The following table outlines what action students need to take given their circumstances. Category Example Recommended Outcome 1. Personal Wedding, birthday, travel Alternative exam request will be declined. 2. Course related commitment Valid commitment, e.g. Need to work interstate, attend conferences, etc. Commitment must be directly related to course student is enrolled in. Such requests will need to be supported by documentation i.e. internship letter and will be assessed on a case by case basis by the Director of the school or their nominee. 3. 4. 5. Study Another university’s exam/timetable clash Study Exchange student returning to home country Elite Athlete sporting commitment Recognised International/Interstate training or competition Alternative exam request will be declined unless enrolment at the other university previously has been approved. If approved, the alternation examination will be held as soon as possible or during the supplementary exam period. Alternative exam request will be declined unless there are extenuating circumstances that normally lead to a Special Consideration application being approved, e.g. Illness of family member. Student will need to provide supporting documentation verifying their circumstances. If approved, student to sit exam on same day of official exam in an appropriately supervised* alternate location. Student to organise and incur costs involved. Elite Athletes seeking Alternate Exam Arrangements will need to complete the Flexible Study Assistance Request Form available on the Melbourne Uni Sport Elite Athlete Program (EAP) website: http://www.sport.unimelb.edu.au/EliteAthleteProgram.html. If approved, student to sit exam on same day of official exam in appropriately supervised* alternate location. Student to organise and incur costs involved. If this is not possible (i.e. Competing on day of exam) then alternative examination to be held as soon as possible or during the supplementary exam period. Defence Reservists and Emergency Volunteers Organised religious observance Participants may be required to attend an emergency at very short notice, and have irregular training commitments. A religious ceremony or event that prevents student from attending exam that cannot be accommodated by Student Administration. Permission will be granted to sit exam on the same day as the official exam in an appropriately supervised* at an alternate location. Student to organise and incur any costs involved. If this is not possible (i.e. training on day of exam) then alternative examination to be held as soon as possible or during the supplementary exam period. Students should refer to the Defence Reservists and Emergency Volunteers Procedure for further information: http://policy.unimelb.edu.au/UOM0407 Documentation is required on official letterhead from a religious leader. If approved, alternative examination to be held as soon as possible or during the supplementary exam period. *EDSC staff will forward a copy of the Regulation 11.1.A3 – Examination Rules and Supervision to the nominated invigilator (i.e. head coach). The invigilator will need to sign an Examination Invigilator Declaration form, declaring that the exam will be conducted under the conditions specified in the instructions on the front page of the exam paper and in line with the University of Melbourne regulations, as stipulated in the Regulation 11.1.A3. Important Notes 1. Alternative Exam request will be assessed by the Director of School or their nominee. 2. Requests for alternative end-of-semester examination dates must be submitted to the EDSC for consideration at least 4 weeks before the exam. 3. Requests for alternative mid-semester examination dates must be submitted to EDSC for consideration at least 2 weeks before the mid-semester exam. 4. Requests must be supported by documentation.
