INFORMATION ABOUT NSW Health Price Global Location Numbers Business Procurement Services Purpose of this document: To describe the NSW Health Price GLN hierarchy What are GLN’s? • numeric identifier assigned to physical locations and legal entities; • key data element for the implementation of the National Product Catalogue (NPC) and electronic trading projects at state and territory Health Jurisdictions, along with many private health providers; and • used when publishing prices onto the NPC. What are the different types of GLN’s? The following GLN’s are assigned by the HealthShare NSW Catalogue and Data Management Team: GLN TYPE DEFINITION Trading-Partner-GLN Ship-to-GLN Bill-to-GLN Price-GLN the information recipient GLN for NSW Health is 9377778602936 physical sites where products may be delivered direct by Suppliers business addresses where invoices may be forwarded for processing legal entities where specific commodity prices may be as assigned The NSW Health Price GLN hierarchy GLN PRICE HIERARCHY NOTES • • • 1. Whole of State • • 2. Public Health Organisations (PHO) • • • • • 3. Ship to Locations • Refers to the whole of state NSW (Health). Commodities with prices assigned to the Whole-of-state GLN 9329537000002 are purchasable by ALL of NSW Health at the published whole-of-state price. Further assignment of the Whole-of-state price to individual business units GLN is NOT required. Prices assigned to the whole-of-state GLN initiates the product information in NSW Health procurement systems. If publishing to a lower hierarchal level GLN (for example, due to a locally negotiated contract price deal with a Local Health District, Hospital or Business Unit) a whole-of-state price MUST be loaded to initiate product information in NSW Health’s Procurement System in conjunction with the Local Health District, Hospital or Business Unit price. Incorporates NSW Health Local Health Districts and other entities (known as operating units). Prices assigned to PHO GLN overrides the mandatory whole-of-state prices and are purchasable by all business units within the PHO. Each PHO is linked to appropriate internal Ship-to-Locations below for the purpose of physical product delivery by Suppliers. Note that only one price (defaults to the lowest) may be enabled for a Ship-to-Location for each item. Incorporates Hospitals and other business units within the PHO. Commodities with prices assigned to these GLN overrides prices assigned to the mandatory whole-of-state GLN and PHO GLN (if assigned). Commodities with prices assigned to these GLN will be available to all users linked to the GLN at the lowest price. All prices assigned to any GLN and published to the NPC for NSW Healthshare “must” indicate the price expiry end date (provided in the NPC as Effective End Date/Time & Effective End date Context). This requirement is applicable for both contract and list prices. To ensure ongoing data currency and accuracy, the NSW Health system has been configured to disable processing of Items that do not indicate price expiry end date. The Healthshare NSW system is also unable to receive and process prices classified as “transactional”, as such price type includes freight and handling charges, this is in contrast to contract and list prices that excludes freight and handling charges. NSW Health’s State procurement system processes freight and handling charges separately. GS1 Locatenet NSW Health GLN’s are published to trading partners through the GS1 Locatenet® system. Locatenet® is a national directory of Healthcare GLN’s endorsed by all state and territory Health Departments. For more information please click here. Notes on GLN and visibility of prices • • • Prices (of commodities) published to NSW Health through the NPC are processed in accordance with price assignments based on the NSW Health price-GLN hierarchy (as described in the previous pages). Within the NSW Health State Based Oracle system, although the purchasability of items is restricted based on Price-GLN assignments, such prices although not purchasable by others, are visible to all Oracle system users within the state. Visibilty and purchasability of items covered under state contracts are subject to the terms and conditions of contracts. Notes on GLN currency of information • • It is highly recommended that NSW Health GLN information is accessed / viewed via Locatenet® instead of obtaining information by phone, email or by any other means. This ensures up-to-date information from the correct source. HealthShare NSW Business Procurement Services are cleansing GLN location information to support state wide projects such as the Oracle R12 implementation. Therefore subscribers to Locatenet® are notified of ongoing adjustments automatically by GS1 autoalert emails. Obtaining GLN information by other means may expose the risk of using an obsolete or inaccurate GLN.
