Maintenance Support Clerk BC Transit is a provincial crown corporation and coordinates the delivery of safe, reliable, cost-efficient and market-focused transit services in British Columbia outside of the Greater Vancouver region. Working in partnership with local governments and private companies, BC Transit provides direct services in fleet acquisition and management, contract administration, transit planning, marketing and financial services. Job Description: Prepares and reviews work orders and analyzes maintenance records to identify labour and materials costs associated with maintaining buses. Performs a variety of clerical and data entry duties in support of the Preventive Maintenance program, including entering bus mileage readings and resolving discrepancies; creating work orders, reviewing completed work orders for correct parts and labour and closing work orders according to set procedures. Qualifications: Grade 12 graduation, including successful completion of courses in office procedures and training in the use of a personal computer utilizing word processing, spreadsheet and database software. One and a half (1.5) years’ experience in a computerized office environment, responsible for maintenance scheduling and costing analysis preferred. Great organizational, attention to detail and excellent customer service skills is essential. An equivalent combination of education, training and experience may be considered. Duties and Responsibilities: Develops and prepares annual shift and holiday schedules to support various types of maintenance programs, e.g. overhaul, preventive maintenance, repairs, bodyshop, campaigns, etc. by: • updates schedules as required to ensure staffing availability, operational requirements are met, are achieved by liaising with Shop Supervisors, Depot and the Maintenance Scheduler Reviews work orders and analyzes maintenance records to identify labour and materials costs associated with maintaining buses: • monitors work orders to ensure accurate labour and material charges are applied • assisting in the development and implementation of standard, planned and personal work orders for all maintenance staff Analyzes work orders and maintenance records to enhance the maintenance planning system by: • tracking and recording maintenance tasks, labour requirements and costs and checking work orders to ensure completeness and accuracy of coding • maintains and updates computerized maintenance records Responsible to supervisor for monitoring and correcting system issues (i.e. JD Edwards which includes but not limited to: • receiving gas receipts for non-revenue vehicles and entering into JDE • verifying the monthly non-revenue diesel accounting report for accuracy and ensures charges are applied to the correct vehicles and accounts prior to supervisor's signature for payment Performs a variety of data entry and clerical duties which include: • generating, reviewing and editing for accuracy a variety of reports, e.g. Preventive Maintenance Summary Report and Initialize Fleet Maintenance Listing on a weekly basis; • • • • • • • • setting up new coaches into systems for the tracking of minor/major preventive maintenance inspections reviews closed jobs, inputting job completion data and variance adjustments; and close all minor monthly jobs. entering Driver Report Card information inputting data generated from Tire Shop employees tracks and reports to Superintendent & Advertising Service Provider, all buses that have been out of service for more than 3 days Performs a variety of duties related to Preventive Maintenance (PM) programs which includes: • maintaining daily stats on PM Inspection and CVIP's • creating and reviewing a/c inspections • creating non-revenue vehicles and hoist pm inspection schedules · • arranging for inspections and other services for non-revenue vehicles • notifying Supervisors and Charge Hands when critical inspections need to be performed • assisting in establishing SRT's of labour and material estimates • arranging for PHH cards for all new nonrevenue vehicles CVIP Administration-completes on-line documentation for CVSE. • ICBC Administration – creates work orders for repairs • Status and reporting schedules for Victoria Body Charge Hand to assess vehicle damage • Completes Body Repair Estimate • Maintenance time keeping data entry • Performs other related duties as assigned.
