Nearly 500 contractors attend the AFSA exhibits each year,

as building officials, Authorities Having Jurisdiction, architects
and other professionals in the fire sprinkler industry.

AFSA’s 34th Annual Convention and Exhibition
With Each Booth:
With your booth purchase, your company will receive:

One Full Registration - Entitles the person to attend all convention functions except tours and golf, which require an
extra fee. For each night you have a reservation at the JW Marriott Desert Ridge you receive one breakfast voucher and
one lunch voucher up to three nights.

Two Exhibit Hall Only Registration - This registration will allow the person to enter the exhibit hall and/or work in the
booth. It will also allow him/her to attend the General Session, Exhibitor Appreciation Event with complimentary cocktails
and hors d’oeuvres, and the Chairman’s Reception. For each night you have a reservation at the JW Marriott Desert Ridge
you receive one breakfast voucher and one lunch voucher up to three nights. This registration does not allow entrance into
any other convention social functions or seminars. Single function tickets are available for purchase for these events. (Note:
Exhibit Hall Only can be upgraded to Full for small fee.)

Pre-Registration and Post-Registration List - you will receive a pre-registration list 2 weeks after the early bird deadline
and two weeks after the regular registration deadline. You will also receive a post registration list three weeks after the show.

25 Free Passes for Second Day of Exhibits - These passes are only good Tuesday, October 13, and may not
be used for admittance into the Chairman’s Reception, Monday, October 12. These passes may be given to your
customers. Additional passes may be ordered through AFSA’s convention director and are free to exhibitors;
however, AFSA reserves the right to refuse admission to anyone.

Listing in Exhibitor Showcase - A brief company description (100 words or less) will be printed in Sprinkler Age
magazine in the Fire Sprinkler Exhibitor Showcase edition. Submit your company description by June 26. The
AFSA Exhibitor Showcase is a special section published in the convention issue of Sprinkler Age magazine that
highlights this year’s convention exhibitors. This is your opportunity to tell readers about the products/services
you will display at this year’s convention. There are many advantages to submit a listing; 1) The showcase gives
convention attendees a chance to note which booths cater to their needs so they can make sure to visit them; 2)
this is your chance to tell folks what you offer! You get up to 100 words to describe your goods/services or you
can talk about your company in general. All Sprinkler Age subscribers get this. That’s over 4200 readers!
Special Note: The exhibitor showcase follows our standard 3 column magazine layout. All we need is your 100 words of text. Do not send

Listing in Exhibitor Showcase Digital Edition - Your logo, product description, and product video will be included
in the online exhibitor multi-media showcase site. AFSA has created a special multi-media site just for exhibitors to share
information about products being displayed at the AFSA convention before attendees actually arrive. AFSA also uses this
multi-media site to help promote the AFSA convention. Contractors like to know who is exhibiting and get a “sneak peek”
of what is being displayed. This site allows each company an opportunity to provide AFSA a brief written description
of their product or service along with a YouTube video clip. You can create your YouTube video clip to showcase and/
or demonstrate your products or services. You can customize it for the convention attendee audience. AFSA will post
your information to the site for all AFSA members to view. AFSA will keep this site active on the AFSA website through
December 18, 2015. Submit your files and videos to firesprinkler.org/convention/upload.html - deadline June 26.

AFSA 2015 Sponsorship Opportunities
Booth Space & Convention Registrations (Members Only) Platinum level sponsors receive a 10x20 booth, which includes 2
all access registrations and 4 exhibit hall only registrations ($4,400 value). Gold level sponsors receive a 10x10 booth, which includes 1 all
access registration and 2 exhibit hall only registrations. ($2,200 value). To expand the size of your booth, indicate the number of additional booths in the Booth Fees section of the booth application form.
Company Link on Convention App Your company name will be listed on the convention app. This listing will be linked back to
your company webpage. The convention app is made available to all convention registrants (approximately 1,100+).
Company Name and/or Logo on Exhibit Hall Entry Banner Registrants passing through the entrance to the exhibit hall will
see your company name displayed on one of the exhibit hall entry panels. As a Platinum or Gold level sponsor, you receive even more

Company Logo on Apprentice Competition Shirts & Sign Your company logo will be screen printed on the shirts the seven
apprentice finalists wear during the three-hour apprentice competition. As a Platinum or Gold level sponsor, you also get your logo
displayed on the competition sign displayed near the competition area. This is a great opportunity to show support for competitors in
the 22nd Annual Apprentice Competition.

Golf Hole Sponsor Sign Your company logo will be printed on a golf sponsor sign and displayed at either a tee or green during the
AFSA golf tournament ($150 value). As a Platinum level sponsor you receive two golf hole sponsor signs ($300 value).
Networking Meal Table – 3 Days As a Platinum, Gold, or Silver level sponsor, your company logo and booth number will be
displayed during breakfast & lunch at a networking meal table(s) for three days. Platinum sponsors receive five tables per day, Gold
sponsors receive three tables per day, and Silver sponsors receive one table per day. The networking meal event has become very
popular over the years and is yet another great opportunity to brand your logo and drive attendees to your booth. You may provide
promotional items on your table display. This table display will available for purchase a la carte ($1,200 value/per table).
Golf Tabletop Tee Box Display As a Platinum, Gold, or Silver level sponsor, you have the opportunity to have your own tabletop
display set up directly on the golf course during the AFSA golf tournament. AFSA will provide a tent, a table and sponsor identification sign. You can make your display interactive by providing promotional products, drinks or food items. As golfers wait their turn
to play the hole near your table, they have access to your interactive tabletop. This tabletop can be purchased a la carte ($1,000 value).
Pre-Convention Brochure Ad - Must Receive Payment by April 10 and Ad by April 24 As a Platinum, Gold, or Silver level
sponsor, you get an ad placed in the pre-convention brochure. This will be in print and digital versions distributed to all AFSA member companies
and prospects (approximately 1,000+). The Platinum sponsor receives an 8.5 x 11 full-page ad ($2,000 value). The Gold sponsor receives a 7.25” x
4.875” ½ Page ad ($1500 value). The Silver sponsor receives a 3.5” x 4.875” ¼ Page ad ($1,000 value).

Welcome Packet Insert Ad – Must Receive your Ad by September 4 As a Platinum level sponsor, AFSA will include your
printed advertising in each registration packet, which is distributed to all convention attendees. Printed material may be no larger than

Company Logo on 15’ Jumbo Staircase Sticker & Floor Stickers As a Platinum level sponsor, your logo will be prominently
displayed on the staircase leading out of the registration area. The kick plates, when viewed from the bottom of the staircase, will

Donate to the Apprentice Competition AFSA is hosting the 22nd annual Apprentice Competition. This competition involves
testing apprentices across the country to determine who is the most skilled fire sprinkler installer in the country. In order to do this, we
must fund the expense of apprentice travel, testing and awards. Your support is greatly appreciated. We have asked both exhibitors
and contractors to donate to this worthy cause. As a donor, your company name will be displayed near the competition area, entrance
to the exhibit hall, convention program, and post-convention email. ($100 donation)

CHAIRS, TABLES, and CARPET WILL NOT BE INCLUDED IN THE BOOTH PRICE.
All amenities can be ordered through AFSA’s official service contractor, Viper Tradeshow Services. After
AFSA has received a booth reservation and full payment, a service kit will be sent to you.
Booth Assignments:
For booth reservations postmarked on or before April 10, 2015, booth assignments will be made on a priority basis
according to AFSA’s point system. After that date, booths will be assigned on a first-come first-served basis.
Cancellations:
Cancellation amounts are based on the total cost of the booth space reserved. Upon written notice of a cancellation, the
total amount of the booth will be refunded less a cancellation fee determined by the following schedule:
Before May 23, 2015
$250 per booth will be deducted from the refund
Between May 23 through July 17, 2015$400 per booth will be deducted from the refund
No refunds after July 17, 2015
Publicity Deadlines:
The earlier you reserve a booth, the more publicity your company will receive in AFSA publications and other communications.
If taking advantage of optional sponsorships, a publicity deadline schedule for submission of advertising will be provided upon
receipt of sponsorship. To take full advantage of sponsorship publicity, sign-up by Friday, April 10, 2015.
Registration & Lodging:
Each booth purchase includes one free full access badge and two fee exhibit hall only access badges. Submit one
registration form per person.
AFSA’s headquarter hotel, the JW Marriott Desert Ridge, is located in Phoenix, AZ Reservations may be made by calling
480-293-5000. AFSA rate is $234 a night plus tax. First room night deposit required (refundable up to 3 nights prior to
arrival). Group rates are available for stays from October 7-16, 2015, but reservations must be made by September 4,
2015, to assure AFSA Convention rates. After September 4, 2015, room rates are based on availability. Room rate includes
resort fee and complimentary internet. Be sure to ask booking agent to confirm your reservation includes both the resort
fee and the complimentary internet.
Be sure to book your room in the AFSA room block by contacting the hotel directly. AFSA is NOT represented by any
travel agencies or housing companies, such as Global Housing, that may try to book your room outside of our room block.
Booth Display:
AFSA does not permit a table top display. Exhibitor may choose to display a full exhibit or a fold out display. Audio/Visual
equipment is available for rental through the hotel. Order forms will be found in the service kit sent from Viper Tradeshow Services.
Free Passes:
The 25 free passes for the second day of exhibits for your customers and employees will be sent to you five weeks prior
to convention. These passes have a $35 value each, but are non-refundable. Additional passes can be obtained from AFSA
by contacting the convention director. All passes will be mailed to the company contact listed on the Booth Application
Form. (Please note that AFSA reserves the right to deny admission to anyone.)
Booth Tear-Down:
All exhibitors are prohibited from booth dismantle prior to 3:30 pm on Tuesday, October 13.
Booth Sales:
All exhibitors are prohibited from selling booth space or sharing booth space with other companies.

As a member of AFSA you get a discounted rate on shipping with UPS Freight. They can assist you with both your
inbound and outbound shipment. Take advantage of savings starting at 70 percent off your freight costs.

AFSA’s 34th Annual Convention and Exhibition
Hospitality Suite and Organized Events Policy
In keeping with AFSA’s policy on hospitality suites and organized events at the Annual Convention & Exhibition, as recommended
by the Manufacturers/Suppliers Council, we are asking all exhibiting companies to read and comply with this document. This policy
has been established in order to put all exhibitors on an equal footing with regard to visiting with registered participants. The policy
was recommended by the AFSA Manufacturers/Suppliers Council and approved by the Board of Directors. The policy for use of
hospitality suites and organized events is stated as follows:
“AFSA members, exhibitors and registered guests are not permitted to organize or sponsor hospitality suites, seminars, parties or other
organized functions during the official convention dates (defined as Saturday, October 10 through the closing evening event on Tuesday,
October 13). There are no exceptions. Violators will be assessed a permanent penalty of 50 percent of their accumulated exhibitor points
for booth assignment priority for all future years. Violators with no points to lose will not be permitted to exhibit in the following year.”
Exhibitor Points Policy
Exhibitor points referred to in the above statement are those that each company earns each year based on continued membership and
cumulative booth purchases. The point system is administered as follows:
Exhibitor companies select their booth position in the AFSA Exhibit Hall in order determined by the number of points acquired. The
company with the most points will be able to select first, provided the application form and payment are submitted by the deadline
date. The company with the second highest number of points will have second choice, etc. Those companies submitting the application
form after the deadline date will select a booth on a first-come first-serve basis regardless of the number of points acquired. The
number of points each company has is based on the following:

1 point for each consecutive year of membership in AFSA. (Any company that allows its membership status to lapse for any
length of time will lose all points previously acquired.)
1 point for each booth every year that the company has exhibited.
Contests and Drawings Policy
No company will be permitted to organize contests or drawings in their booth giving away prizes during the official convention dates.
Companies will be permitted to give away items in their booth as long as the items are not given away as prizes from contests or
drawings.
Machinery Demonstrations Policy
The Manufacturers and Suppliers Council of AFSA has established a policy regarding machinery demonstrations during AFSA exhibit
show hours, based on safety standards determined by the Occupational Safety and Health Administration (OSHA). According to OSHA,
sound levels greater than 85 decibels require a hearing conservation program be in place. Any company choosing to demonstrate
machinery during show hours with a decibel level greater than 85 as considered by OSHA to be over the safety level will be required to
select a booth in the designated area. For the 2015 AFSA show, the designated “demonstration” area is located in the exhibit hall in booths
100-118 (even numbered booths). Companies demonstrating over 85 decibels must provide safety standard ear plugs to attendees.
Any company with a booth located in an area other than the demonstration area of the exhibit hall demonstrating machinery with a
decibel level greater than 85 during show hours will be required to discontinue further demonstrations for the remainder of the show.
The booth selection process will follow the order as defined by the point system described above.
Advertising and Handouts Policy
Only AFSA representatives and registered exhibitors will be permitted to distribute advertising materials or other handouts in the
exhibit hall of AFSA’s annual convention and exhibition. Materials deemed to be offensive will not be permitted. In addition, AFSA
prohibits distribution of commercial, political, or promotional materials in or around any AFSA program - including but not limited to
networking meals, seminars, meeting rooms, hallways, etc. - without the prior written permission of AFSA.
Admission Policies
AFSA’s convention and fire sprinkler exhibits are open to registered members and guests. The open exhibit day – Tuesday, October
13 – is open to all registered attendees, exhibitors, and the invited guests of AFSA, its exhibitors and its local members. AFSA reserves
the right to refuse admittance to anyone to any event, programs, and exhibits.
Booth Personnel
All exhibitors are prohibited from selling booth space and/or sharing booth space with other companies. Company representatives may exhibit
with an exhibiting company provided they are there solely to sell products or services of the exhibiting company.

Priority Booth Assignments – Deadline April 10, 2015
For those booth reservations and deposits postmarked on or before Friday, April 10, 2015*, booth assignments will be made on a priority basis
according to AFSA’s point system – one point for each booth each year exhibited and one point for each continuous year as a member of AFSA.
AFSA will contact the individual named above under “Company Contact” to select booth location.
*Ties will be broken based on the anniversary date of membership. Booth assignments will not be made until full payment is received.
Booth Cancellations
Cancellation amounts are based on the total cost of the booth
space reserved. Upon written notice of a cancellation, the total
amount of the booth will be refunded less a cancellation fee
determined by the following schedule:
