able to use the presets
stored on the far-site system.)
Add peripherals to your system to expand its use. For example, you can add a VCR if you want to show a
videotape, or add a Visual Concert VSX if you want to share data from a computer. Connect and test your
peripheral before any meeting.
Tips for Great Video
Avoid wearing bright colors, all-light or all-dark clothing, or very “busy” patterns (such as small checks or
narrow stripes). Light pastels and muted colors look the best on the screen.
If there are windows in the room, close any drapes or blinds. Daylight is a variable light source and can
conflict with interior room lighting.
Use natural gestures when you speak.
When adjusting your camera, try to fill the screen as much as possible with people rather than with the
table, chairs, walls, lights, or the floor.
Tips for Great Audio
Speak in your normal voice without shouting.
Ask the people at the other site if they can hear you. Have them introduce themselves so you can be sure
that you can hear them.
Mute the microphone before moving it during a meeting.
Since the audio has a very slight delay, you may want to pause briefly for others to answer you or to make
comments.
As with any meeting, try to limit side conversations.
VSX Set-Top
Place the microphone on the table in front of the people in the meeting. If your room is very large, consider
adding another microphone.
If your video conferencing room is configured to use stereo sound, the microphones are positioned and
configured during system setup. It is important that you do not move them as this may detract from the
stereo audio experience.
Don‛t place papers or other objects on or in the way of the microphone, and don‛t rustle papers or tap on the
microphone or table.
Tips for Showing Content
Check that your computer has the application you need to show your documents, such as Microsoft®
PowerPoint, Project, or Word.
For a smoother presentation, be sure your file, videotape, or DVD is ready to show. Test it before you start
the video call.
