MAINTENANCE MANAGER
(Planned Preventative Maintenance and Minor Repairs)

The Position
The Maintenance Manager is required to :
1) Lead and direct a multi-disciplined team of maintenance operatives (Direct Labour);
2) Develop and implement a 10 – year planned preventative maintenance programme for the Harrow
School built Estate as well as ensure that specialist external term maintenance contracts are managed
and regularly reviewed; and
3) Manage a programme of minor revenue repair projects.
This job description is written at a specific time and is subject to change as the demands of Harrow School and
the role develops. The role requires flexibility and adaptability and the employees of the school need to be
aware that they may be asked to perform tasks and be given responsibilities not detailed in this job description:
Duties

Lead, direct and line-manage the multi-disciplinary team (Direct Labour) in the delivery of planned
preventative/cyclical maintenance and minor repairs;

Proactively contribute to the change management process within the Works Department;

Complete and update the buildings M&E asset register;

Develop and implement a 10-year planned preventative maintenance program for the Harrow School
built estate. Annually update the programme;

Ensure that all maintenance works comply with relevant statute, regulations and industry best practice
including permits to work;

Manage and supervise external specialist contractors in the service and repair of building fabric,
mechanical systems, electrical systems and general plant. Set performance standards and ensure value
for money;

Ensure that all PPM maintenance records and documentation are comprehensive, current, relevant
and easily accessible;

Project manage minor repair and renewal projects (revenue);

Provide regular and comprehensive management information to the Director of Estates;

Carry out inspections of work in progress as well as pre and post-inspections;

Prepare prioritised annual bids for PPM and minor repair or improvement works with estimates of
costs;

Provide cover for the Reactive Maintenance Manager when required and deputise for the Works
Manager;

Set and implement high standards of performance for team service delivery;

Ensure the school is operating as an efficient and cost effective institution which makes best use of and
extracts optimum value from its building assets;

Manage the budget allocated and take recommended action where spending is not in line, keeping the
Director informed;

Assist the Director with updating computerised systems, data and information as necessary;

Prepare all required documentation and notifications for the purpose of ensuring compliance with the
Construction, Design and Management (CDM) Regulations where applicable;

Promote the standardisation of plant, equipment and systems across school buildings;

Embrace and implement the School’s Safeguarding Policies and Procedures;

Ensure that training and/or instruction is undertaken on mechanical/electrical systems and/or
equipment by end users and/or maintenance staff and that training is refreshed as necessary;

Participate in and assist the Estates Compliance Manager in ensuring that Asset Registers, Record
Drawings and Operational & Maintenance manuals for the various buildings are up to date and that all
associated Planned Preventative Maintenance (PPM) is incorporated into the Computer Aided Facilities
Management (MICAD) system;

Support the Estates Project Team as required on major capital & refurbishment works being carried
out;

Ensure the highest standards of workmanship across the estate;

Manage key stakeholder relationships and provide exemplary customer service;

Deliver PPM and minor repairs services in close liaison with the Reactive Maintenance Manager and
the Minor Capital Projects Manager.

MAINTENANCE MANAGER : PERSON SPECIFICATION
Experience/Knowledge/Skills
Minimum 10 years’ relevant experience in property maintenance management from a client or
contractor perspective at a complex and extensive operational site
Experience of successfully building, leading and managing a multi-disciplined team of operatives
including mentoring and professional development
Significant Projects and Programme Management Experience
Proven track record of managing external contractors including administration of term
maintenance contracts
Experience of providing PPM and minor works services in historic buildings
Experience of creating and implementing a Planned Preventative Maintenance (PPM) Program
Extensive knowledge of statutory compliance regulations relating to buildings including
Legionella Management, Asbestos Management, Electricity at Work Regulations, PUWER, LOLER
and Gas Safety
Substantial experience in building and building services management
Ability to competently use a Computerised Property Management database
Conversant with the use of software packages such as Word, Excel and Outlook
Extensive knowledge of building management systems
Confident and competent in reading drawings, specifications and the interpretation of O&M
manuals
Proven administrative and organisational experience
Excellent standard of oral and written English, numerate, a good telephone manner and a keen
eye for detail
Competent in use of Microsoft Office including Word, PowerPoint and Excel both to produce
documents and to maintain records, spreadsheets and presentations
Proven ability to assess priorities, manage a busy workload and meet deadlines
Substantial Budget Management experience
Demonstrable commitment to CPD
Ability to work with minimum supervision and under pressure
