Data security: FE Online keeps the data you supply secure and the web address is a secure
link. The website used to collect the data is entitled Synergy FIS Provider Portal. This is secure
and run by West Sussex County Council. Please ensure you keep your password for FE Online
secret to protect yourself and the data. Computing devices and systems may have security
policy enforced through technology and users can maintain good security behaviours. However,
it is still paramount that passwords are unique to each user and not shared as they are the
gateway between the individual user and the device or system. If a password is compromised,
the system, all data and information held on it can also be assumed to have been compromised.
Therefore protecting your password will protect a user from identity theft.
Passwords must be a minimum of 8 characters, a combination of numbers and lower and upper
case letters. It should not be an easily guessed word or phrase that can be associated with the
individual user, such as setting name, children’s names etc. A practical way of creating a unique
password is to substitute letters for numbers to create the password. For example: Red Horsie
could become Rh0r53ee. This method can be adapted to any memorable word or phrase.
If a user needs to write a password down, it must not be stored with the device, or in the
immediate vicinity of the workstation and all efforts must be taken to store it securely.
Please ensure that you log off from the secure website whenever you are no longer
using it.

Unchanged. Every child record requires you to take action, and you may find it easiest to
process each record in order. For Inclusion funding, only children who have had funding
agreed this term will be listed.
You will also see here if the child has attracted any weightings. For Inclusion funding, either
STANDARD or ENHANCED will display in the child weightings column. For FE, the column will
either be blank, display EYPP if the child has been found to be eligible or DEP R1, DEP R2, DEP
R3, DEP R4 or DEP R5 if the child’s address attracts a deprivation weighting.

9. The child’s details open on the Funding Details tab.
i. Please tick the ‘Present during Census’ tick box for all children, even if they started after the last
census took place. This confirms the child was present during the term’s headcount.
ii. Check the rest of the information and amend where needed. For Inclusion funding, the weeks
attended in the term must remain as standard. You will be able to claim up to 15 hours per week
over 38 weeks per year but allocate this within your setting outside of term time if you wish. For
FE, you can decrease the number of weeks attended in the term for each child directly. However, if
you wish to increase the number of weeks as you are claiming FE as per the stretched funding
option, please contact the Family Information Service using the contact details at the bottom of
the page. Once we have enabled this at our end you will need to log back into the Online Provider
Portal and increase the number of weeks for each child.
iii. Term start and end dates are pre-populated and do not reflect the actual term dates. Do not
amend them. They do not affect your claim.

claim for 3 and 4 year olds under the economic criteria only.
Type in the parent/carer’s details, placing a tick in either NI or NASS number tick box as
relevant. You will have obtained the necessary information when the parent/carer completed
the parent declaration.
Please note: Household income is reflected across both parent’s NI no’s so only one is
needed. In the case of parent/carer’s living separately, use main carer’s details.
To claim under non-economic criteria, go to next step.
You must have all information to hand when submitting.

not use <unknown>. If you do not know the answer, choose ‘N - No Special Educational
Needs’.
In line with changes introduced in the Children and Families Act 2014, new codes have
been added to allow the recording of pupils with an Education, Health and Care (EHC)
Plan (Code E) and pupils provided with ‘SEN support’ (Code K). ‘SEN support’ has
replaced ‘early years action’ (Code A) and ‘early years action plus’ (Code P).
During the transitional period (at least for the 2014 to 2015 academic year) EY
providers will be able to record pupils as having either a statement or an EHC plan. EY
Providers may have some pupils with statements and some who have already moved to
EHC plans but no individual pupil can have both.
