Integrated Accessibility Standard Multi-Year Accessibility Plan This 2014-2021 Accessibility Plan outlines the policies and initiatives that Mars Canada Inc. will implement to improve opportunities for people with disabilities. Statement of Commitment Mars Canada Inc. strives to provide our products and services in a manner that is accessible to all of our customers and consumers, work in partnership with our suppliers and treating our employees respective to the dignity and independence of people with disabilities. We are committed to offering equal opportunity to access our products and services and to providing the benefit of the same services, in the same place and in a similar way to all customers, consumers, suppliers and employees. Accessibility Policy and Multi-Year Accessibility Plan General Requirements • • • • Mars Canada Inc.’s Accessibility Policy was implemented in 2014. Mars Canada Inc.’s Multi-Year Accessibility Plan has been developed to identify, remove and prevent barriers to accessibility. The Accessibility Policy and Multi-Year Accessibility Plan are located on the Mars Canada Website at http://www.mars.com/canada/en/index.aspx and accessible formats are available upon request. The Multi-Year Accessibility Plan will be reviewed and updated at least once every five years. Training Mars Canada Inc. will provide General Requirements Training on Ontario’s Accessibility regulations and Human Rights Code training as it relates to people with disabilities to all Mars Canada Inc. full-time employees, Retail Representatives, Contractors, Summer Students and others who interact with the public on our behalf, and all those who are involved in the development and approvals of the Accessibility policies, practices and procedures by March 1, 2015. Planned Actions: Implement and identify the IASR General Requirements Training and Human Rights Code as it relates to people with disabilities training resources. Identify and execute the training in a way that is best suited of the employees’ role and duties (ie. Online and On-Site Training). Ensure all new employees complete the training within 45 days after commencement of employment. Keep and maintain records of training provided. 1 Integrated Accessibility Standard Multi-Year Accessibility Plan Feedback Information and Communication Standards Mars Canada Inc. is committed to meeting the communication needs of people with disabilities. Upon request, we will ensure that the processes are accessible to persons with disabilities by January 1, 2015. We will consult with people with disabilities to determine suitable information and communication needs. Upon request, Mars Canada Inc. will provide or arrange for provision of accessible formats and communications support. Accessible Websites and Web Content Mars Canada Inc. will ensure that all internet websites and web content will conform to WCAG 2.0 Level A and thereafter Level AA by January 1, 2021. Planned Actions: Mars Canada Inc. is currently undergoing review of the required changes that need to be made to all internet websites. In partnership with our vendor, Mars Canada will ensure all brand sites conform to accessible website and web content requirements. Employment Standards Standard Requirement Mars Canada Inc. is committed to providing fair and accessible employment practices to its prospective and current employees. We will strive to meet the legislative requirements under Part III of the IASR by identifying, preventing and removing barriers to employment accessibility in the workplace and to improve the access to opportunities to people with disabilities. By January 1, 2016, Mars Canada Inc. will ensure that all Employment Standard requirements are achieved in respect to Recruitment, Accommodations and Emergency Response Plans for employees, Performance Management Career Development and Redeployment. Recruitment Mars Canada Inc. will have a process in place to notify its employees and public about the availability of accommodation for applicants with disabilities in our recruitment process. Planned Actions: Mars Canada Inc. will have a process in place to notify its employees and the public about the availability of accommodation for applicants with disabilities in its current process. 2 Integrated Accessibility Standard Multi-Year Accessibility Plan Mars Canada Inc. will review our current recruitment process and ensure all job applicants are notified when they are individually selected to proceed for further assessment in the selection process that accommodations are available upon request in relation to the material or processes to be used. If a selected applicant requests an accommodation, Mars Canada Inc. will consult with the applicant and provide, or arrange for the provision of, a suitable accommodation in a manner that takes into account the applicant’s accessibility needs due to disability. When extending offers of employment, Mars Canada Inc. will notify the successful applicant of its policies for accommodating employees with disabilities. Mars Canada Inc. will develop and provide training to employees responsible for recruitment, assessment, selection and onboarding to ensure compliance of this standard. Accommodations for Employees Mars Canada Inc. will ensure a process is in place for developing individual accommodation plans and return to work policies for employees with a disability. Informing Employees of Supports: Planned Actions: Mars Canada Inc. will inform its employees of its policies (and any updates) used to support employees with disabilities, including policies on the provision of job accommodations that take into account the employee’s accessibility needs due to disability. This information will be provided to new employees as soon as practicable after commencing employment. Accessible Formats and Communication Supports for Employees: Planned Actions: Upon request of an employee, Mars Canada Inc. will consult with the employee to provide, or arrange for the provision of, accessible formats and communication supports for information that is needed to perform his/her job, and information that is generally available to other employees. When determining the suitability of the accessible format or communication support, Mars Canada will consult with the employee making the request. Workplace Emergency Response Information: Planned Actions: Workplace Emergency Response Information is included in the Mars Canada Emergency Response Plan Policy for each facility and is 3 Integrated Accessibility Standard Multi-Year Accessibility Plan provided to employees during Health & Safety Training. Individualized workplace emergency response information will be provided to employees who have a disability, if the disability is such that the individualized information is necessary. Mars Canada will provide the individualized workplace emergency response information to the person designated by Mars Canada to provide assistance to the employee. The individualized workplace emergency response information will be reviewed when the employee transfers to a different location, segment and unit within the organization and when the employee’s overall accommodation needs are reviewed. Individualized Accommodation Plans: Planned Actions: Mars Canada will develop and maintain a written process for the development of Individual Accommodation Plans. If and when Mars Canada is made aware of an accommodation need, we will consult with the employee to develop and document an individual accommodation plan. Provide and train managers and other employees that are responsible for supporting the individual accommodation plan. Return to work Process: Planned Actions: Mars Canada will continue to work with our Third Party Disability Management providers to maintain and document the return to work process for our employees who have been absent from work due to a disability and who require disability-related accommodations in order to return to work. If applicable, Individualized Accommodation Plan and Workplace Emergency Response Information will be included. Performance Management, Career Development and Deployment Planned Actions: Mars Canada Inc. will review its performance management, career development and redeployment processes and ensure the accessibility needs of employees with disabilities are taken into account. Train HR and managers/employees who are involved in performance management, career development and redeployment process. 4 Integrated Accessibility Standard Multi-Year Accessibility Plan Standard Requirement Design for Public Spaces Standard Mars Canada Inc. will meet the Accessibility for the Design of Publics Spaces requirements when building or making major modifications to public spaces in our office sites and plant facilities by January 1, 2017. If and when Mars Canada Inc. is building or making modifications, we will work with its vendors and suppliers to ensure all parties are in compliance to legislative requirements, in particular, the Ontario Building Code. Public Spaces include: Outdoor paths of travel: width of sidewalks, sidewalk furniture, ramps, stairs, curb cuts, rest areas and accessible pedestrian signals Parking: On and off street parking and minimum number of accessible spaces Service related: service counters, fixed queuing lines and waiting areas Planned Actions: Currently no building or major modifications in place. In the event of a service disruption, Mars Canada Inc. will notify the public of the service disruption and the alternative available.
