Banner Student Information System—UAA User’s Guides General Information The examples in these User’s Guides include proprietary information of Ellucian, Inc. and are not to be copied, reproduced, lent or disposed of, nor used for any purpose other than that for which they are specifically provided without the written permission of Ellucian, Inc. These user’s guides are for the use of University of Alaska employees only, and are not to be given to, lent to or used by outside agencies or individuals. When replacing pages of your user’s guide documents, shred any outdated pages that include sample forms or reports. All names and ID numbers in examples have been changed to protect student and employee confidentiality. Functions, Keystrokes, Buttons and Options In these documents, function names are in bold type with < and > brackets: <Function> Keystrokes are in bold with [ and ] brackets: [Keystroke] Button names are in bold type without brackets: Button Items from the Options Menu are in bold type without brackets: Option Because there are now many ways to perform most functions—clicking a toolbar button with the mouse, typing keystrokes, or by using drop-down menus—most keystrokes are not specified in these guides. For keystrokes, please use Banner’s <Show Keys> function or refer to one of the function key sheets available in the Statewide Banner Navigation Workbook or from the UAA Banner SI web site (bannersi.uaa.alaska.edu). Auto Hint/Status Line The auto hint line and status line are at the bottom left corner of the Banner window. They show definitions, instructions, error messages, and status information such as the number of records in a multiple-record list. Course Numbers Course numbers for UAA and its extended campuses start with the letter A (for the Anchorage catalog). The extended campuses typically use the catalog that belongs to the main campus they are associated with: for example, Mat-Su College, Kenai Peninsula College, Kodiak College and Prince William Sound College typically offer classes from the Anchorage catalog. Before fall 2016, Prince William Sound College (then a community college) also had its own catalog, and its course numbers started with V. 09-MAY-2016 UG-Intro-1 Validation Table/List of Values When you need to type a code or other piece of data into a field, you can often select the item from a list of valid codes, called a validation table or list of values. A list is usually available if the auto hint line says you can “LIST for valid codes” or if there is a Search button by the field. To see the list, use the <List> function ([F9] or open the Help Menu and select List) or click the Search button. You can move the cursor through a list by using <Next Record>/<Previous Record> [Down Arrow]/[Up Arrow]. You can also use the scroll bar to see more of the window (though this may not move your cursor in the list). In some lists, you can scroll using the mouse wheel. To narrow down the list, start typing what you think the code is. As you type, items that do not match will disappear; [Backspace] to recover them. More advanced searches can be done by typing in the Find box, but you must press [Enter] or click the Find button to find the results. When you find the item you want, you can double-click on it with your mouse, or, if your cursor is on the item, press the [Enter] key or click the OK button. To leave the list without choosing an item, <Exit> or click the Cancel button. Options Menu and Right-Click Menu The Options drop-down menu shows available shortcuts to other blocks in the form, and to other related forms. Some forms have “hidden” blocks which are only accessible through the Options menu, not with the <Next Block> and <Previous Block> functions. To open the Options menu, click on it. To go to another block or form, click on the item you want. If you move into other forms—sometimes called “drilling down”—<Exit> will back up. Some forms and blocks have no options available; in that case the Options menu will be grayed out and will not open if you click on it. Another way to see a list of options is to right-click on an empty area of the form. In most cases, a special menu with several basic functions and the available options will open. Terms (Semesters) UAA’s term (semester) codes consist of the year followed by the number 0 and a 1, 2, or 3: Spring 2006=200601 Summer 2006=200602 Fall 2006=200603 Term codes for UAF’s year-long independent learning (correspondence) courses have a 4 at the end. Refer to the Term Code Validation (STVTERM) form for those and other unusual codes.
