Reseller Update Update no: 101 Date: 23rd December 1996 ------------------------------------------------------------------------------------------------------------------- Re: Product Return Label In direct response to requests at the Reseller Technical Forum, SDX Business Systems have taken the positive action of introducing a self adhesive Product Return Label. The Product Return Label must be completed and attached to all products that are returned to SDX Business Systems. The objective of the Label is to provide a standard mechanism to indicate the reason why products are being returned. The Label has the following benefits:• Easy to use Simply stick to the product being returned, tick the reason for return and complete any associated detail. • Improved logistics Knowing the reason for returns will enable SDX Business Systems to process returned goods more efficiently. • Quality improvements Knowing details of suspected problems and reasons for product returns, will enable a faster repair service and provide valuable information for quality improvement programme. Use of the Product Return Label Irrespective of the reason for return, the Product Return Label must be used with all products returned to SDX Business Systems. The introduction of the Product Return Label does not change any existing procedures, including the process for obtaining advanced out of box replacements, Reseller Update 76. Simply follow existing procedures and, when product needs to be returned to SDX Business Systems, attach and complete a Product Return Label. Instructions for the use of the label follow:1. With immediate effect the label must be attached directly to the returned product and not the associated packaging. 2. The label must be fully completed, the following is required for each section:a) Reason for return - tick one of the six boxes:- • • • • Returned for credit O.O.B. failure (Out of box failure) PCS upgrade Field return < 1 month service (warranty return, been in service less than 1 month) Field return > 1 month service (warranty return, been in service more than 1 month) Other • • b) Problem type - if the product is returned because of a problem please indicate if permanent or intermittent nature by ticking the appropriate box. c) Date - complete the date of the return. d) Fault description - if returned because of a problem, give description of the fault. e) Site name - enter the name of the site from where the product has been returned. f) Eng. name - enter the name of the relevant engineer or contact in case of query. g) Reseller - enter your company name. h) RMA No - if the product is returned for credit or out of box failure the RMA number must be entered. 3. Adequately pack the product and return to SDX Business Systems, Little Mundells. 4. If the product is returned for credit or out of box failure, the corresponding RMA form must also be included with the product. N.B. After 3rd February 1997, SDX Business Systems reserve the right not to process product returns that have no Product Return Label, an incomplete label, or a label that has been defaced. Obtaining the Product Return Label The label is supplied in pads of 50 and are designed in a convenient size that may be carried by engineers, in shirt pockets, tool pouches and lap top PC bags. It is recommended that labels are completed and attached by field staff at the point where product is returned from your customers premises. Sample pads have been supplied to Reseller Technical Principals. Additional pads may be ordered FOC from Order Processing under the order code LAB-RETPAB. Seltek Accreditation Prior to placing orders a Seltek Supply Agreement must be in place. The accreditation for the Lite is not as stringent as required for the Premier for example, a demonstration system is not required . Please refer to Dave Hawkins at Seltek (tel:- 01883 341 697) if you have not yet signed an agreement. Installation An installation service is available through Seltek requiring only one day on site. This is charged at £400 per day England & Wales & £500 for Scotland, Northern Ireland & Jersey. Installation & Training A one day installation training course is currently under development aimed at those Resellers who wish to be accredited to install the Lite product only. This is a basic course aimed at installation & setup. It does not cover the in-depth product knowledge required to install the Premier. Support On-site hardware maintenance support must either be provided by the Reseller or by a Seltek approved maintainer (currently Preview Data Systems Ltd - tel:- 01628 819 240). Where maintenance is provided by the Reseller then an adequate spares holding must be kept. Seltek does not offer on-site support contracts. A direct telephone software support contract must either be provided by the Reseller or by Seltek. Where the Reseller provides direct support then the Reseller must place an indirect telephone support contract with Seltek. For more details contact Dave Hawkins. Software revisions utilising the same hardware platform and operating system are provided free of charge by Seltek as part of a direct or indirect software support contract. The Reseller must either carry out these upgrades or employ Seltek to act on its behalf. Such work will be chargeable by Seltek. Upgrades The 2 port system can be easily upgraded to the 4 port within the ‘Lite’ category. Systems requiring upgrades over 4 ports necessitate upgrading to the Premier product. Both systems are upgradeable to the Premier product. Upgrade costs:Upgrades to ports The difference between the 2 port & 4 port lite plus £1100 i.e. £1800 during the promotion, £1600 after the promotion. Upgrade to Premier The difference between the installed system & required system plus £1100 Please note that upgrades to the Premier attract normal Seltek reseller discount levels System Comparison to the Seltek Premier Voice Lite has been targeted at entry level in the voice processing arena. Therefore, it is important to note the feature restrictions compared to the fully featured Premier product. Queue Management is not a feature of Voice Manager Lite. No direct connection to the Seltek ACD is possible. As a consequence, no ‘free’ log on of voice ports is possible. The following table gives a summary comparison between ‘Lite’ & ‘Premier’. Therefore it is no longer necessary to complete an Application for Controlled Release form for systems requiring ACA Cassettes, DSS/BLFs, or Level 6.2 software. The BRI Cassettes remain on Controlled Release for both ‘T’ and ‘S’ applications. The Controlled Release requirements for BRI cassettes are detailed later in this Reseller Update. Details of Level 6.2 software, DSS/BLF and ACA Cassette functionality may be found in Reseller Update No 079 dated 8th August 1996. The new features, facilities and associated benefits enabled by Level 6.2 software are available to existing INDeX users as a simple upgrade. The opportunity exists for Resellers to charge for the software element of Level 6.2 upgrades to existing systems. Therefore SDX Business Systems are suggesting a retail selling price of £595 for the software element of Level 6.2 upgrades. NB - Following installation experiences reported during the Controlled Release period, SDX Business Systems wishes to announce that it is a mandatory requirement that sites upgrading to Level 6.2 software must correspondingly upgrade to a CPU PCS level of 11 or above. With immediate effect, CPUs returned for repair will be upgraded to PCS 11. For existing CPU maintenance spares, SDX Business Systems are offering an upgrade to PCS 11 free of charge. Please fax your stock requirements to Janet Lennon by 19th February ‘97, who will then advise returns procedure. Level 6.2 software upgrade packs have been despatched free of charge to all Resellers that have received Level 6.2 technical training. Additional upgrade packs may be ordered using the code INDeX-6.2, RSP £100 (normal MLD applies). Level 6.2 technical training may be achieved through attending either 1 day INDeX workshop (T81) or INDeX IPM courses, please contact Carol Bell (01707 364154) for details of availability. CPUs will continue to be despatched at 6.1 software until 3rd February, from which point CPUs will be despatched loaded with 6.2 software. These 6.2 CPUs will be shipped with the same License Keys free of charge as were supplied with 6.1. NB - Level 6.2 software must be used for all systems with non BT provided Primary Rate Euro ISDN (Q931). Controlled Release Requirements for BRI Cassettes There has been some relaxation of the Controlled Release requirements for BRI Cassettes. This unfortunately has led to an increase in support calls to TSG, Sales Support and Product Marketing, and has also resulted in a number of customer issues. Therefore for the benefit of all involved, SDX Business Systems will operate the following Controlled Release procedure for BRI Cassettes without exception for both ‘S’ and ‘T’ applications:1. Details of the proposed INDeX system with BRI Cassette must be forwarded to SDX Business Systems on the standard Site Registration form and the Application for Controlled Release form (sections 1, 2 & 5 must be completed). The Application for Controlled Release form was supplied with Reseller Update 79. 2. The Controlled Release BRI site must be fitted with a modem that is accessible to SDX Business Systems. 3. A minimum of two sales people must have attended a level 6.2 Product Update Day (PUD). The PUD is sales training delivered by SDX Regional Account Managers to individual Resellers, covering the subjects of Level 6.2, DSS/BLF, ACA cassette and basic rate ISDN and BRI cassette functionality. 4. A minimum of two engineers must have received Level 6.2 technical training. This is obtained by attending a 1 day INDeX workshop (T81) that is focused on Level 6.2 conversion including BRI Cassette functionality. Alternatively engineers who have attended INDeX IPM courses since July 1996 will have received training at Level 6.2. For details of training courses please contact Carol Bell on 01707 364154. 5. Two engineers who have received Level 6.2 technical training must also have attended the two day ISDN concepts course (T2). 6. The Reseller shall possess a Trend Aurora II basic rate ISDN tester. Alternative basic rate test equipment may be acceptable with the prior agreement of the TSG department. NB - If the Reseller does not provide installation and/or maintenance service, the chosen subcontractor may satisfy conditions 4-6 as specified above. Issued by:- Andrew Saunders Ext. 4175 Reseller Update Update no: 105 Date: 28th January 1996 ------------------------------------------------------------------------------------------------------------------------------ Re: Controlled Release Requirements - Level 6.3 & Combo Cassette The objective of this Reseller Update is to give you advanced notice that Level 6.3 S/W and Combo Cassette are planned for Controlled Release from 17th February 1997. Whilst this is our current intention, confirmation of the actual date for this move will be made via a further Reseller Update. Orders for Level 6.3 S/W upgrade packs and Combo Cassettes cannot be accepted until the Reseller Update announcing Controlled Release has been issued, this is expected early February. Ordering details, product descriptions and the Level 6.3 S/W Controlled Release Nomination Forms will be supplied with the Reseller Update announcing Controlled Release. This Reseller Update details the training requirements that Resellers must satisfy in order to sell and/or maintain Level 6.3 S/W and Combo Cassette under the Controlled Release process. The clear objective is to enable you to satisfy these requirements in advance of the anticipated availability of Level 6.3 and Combo Cassettes. Level 6.3 S/W upgrade packs and Combo Cassettes will only be available to Resellers when the sales and technical training requirements have been satisfied. 1. Controlled Release Requirements for Level 6.3 S/W and Combo Cassette Before nominations for Controlled Release sites for Level 6.3 S/W and Combo Cassette can be accepted the Reseller must satisfy the following conditions. 1.1. Details of the proposed INDeX system with Level 6.3 S/W and Combo Cassette must be forwarded to SDX Business Systems on the standard Site Registration form and the Level 6.3 S/W Controlled Release Nomination Form. 1.2. The Controlled Release site must be fitted with a modem that is accessible to SDX Business Systems. 1.3. A minimum of two sales people must have attended a Level 6.3 Product Update Day (PUD). The PUD is sales training delivered by SDX Regional Account Managers to individual Resellers, covering the new features introduced in Level 6.3 S/W. 1.4. A minimum of two trained INDeX engineers must have attended a one day INDeX Workshop (T81) that is focused on Level 6.3 conversion. 1.5. If sites using Combo Cassettes are required, the Reseller (or the authorised site maintainer) is recommended to purchase a minimum spares holding of Combo Cassettes. If the Reseller does not provide installation and/or maintenance service, the chosen subcontractor must satisfy conditions 1.4 to 1.5 as specified. The controlled release requirements for BRI Cassettes detailed in Reseller Update 104 are applicable for both Level 6.2 and Level 6.3 systems. 2. Training Timetable for February and March. 2.1. Level 6.3 Product Update Day - To be arranged by Resellers direct with their Regional Account Managers. 2.2. From February onwards T61 & T60 courses will include Level 6.3 and Combo Cassette. The above-mentioned courses are held at SDX Business Systems, Welwyn Garden City and may be booked in the normal manner, subject to the standard terms and conditions, via telephone to Carol Bell on 01707 364154. Should you have any queries in respect of the Controlled Release process relating to these new products, please do not hesitate to contact me or Ian Massingham at this office. Issued by: Andrew Saunders (extn. 4175) Reseller Update Update no: 106 Date: 31st January 1997 ------------------------------------------------------------------------------------------------------------------- Voice Mail Fraud A further case of ‘voice mail hacking’ has recently been highlighted to SDX Business Systems plc which indicates resellers are still not taking the necessary steps to ensure end users are protected from fraudulent use. This case is even more disturbing as the programming in the INDeX switch was altered remotely via the on site modem to allow free access to the trunks. In light of this, the following steps MUST be taken to minimise the risk. Passwords & Permissions lists If using a modem for remote maintenance, it is essential that the passwords are changed from the defaults. In addition, within the permissions lists, access to parameters such as terminal programming can be restricted. Call Barring To reduce the risk of abuse of trunk to trunk connection through the Voice Manager, several aspects of INDeX and Voice Manager programming should be modified. 1. Premium rate numbers should be call barred. 2. The two wire ports of the Voice Manager should be barred from international calls (where this suits the customer's requirement). 3. The INDeX ability to assign different call barring status in day/night service can be used to further restrict abuse. For example, in Night Service the Voice Manager ports could be assigned internal status only. In addition, the tenant/area facility can be used to allow the Voice Manager ports to go into Night Service at an earlier time than other extensions. (If appropriate to the customer). If alerts to PSTN numbers to deliver message waiting notification (or other similar services e.g. fax back) are not required, then all the Voice Manager two wire ports should be assigned internal status only (in day and night service). Where alerts to PSTN numbers are required, the risk of hacking can be reduced in the following way:a) The number of Voice Manager channels that can raise alerts should be limited e.g. on a four port system allow one/two alert channels. This is set up under channel allocation in the maintenance engineers menus on the Voice Manager. N.B. In the INDeX group set up, ensure the alert channel(s) are last in the sequential group. b) Ensure the associated two wire ports on INDeX have the relevant call barring status e.g. local/national/international. Ensure the remaining Voice Manager two wire ports on INDeX have internal call status only. c) The alert channels can be excluded from the Voice Manager access group (400 in default). However, this will reduce the number of channels available for voice mail access. Password Protection for Mailboxes All mailboxes are provided with password protection which should be invoked at installation. In default, the passwords are 3 digits but can be increased up to 10 digits if required. General guidance for passwords:1. They must not reflect any obvious numbers (i.e. extension number, 123 etc.) 2. Mailboxes which are used for configuration purposes (voice mail ports, tone menu cards etc.) which are not accessed to retrieve messages, should have passwords entered longer then maximum allowed. This bars any access to that mailbox. Version 5.9 onwards has statistical information on the number of failed password attempts giving indication of attempted fraudulent use. If hacking is encountered on a site that has password protection properly implemented, it is highly recommended that the password length is extended (set in the Voice Manager System Manager menu, ID and Password). These recommendations are designed to protect the customer from misuse of voice processing systems. Responsibility to ensure these recommendations are followed is with the Reseller. Issued by:- John Harriss (ext. 4263) Reseller Update Update no: 108 Date: 11th February 1997 ------------------------------------------------------------------------------------------------------------------------------ Re: Controlled Release - Level 6.3 Software and Combo Cassette SDX Business Systems are pleased to announce that INDeX Level 6.3 software and Combo Cassette will be available on Controlled Release from 17th February 1997. The objective of this Reseller Update is to highlight the key features of Level 6.3 software and the corresponding order mechanism. For details of the Controlled Release Process and specific Controlled Release requirements for these items, please refer to Reseller Updates 069 and 105 respectively. These requirements are summarised in the Controlled Release section of this update. The Combo Cassette The Combo is a new 24 port cassette, consisting 16 DSLC ports and 8 alog ports. The Combo is only supported on the CPU100 and requires Level 6.3 S/W. It is available in two versions:- •COMBO 6/2/16 - This has 6 alog trunks, 2 alog 2-wires, 16 DSLC ports. •COMBO 0/8/16 - This has 8 alog 2-wires and 16 DSLC ports. The alog & DSLC ports on the Combo have the same functionality and specification as the current Alog and DSLC cassettes. Refer to ‘The Platform’ section of the INDeX Product Description for line length details and alog 2-wire planning rules. A maximum of 3 combos are supported by the CPU100. The COMBO 6/2/16 has two power fail circuits. An introductory special promotion RSP of £1495 will apply to both Combo Cassette options, for orders shipped and invoiced between 1st February and 16th May 1997. From 17th May the normal RSP will be £2295. DPNSS Enhancements Level 6.3 introduces the DPNSS features of diversion (Divert Initiation - section 11) and message waiting (Call back messaging - section 36). All three types of divert are supported, i.e. all calls, on busy, and on no reply. INDeX users may divert their calls to another extension within the DPNSS network. Simply programme the required extension number (as it would be dialled to call the extension) as the INDeX terminal divert destination. Each INDeX terminal may be left a single DPNSS message waiting indication and five internal messages. When there is a DPNSS message waiting, the lamp is turned on and is responded to in the same manner as the current internal message waiting. Centralised Voice Mail INDeX to INDeX The support of DPNSS divert & message waiting has enabled INDeX to support centralised voice mail operation within INDeX only networks using either the SDX Voice Manager or Seltek Premier Voice Manager. In both cases the benefit of the visual voice mail integration is available to all INDeX display terminal users within the network. The ACD record option is not available to users at remote sites. The following planning rules apply for centralised voice mail within INDeX networks:- •All INDeXs have Level 6.3 S/W •All INDeXs are using a linked numbering scheme • All INDeXs are using the same length extension numbers across the network (3 or 4 digits locally is possible) •SDX Voice Manager is at version 5.9 •Seltek Premier Voice Manager is at version 4.5 or above Divert on Busy to Voice Mail Enhancement The feature of divert on busy has been enhanced on Level 6.3. A system wide option may be configured so that display terminal users calling a terminal with divert on busy to voice mail, have the option to initiate call back or camp-on before being diverted. This enhanced feature is available on single site and centralised voice mail. Centralised Voice Mail INDeX to iSDX INDeX centralised voice mail operation with iSDX is supported in Level 6.3 for the following configuration. INDeX with DPNSS connection to an iSDX that has analogue connection an Octel VMX voice mail. Because of the proprietary way that iSDX operates voice mail message waiting, INDeX only supports centralised voice mail with iSDX in this particular configuration. A high level of integration has been achieved:- •When an INDeX terminal is diverted to the central voice mail, the correct mail box is opened when the terminal is called. •If a voice mail is left, the iSDX sends a proprietary voice mail message notification to INDeX. •INDeX gives message waiting indication to the terminal, i.e. lamp lit and text display ‘From Voice Mail’ •Pressing the LISTEN key calls the VMX message desk, users then dial # # and their password to retrieve messages. Voice mail functions are then accessed using the terminal key pad. Visual Voice Mail Integration is not available. The iSDX supports an ‘integrated voice mail time-out’ that allows camp-on or call-back to be initiated before diverting to voice mail when calling an extension with divert on busy to voice mail. Level 6.3 also supports this feature when a display terminal calls an iSDX user with divert on busy to voice mail. Roaming Agent Enhancement An enhancement has been introduced that allows a trunk plan to be associated with a screened agent number - generally referred to as roaming agent numbers. The trunk plan determines how DDI calls for the roaming agent are routed when the agent is logged-off. Non DDI and internal calls do not follow the trunk plan when the agent is logged-off, in the case of internal calls NU tone is heard and the message ‘NOT LOGGED ON’ is displayed. The trunk plan may be used to route DDI calls to voice mail when the agent is logged-off. Because of event enhancements a single trunk plan may be used by all agents who wish their DDI call to route to voice mail when logged-off. Note that message waiting indications from voice mail are not turned on or off while the agent is logged-off. This enhancement is not hot desking. Basic Rate ISDN Enhancements A number of enhancements to the Basic Rate ISDN functionality of INDeX are introduced in Level 6.3 S/W, an outline of these features are given here. ISDN is a complex technology and for a complete understanding you are strongly recommended to attend a Level 6.3 Product Update Day. Further details of ISDN may be found in the INDeX Product Description, pages 215 to 2-32 and the planned Product Description Addendum for Level 6.2/ 6.3. The BRI cassette configured for ‘S’ supports point to multi-point operation. This enables up to eight terminal devices to be connected to a single BRI ‘S’. All devices on a BRI ‘S’ may not be used simultaneously as basic rate ISDN has only two ‘B’ channels available. At any one time it is possible to use either two devices each using single ‘B’ channel (e.g. telephones, terminal adaptors) or a single device that uses both ‘B’ channels (e.g video conference, data routing). The point to multi-point operation allows each device to be individually addressed. In order to support point to multi-point the BRI cassette must be upgraded to 1.8 S/W, this is included in the Level 6.3 Upgrade Pack. The BRI ‘T’ functionality has been enhanced to support the ISDN features of MSN (Multiple Subscriber Numbering ) and sub-addressing. MSN may be used in a similar way to DDI to route calls to specific ports or address a specific device on a BRI ‘S’ operating in point to multipoint mode. Sub-addressing is only available on calls that originate and terminate on basic rate ISDN devices, it may be used to address a specific device on a BRI ‘S’ operating in point to multi-point mode. DDI calls from DASS, BRI ‘T’ and PRI (Q931) have been enhanced so that when a call is routed to a BRI ‘S’ port, the received DDI digits are repeated to the BRI ‘S’. Typically this will be used to address a specific device if the BRI ‘S’ is in point to multi-point mode or to support applications such as fax servers. Consider the following example, a block of DDI numbers 250 -299 (via DASS, Q931 or BRI ‘T’) are all routed to a single BRI ’S’ connected to an ISDN fax server. When there is an incoming call on DDI 250 - 299 the call is presented to the BRI ‘S’, and the received DDI digits from the incoming trunk are repeated into the fax server to open the required fax box. The BRI Cassette remains on controlled release for both ‘T’ and ‘S’ applications. ISDN Primary Rate ‘S’ Interface The PRI Cassette when used with Level 6.3 S/W may be configured for either ‘T’ or ‘S’ operation. When the PRI is configured as ‘T’ it is used as a Q931 primary rate ISDN trunk connection, as per Level 6.1/6.2 S/W. Using the PRI ‘S’ configuration primary rate ISDN devices can be directed connected to INDeX. Typically the PRI ‘S’ will be used for high bandwidth data applications using primary rate ISDN routers. Connecting the primary rate router via the PRI ‘S’ on INDeX gives greater flexibility and more efficient use of network services than a direct connect Q931 connection. In order to support ‘S’ operation the PRI cassette must be upgraded to 1.3 S/W, this is included in the Level 6.3 Upgrade Pack. From 17th February the PRI Cassette range (E-PRI-15 & E-PRI-30) will be placed on controlled release for both ‘T’ and ‘S’. This will not restrict the availability of these cassettes, subject to the training, and test equipment requirements of controlled release. In the case of ‘T’ applications this will mean simply completing a controlled release form. Level 6.3 Software Compatibility with Voice Manager and ACD Manager Level 6.3 S/W uses the enhanced Visual Voice Mail Integration (first introduced in Level 6.1 S/W) and is compatible with Voice Manager 5.9 and Seltek Premier Voice Manager 4.5 or above. The Seltek Lite voice mail product is only compatible with systems using a CPU100 at Level 6.3 S/W. In CPU200, 400 and 800 applications Level 6.3 S/W is compatible with both ACD Manager 4.2 and 5.0 for non-roaming agent mode only and is compatible with ACD Manager 5.1 and 5.2 in both roaming and non roaming agent mode. In CPU100 applications Level 6.3 S/W is only compatible with ACD Manager 5.2 in both roaming and non roaming agent mode. Level 6.3 Software Upgrades A Level 6.3 upgrade pack will be despatched free of charge to each Reseller technical principal when the necessary training criteria have been met. Additional packs will be available for purchase from SDX Business Systems with a RSP of £100, Reseller MLD applies. The upgrade packs will contain CPU100, 200, 400 and 800 software at 6.3, BRI cassette software at 1.8 and PRI cassette software at 1.3. Also included in the pack are updated system programming and installation & maintenance sections of the engineering manual in both hard copy and Windows help file format. Until Level 6.3 is placed on general release, CPUs will continue to be shipped with Level 6.2. It is the responsibility of the reseller to upgrade CPUs to Level 6.2 where required. The electronic serial number of a CPU does not change when it is upgraded to Level 6.3. Therefore the licence keys previously supplied with CPUs remain valid after upgrading to Level 6.3. Please notify SDX Business Systems when upgrading an existing system to Level 6.3 by completing sections 1 and 2 of the attached ‘6.3 Application for Controlled Release’ form. To ensure that the controlled release process is a success and that the appropriate level of support is available it is important that we have complete visibility of all systems with Level 6.3. The new features, facilities and associated benefits enabled by Level 6.3 are available to existing INDeX user as a simple upgrade. Although Level 6.3 is available free of charge to our Resellers, the opportunity exists for Resellers to charge for the S/W element of upgrades to existing systems. Therefore SDX Business Systems are suggesting a retail selling price of £595 for the S/W element of Level 6.3 upgrades. Feature Licence Keys For further information on Licence Keys refer to Reseller Update 051. As per Level 6.1, licence keys are required for WOCs, Visual Voice Mail Integration and Silent Monitor. Additionally in Level 6.2 the operation of the ‘cordless’ port type and the CTI Events require separate licence keys. Licence keys for Silent Monitor, WOC and Visual Voice Mail Integration continue to remain free of charge. CPUs will continue to be supplied with licence keys for two WOCs and Visual Voice Mail Integration until further notice. Training Sales training is in the form of a Level 6.3 Product Update Day (PUD). arranged direct with your Regional Account Manager. The report highlights how cost effective the ACD solution provided by SDX Business Systems is in comparison to it’s main competitors and how SDX continues to increase it’s Market share. Cost Comparison Using these independent figures as a basis, the INDeX’s relative price per agent at £RSP is significantly cheaper than it’s major competitors. It should be noted that the 1996 report shows figures for 1995. The table below shows the cost per system for the relative competitive systems. These figures are derived from average pounds per seat at RSP. The system cost is based on ACD basic hardware, MIS and terminals. Installation, voice processing, headsets, wallboards, CTI etc. are not included in these prices. Reseller Update Update no: 114 Date: 2nd April 1997 --------------------------------------------------------------------------------------------------------------- Year 2000 Compatibility There has been an increasing amount of media coverage and concern in the business community regarding the ‘Year 2000’ and the effect this will have on computer based systems, more specifically PC’s and their applications. This Reseller Update provides ‘Year 2000’ compliance details for the SDX Business Systems product portfolio. The ‘Year 2000’ problem is defined as malfunctions that may be encountered in any software, including applications, databases and files or computer hardware, that need to correctly interpret the year date when it is represented in a 2 digit year format, (i.e. 00) caused by the transition to the ‘Year 2000’. 1.1 SDX and INDeX Telephone Systems 1.1.1 INDeX The INDeX platform is fully ‘Year 2000’ compliant, and covers all past, present and future software releases. At the turn of the Century, DT and TT terminals will automatically ‘rollover’ and display the day, month and last two digits of the year, i.e. 01/01/00. The SMDR and event logs correctly output required information. 1.1.2 SDX The entire SDX range of telephone systems from the SDX 10 to SDX420N are ‘Year 2000’ compliant. This covers all software levels issued from launch of each model. There will be no effect on the FT terminals at the turn of the Century as they only display the day and month. 2.1 SDX Voice Manager 2.1.1 SDX Voice Manager Software Voice Mail software up to and including level 5.9 07 has shown that holiday dates cannot be entered correctly at the turn of the century and is therefore not fully ‘Year 2000’ compliant. The next release of VM software 5.908 (and any future releases), scheduled for release during May ‘97 will be fully compliant. Procedures for upgrading to the release of VM software which will be ‘Year 2000’ compliant will be detailed in the forthcoming Reseller Update announcing its availability. The PC platforms that will support the Voice Manager ‘Year 2000’ compliant software are:• IBM 425SX (6384 MVO) • PC1, PC2, PC3 and PC4 • Any future SDX Business Systems supplied PC platforms 2.1.2 SDX Voice Manager PC Platforms Since its launch, there have been a number of PC platforms which have been supplied by SDX Business Systems for the SDX Voice Manager, these are listed below:• • • • • • • IBM PS2 IBM 325T IBM 425SX SDX PC1 SDX PC2 SDX PC3.75 SDX PC4 (supplied March ‘93 until June ‘93) (supplied July ‘93 to December ‘93) (supplied January ‘94 to October ‘94) (supplied October ‘94 to January ‘95) (supplied January ‘95 to June ‘96) (supplied June ‘96 to November ‘96) (supplied November ‘96 to present) All of the above IBM platforms supplied by SDX Business Systems will require a manual date reset at the turn of the century using the set-up program or DATE command found on DOS 3.3 or later. The SDX PC1 to PC4 platforms comply with ‘Year 2000’. If you require further information on any IBM platform or the ‘Year 2000’ in general, this can be found on the Internet, address:HTTP://www.software.IBM.com/year2000 or telephone IBM’s 2000 helpline: 0800 973219 3.1 Seltek Voice Manager 3.1.1 Seltek Voice Manager Software The software for the Seltek Voice Manager Diplomat, Premier and the Seltek Lite, complies with the ‘Year 2000’. This covers all releases of software for each model since launch. 3.1.2 Seltek Voice Manager PC Platforms Since the launch of the Seltek Voice Manager, there have been a number of hardware platforms supplied by Seltek to support the associated software. Identification of the PC model number can be found on a label on the rear of the PC. The following is a list of models and their compliance to ‘Year 2000’. • Model numbers MT1 to MT6 (supplied February 1994 to March 1995) and MT8 to MT10 (supplied during July 1995) are NOT ‘Year 2000’ compliant as they do not support a manual date reset. Upgrade options are being investigated and will be communicated via a future Reseller Update. • Model numbers MT7 (supplied April 1995 to June 1995), and MT11 to MT14 (supplied August 1995 to July 1996) do not automatically compensate for the date change. A manual date reset will be required at the turn of the century by using the DOS date and time change facility. • Model numbers MT15 and MT16 (supplied July 1996 to present) will automatically scroll over to the correct date at the turn of the century. Therefore these models are fully ‘Year 2000’ compliant. 4.1 Seltek ACD 4.1.1 Seltek ACD Software Software levels 4.2a and 5.1 have shown compliance to the ‘Year 2000’, with the exception of the optional call costing package. ACD level 5.2, currently on controlled release, has incorporated a fix to allow compliant call costing. Therefore this, and any future levels of ACD will be fully ‘Year 2000’ compliant. Any site using call costing will require upgrade to 5.2 to fully comply with ‘Year 2000’. 4.1.2 Seltek ACD Software Upgrades Procedures and pricing for upgrading pre-5.2 versions to 5.2 are covered in Reseller Update 091. 4.1.3 Seltek ACD PC Platforms The Seltek ACD has been supplied on PC platforms from both Samsung and SDX. The SDX supplied PC1, PC1.1, PC3 and lately the PC4 platforms are ‘Year 2000’ compliant as stated above. The Seltek ACD migrated to the SDX PC range May 95. The Samsung models compliance is as follows:• Samsung models: DM286/12, DM386S/16, DM386S/25, DM386/33N and the DM486S/20 are NOT ‘Year 2000’ compliant. These models were supplied until the end of 1994. Upgrade options are being investigated and will be communicated via a future reseller update. • Samsung models: the ‘Year 2000’. 4.1.4 DM486S/25Q, DM486Q, and the DM486P are compliant with Seltek Comms Cards The Seltek comms cards are used on both their Voice Manager and the ACD. As the card contains a real time clock, the following is a list of all variants supplied and their compliance:• Model BBG/A/04.00 (supplied until March 1994) is NOT compliant with the ‘Year 2000’. However, these were only used in the early PC platforms, which, as stated above are not compliant with the ‘Year 2000’. Upgrade options are being investigated and will be communicated via a future Reseller Update. • Models BBG/A/06.00, BBG/D/03.00, BCI/A/02.00, BCI/A/03.00, and BCO/A/02.00 (supplied from March 1994) are ‘Year 2000’ compliant, although the compliance of these comms cards are entirely dependent on the PC platforms themselves being compliant. 5.1 WOC 5.1.1 WOC Software The WOC software complies with the ‘Year 2000’. This covers all released versions since launch to present. Current software version 3.1 has been the version shipped since 22 July 1996. 5.1.2 WOC PC Platforms Since its launch in January 1994, the WOC has been supplied on several PC platforms as follows:IBM 6381/FVO (supplied January 94 to October 94), SDX PC1, SDX PC2, SDX PC3, and lately the SDX PC4. The IBM 6381/FVO will require a manual date reset, (outlined in 2.12 above), the SDX PC1 to PC4 comply with the ‘Year 2000’. 6.1 Business Response Manager Lite (BRM Lite) Software versions currently shipped with every CABCU are not at present ‘Year 2000’ compliant. An upgraded version, issue 2, will be available during 2nd Qtr 97 which will be supplied as standard with every CABCU. When available, a Reseller Update will be issued announcing its availability and method of obtaining upgrades for existing users. The BRM Lite is available for use on any PC platform conforming to minimum specification of:- 386SX 33, 4Mb of RAM, with VGA colour monitor, running windows 3.1 and DOS 5. SDX Business Systems cannot verify that the BRM lite will work correctly on all PC’s at the turn of the Century. Either the Reseller, end user or their IT department must ensure that the PC supporting BRM Lite complies with the ‘Year 2000’. 7.1 FT7 & FT8 7.1.1 FT7 & FT8 Software The FT7 and lately the FT8 software are both fully ‘Year 2000’ compliant. 7.1.2 FT7 & FT8 PC Platforms The FT7 & FT8 server and workstation software can be used on a wide range of differing PC’s, that may not have been sourced from SDX Business Systems. It is therefore reliant on the operating system and the PC platform being ‘Year 2000’ compliant to enable correct working at the turn of the century. The Reseller, end user or their IT department must ensure that each PC supporting an FT7/FT8 application complies with the ‘Year 2000’. 8.1 Sapphire The Sapphire 1 + 5 and 2 + 8 micro PBX does not use any form of calendar and will not be affected by the ‘Year 2000’. 9.1 SPOT A compliance statement will be issued shortly via a SPOT Reseller Update. 10.1 SMDR and Events for Call Loggers & CTI Applications The SMDR of both INDeX and SDX will correctly output the date code in the format xx/xx/00 at the turn of the century. Devices required to log call information should interpret this code correctly. Responsibility for ascertaining ‘Year 2000’ compliance of devices attached to INDeX must fall with the supplier of this equipment. The event information does not contain date information, however, the PC platform and their supported applications driven by INDeX/SDX events must comply with the ‘Year 2000’. Issued by:- Ian Massingham (4180) Reseller Update Update no: 115 Date: 1st May 1997 --------------------------------------------------------------------------------------------------------------- INDeX DECT Product Announcement SDX Business Systems are pleased to announce the launch of INDeX DECT. As you are aware there are two Reseller launch events, at Leeds on 8th May and Welwyn Garden City on 9th May. INDeX DECT is the digital cordless telephony solution for the INDeX range of systems. It uses advanced radio technology to enable users to make and receive calls anywhere on the company premises using an INDeX DECT cordless handset. As its name suggests, INDeX DECT uses technology compliant with the global DECT (Digital Enhanced Cordless Telephony) standard for digital cordless telephony. This means that in addition to enjoying the high quality of digital speech, calls to and from cordless handsets are entirely secure and cannot be monitored or overheard. Whilst primarily intended for integration with the INDeX range, it is also possible to connect INDeX DECT to most other telephone systems. INDeX DECT therefore presents the opportunity to upsell cordless telephony to the installed base of earlier SDX and other manufacturers’ products. Full details of INDeX DECT, functionality, pricing, etc., will be presented at the launch event and contained in a subsequent Reseller Update. The system and demonstration kit RSPs will be set at a competitive market price and will be subject to normal MLD. Stock, training courses, marketing collateral, etc., will be available at the time of launch. The productisation of INDeX DECT has been given careful consideration to enable fast track introduction into your business and product portfolio. There is no formal accreditation for INDeX DECT, but there are two options for the minimal training requirements. Option 1 - Sales Only Solution The Reseller is responsible for all sales and associated commercial activities for INDeX DECT, but sub-contracts all implementation services (site survey, installation & maintenance) to SDX Business Systems. An INDeX DECT PUD (Product Update Day) for sales personnel must be arranged with your Regional Account Manager. Typically this will last half a day, diary dates can be arranged now. You are also recommended to have access to an INDeX DECT system in your office for demonstration purposes, or invest in an INDeX DECT dem kit. Option 2 - Total Implementation Solution The Reseller is responsible for all sales, associated commercial and implementation activities for INDeX DECT. This requires that both sales and engineering staff receive training. In order to perform the necessary site survey, you will also need to invest an INDeX DECT dem kit. As per option 1 above an INDeX DECT PUD for sales personnel must be arranged with your Regional Account Manager. A minimum of two engineers must attend the INDeX DECT IPM one day training course. The course code is T09, the cost is £125 per person and can be booked now via Carol Bell in the normal manner (DDI 01707 364154). Course dates are May 12, 13, 21, 22 June 4, 5, 25, 26, 27. July dates to be confirmed. I look forward to seeing you all at the launch! Issued by:- Andrew Saunders Ext 4175 Reseller Update Update no: 116 Date: 7th May 1997 ------------------------------------------------------------------------------------------------------------------Re:- ACD 5.2 and Windows Wallboard 1.2 General Release SDX Business Systems is pleased to announce the general release of ACD 5.2. From 12th May the standard ACD software level shipped to SDX Accredited Resellers (ACD) will be ACD 5.2. New Features Auto Archive Option A new option has been introduced due to the increasing requirement for the ACD manager to support an automatic back up of the customers call data in order that this data may be reinstalled in the event of a failure. This back up target device may take the form of a Network file server or some form of DOS drive connected to the ACD server. The Archive call data file produces a file of approximately 100KB per 1000 call records. The backup will take less than 5 minutes. Whilst the back up is in progress the ACD clients will have full access to real time screens however it will not be possible to enter the configuration screens of the ACD server. The server will continue to record call data, however the keyboard will be inoperable whilst the archive occurs. The Auto Archive option may be used in one of the two following ways:Auto Archive via Windows Client The Windows ACD client may be used to specify the destination of the backup, this could be the clients own hard disc or more probably the network file server. The ACD Server produces archive files immediately after the ACD’s midnight processing has been completed. These files are stored on the servers hard disc in a pending directory. The Windows client, will at a specified time, extract these files via the network and copy them to a specified directory known to the client PC, which may be a network file server. It should be noted that it is not possible to restore the data over the network, this should be done by connecting a Zip drive to the server as detailed in the following section or by floppy discs. Auto Archive via ACD Server In some cases a user may not have a Windows Client or they may not wish to use a network device for the archive. In this case it is possible to carry out the auto archive from the server to a logical DOS drive i.e. another DOS drive known to the ACD server. SDX has tested this feature with a parallel port Lomega Zip drive which we recommend. These may be purchased from suppliers of computer equipment at under £125 and will operate alongside the existing ACD server printer. They have the advantage that special Zip discs may be fitted to the unit which store up to 100MB. Zip discs may be removed from the Zip drive and stored. Important note:- SDX Business Systems plc cannot test all types of devices users may wish to utilise. Please check with SDX TSG if any other type of backup device is to be used other than those specified above. SDX ACD Now Supports 400 Agents With the introduction of ACD 5.2 the maximum number of simultaneously logged on agents supported on the ACD increases from 210 to 400. To complement this increase the following limits have also been increased:• Maximum number of lines increases from 250 to 400 • Maximum number of registered agents increases from 630 to 700 Full details of the new system limits for each size of system are listed in the table overleaf in the System Capacity section. SDX ACD Now Supports 20 Clients The maximum number of simultaneously logged on Clients has increased from 10 to 20. This limit is a total of Windows, Database Export and QMS clients which may be simultaneously logged on. Enhanced Client Password Protection The password protection on clients has been improved. This feature has been implemented to enhance the ACD when team working is employed within the call centre. Once entered, the password ensures that a supervisor cannot view in real time or run reports for agents in groups other than their own. 8 Simultaneous Screens now available on Windows Client The Windows client software has been enhanced so that it is now possible to open all 8 ACD screens simultaneously, this was previously restricted to 3. The eight screens are:• • • • • • • • Agent status screen Agent detail screen BLF screen Incoming calls waiting screen Line Utilisation screen Pop up messages screen Configuration screen Report generation screen It is not possible to open more than one instance of any one screen. It should be noted that more Windows system resources are used each time subsequent screens are opened. This should be born on mind if the client is run simultaneously with other applications. It is of course impossible for SDX BS plc to guarantee that the Windows client will run successfully with all Windows applications available in all situations. Foreign Language Support The ACD 5.2 Windows Client now supports foreign languages. In addition version 1.2 of the Windows Wallboard has been produced to support foreign languages. Specific details of languages available may be obtained from Tim Stone in SDX Product Marketing, extn 4161. Occasionally new language files will be added to disc 3 of the Windows Client software and the disc re-issued. Should one of these new languages be required disc 3 may be ordered in isolation. See ordering section for details. Current languages supported are French, Dutch, Swedish and Portuguese. Remote Access A new version of remote access software Version 3.1 has been produced. This will be shipped with all new systems. This software functionally has no difference to the current 3.0b version. The headquarters and host of 3.1 are fully compatible with the headquarters and host of 3.0b. The new version improves reliability in communications and uses less memory in the PC thus helping to achieve the increase in agents and clients on ACD 5.2 Windows 95 and Windows NT Support Improvements have been made in ACD 5.2 to fine tune the operation of the Windows Client when used with Windows 95 and Windows NT Workstation (Version 3.51 and 4.0). The application remains in a 16 Bit environment. Windows client PC’s purchased from SDX BS plc will continue to be shipped with Windows for Workgroups. The networking protocols remain the same and the existing network must support IPX and NetBIOS. Windows Clients have been successfully installed on over 250 sites. Over 70% on customer/reseller supplied PC’s and/or existing LAN’s. Via the software consultancy service SDX have assisted in installing on the following operating systems:Windows 95 WFWG Windows NT 3.51 Windows NT 4 17 sites 24 sites 3 sites 2 sites 26 Clients 63 Clients 8 Clients 2 Clients If customer supplied PCs and/or an existing LAN is to be used, a minimum of one days software consultancy must be purchased as per the SDX price list. This will entail on site assistance to install the software. Due to the diversity of networks and PCs, SDX BS plc cannot guarantee that the installation will be successful on all types of LANs and PCs. Please consult SDX PC Care on tel 01707 364402 fax 01707 364403. The price per day for this consultancy is currently £495.00 RSP nett. Windows Wallboard 1.2 A new version of the Windows Wallboard has been produced which will be on general release from 12th May. From this date all new orders for the Windows Wallboard will be supplied at version 1.2. New features contained in version 1.2 are:• • • • Minimise on flash threshold option Foreign language support User setup simplified via tabbed control menu Hide title bar option Rack Mountable PC Option It is now possible to purchase the ACD Server in a rack mountable PC. It should be stressed that this PC is not designed to be installed in the INDeX rack due to problems that may arise with heat due to restricted airflow. It is designed to be installed in a standard 19” rack. The technical specification of this PC is identical to that of the PC4, the physical case is the only difference. Mounting rails will not be supplied with the PC these should be obtained from the supplier of the rack in which the PC is to be fitted. This option may be purchased with new ACD servers or with upgrades to ACD 5.2. Attachments SDX ACD Upgrade Order Form Software Compatibility Chart Issued by Tim Stone (ext 4161) Reseller Update Update no: 117 Date: 15th May 1997 ------------------------------------------------------------------------------------------------------------------INDeX DECT Product Launch Introduction SDX Business Systems is pleased to announce the launch of INDeX DECT, the digital cordless telephony solution for the INDeX range of systems. INDeX DECT is immediately available on a controlled release basis to all resellers who have satisfied the minimal training requirements detailed in Reseller Update 115 and repeated in this document. INDeX DECT uses advanced digital radio technology to enable users to make and receive calls anywhere on the company premises using the INDeX DECT cordless handset. Whilst primarily intended for integration with the INDeX range, it is also possible to connect INDeX DECT to most other telephone systems. INDeX DECT therefore presents the opportunity to enable cordless telephony on the installed base of earlier SDX and other manufacturers’ products. The purpose of this Reseller Update is to provide a comprehensive introduction to INDeX DECT and contains the following sections:• • • • • • • • • • System Overview Features & Benefits Training Requirements Demonstration Systems Technical Support Warranty & Returns Implementation Services from SDX Systemcare Compatibility System Component & Configuration Details Pricing & Ordering Details System Overview Refer to the INDeX Product Description Addendum II for a complete description of INDeX DECT. INDeX DECT is a digital cordless telephony system that integrates with the INDeX system, and enables cordless users to have access to both internal and external calls. The cordless users of INDeX DECT are simply extensions on the INDeX system and have access to all of the features available to other extension users. INDeX DECT comprises three elements, DH1 cordless handsets, DECT Base Stations (DBS) and the DECT Control Unit (DCU). It has the capacity to support a maximum of 16 DECT Base Stations and 64 DH1 cordless handsets. As its name suggests, INDeX DECT uses technology compliant with the global DECT (Digital Enhanced Cordless Telephony) standard for digital cordless telephony. This means that in addition to enjoying the high quality of digital speech, calls to and from a DH1 are secure and cannot be monitored or overheard. INDeX DECT is also compliant with the GAP (Generic Access Profile) standard. This is designed to allow the inter-operability of DECT products from different manufacturers. Currently most DECT products are not GAP compatible. However with the development of cordless telephony, the marketplace will demand this compatibility. The DBS is a radio base station that provides an area of radio coverage called a cell. Normally several DBS are deployed at different locations to provide complete radio coverage for the customer’s premises. Typically each DBS has a range of 60 to 600 metres depending on the building construction. The DBS is compact and is connected to the DCU by a single cable pair of maximum 1km length, using standard telephone or CAT 5 cabling. The DCU performs the function of an intelligent interface between the INDeX system and the DBS. Each DBS can support 4 simultaneous DH1 calls. In areas such as restaurants, more than 4 simultaneous DH1 calls may be required at the same physical location. In this case, multiple DBSs may be deployed next to each other to give additional traffic capacity in a single coverage area. For each DH1 cordless handset on INDeX DECT, a dedicated connection is required from the DCU to an analogue extension port on the associated INDeX. This method of integration ensures that DH1 handsets are simply analogue extensions on INDeX and that the connection to INDeX DECT is non-blocking. This enables cordless users to have the same functionality (except message waiting indication) as a Plain Ordinary Telephones (POTs). This method of integration also allows INDeX DECT to be used with any telephone system that can provide a 2-wire analogue extension port supporting DTMF or loop dialling and timed-break recall. The user of a DH1 can make and receive calls anywhere within range of a DBS, since the features of roaming and seamless handover are also supported. Roaming is the ability to make and receive calls when moving between the radio coverage areas of different DBS. Seamless handover is the ability to move between the coverage areas of different DBS during a call, the user is not aware of the handover because there is no change to speech quality. The DH1 is the cordless handset for use with INDeX DECT. It is lightweight and pocket size (dimension 150 x 46 x 20mm) and weighs less than 135gms. The standard Nickel Metal Hydride (NiMH) battery has a capacity of 9 hours talk time and 90 hours standby time. NiMH battery technology has the advantages over traditional NiCad batteries of having no memory effect, greater capacity and a longer lifetime. The DH1 has access to all POT features available via a standard key pad and recall key. In addition the DH1 has a number of integrated functions summarised below:• • • • • Large LCD display Keys for display (menu, scroll & enter) Headset connection Redial feature Integral belt clip • • • • • Keys for volume control & off-hook 10 tone ringer options 10 abbreviated number stores Keypad lock Auto answer The DH1 can support the connection of a headset via an adaptor cord, GN Netcom Profile and ADDvantage ranges are recommended. The auto answer feature of the DH1 is recommended for use with headsets enabling a handsfree answer. A standby text may also be programmed in the DCU for each DH1, this is displayed when the DH1 is idle and within range of a DBS. A separate name text may also be programmed for each DH1, this is displayed on calls between DH1 users. Features & Benefits of INDeX DECT Improved Efficiency There is little doubt that in the business environment of today, telecommunications are a valuable source of competitive advantage. It is clear that improved internal and external communication leads to increased organisational efficiency, enhanced customer relationships and hence increased profitability. The primary objective of INDeX DECT is to improve communication with key staff who, because of the function they perform, are mobile within the workplace. Using cordless technology such individuals may be instantly contactable, with many obvious benefits. With INDeX DECT the telephone is carried in the pocket, so users are not tied to the desk in order to remain in contact. Users may be contacted instantly to ensure fast, accurate decision making and immediate response to problems. The risk of endless telephone tag and missed, inaccurate, or old messages is removed. Almost all organisational activities and staff functions can benefit from cordless communication, but those that will benefit most include: Organisational Activity • Manufacturing & Production • Warehousing • Healthcare • Retail • Hotels & Hospitality Staff Function • Maintenance • Production & Warehouse Supervisors • MIS & Building Services Support • Key Managers • Security The Best Option for On Site Mobility INDeX DECT is not the only solution for the issue of on site mobility. However because it enables cordless users to have access to both internal and external callers, INDeX DECT provides the best solution. The alternatives have the following disadvantages compared to INDeX DECT:Voice Mail - Enables accurate messaging, but is not suitable for time sensitive activities, because unlike INDeX DECT communication cannot take place in real time. Local Area Paging - One way communication only, not suitable to convey long or complex messages. Loudspeaker Systems - These not suitable for sensitive information or complex messages, are one way and can be intrusive. Message Pads & Boards - This is an option but is slow and inefficient with written messages rarely being accurate and often lost. Private Mobile Radio (PMR) - A “walkie talkie” system is expensive, requires complex frequency planning and delivers poor quality speech with no integration to the office telephone system. CT2 Cordless - An alternative and inferior cordless technology. Compared to DECT technology, CT2 has lower speech quality, smaller base station coverage areas, lower base station call capacity and no seamless handover of calls between base stations. Mobile Cellular Telephones - Can be used for on site mobility, but offers no integration with the telephone system and all calls incur expensive charges. Flexibility INDeX DECT offers further advantages in the flexible provision of communications throughout the company premises. The cordless technology of INDeX DECT allows telephones to be provided in areas that are difficult to cable. Additionally, through the careful positioning of radio base stations within buildings, coverage can be provided outside in car parks and campus areas. Because of its modular, cellular nature, INDeX DECT may be deployed to provide cordless communications in selected areas only, or to the entire company site as required. Typically, there is a high ratio of cordless handsets to radio base stations with a large coverage area provided by each base station. This means that for the limited effort of installing a small number of base stations, many cordless handsets can be supported over a large area. Therefore INDeX DECT may be rapidly deployed for the provision of temporary communications for building sites, trade fairs, major refurbishment projects and disaster recovery. Organisational change is becoming more frequent as companies become more dynamic. The costs of telephone adds, moves and reconfigurations necessary to keep up with these changes can be drastically reduced by using cordless telephony in place of providing cabling to every workplace. INDeX DECT accommodates modern working practices within the company premises such as hot desking and teleworkers. With no cables or wired telephone points users can simply acquire a cordless handset and be free to sit where they choose. This concept can be further extended to create a cordless handset loan or hire service for visitors to the company. In the case of hospitality and healthcare environments, such a service could provide a new revenue stream. Training Requirements The productisation of INDeX DECT has been given careful consideration to enable fast track introduction into your business and product portfolio. There is no formal accreditation for INDeX DECT, but one of the two training options detailed below must be satisfied for the minimal training requirements. This is free of charge and typically will last only half a day. In order to perform the necessary site survey, you will also need to invest in an INDeX DECT dem kit. Currently scheduled T09 course dates are May 21, 22, June 4, 5, 25, 26, 27, July 2, 7, 18, August 6, 11, 22. If necessary additional courses will be arranged to meet demand. Technical Support Technical support for INDeX DECT will be provided by our Technical Support Group (TSG) in the same manner as other products from SDX Business Systems. Requests for technical support relating to base station coverage issues must be accompanied by site survey details and site plans showing base station locations. Warranty & Returns All components of INDeX DECT are supplied with a 12 months repair or replacement warranty, effective from date of invoice. The existing out of box failure and field return procedure for INDeX will apply. Failures out side of warranty are subject to the repair charges detailed in the pricing section of this document. INDeX DECT Implementation Services from SDX Systemcare A complete range of implementation services, including survey, installation and maintenance are available from SDX Systemcare. These services are intended for resellers who have chosen the option 1 training route, but are also available for those who have chosen the option 2 training route. Resellers may choose to be responsible for INDeX system implementation and sub-contract only the INDeX DECT elements to SDX Systemcare, or alternatively all elements of implementation may be sub-contracted. Enquiries and orders for implementation services should be placed with the SDX Systemcare Projects Desk (DDI 01707 364407). Site Survey This is the most critical activity to ensure the successful implementation of an INDeX DECT system. The site survey measures the radio propagation on the customers site and determines the optimum positions of the base stations. The charge for provision of a site survey is £350 (nett). System Installation The system installation service is only available if the initial site survey was completed by SDX Systemcare. The installation service includes the following implementation and project management activities:• Wall mounting the DCU • Connection from DCU to TJF • Installation of base stations • Registration of up to 64 DH1 handsets • Test and commission of INDeX DECT The following charges are applicable for installation:• Systems of 1-4 base stations £250 (nett) • Systems of 5-8 base stations £350 (nett) • Systems of 9-16 base stations £600 (nett) There will be an additional cabling charge per base station. This is subject to survey and quotation because base station location may require complex cable runs or the use of scaffolding. System Maintenance The maintenance service is only available for systems installed by SDX Systemcare. The normal Systemcare maintenance service options are available for INDeX DECT. If the reseller plans to maintain the INDeX system, but sub-contract the INDeX DECT maintenance, the maintenance contracts should be arranged so that the customer has a single contract with his reseller who passes INDeX DECT maintenance calls to Systemcare. The charge for maintenance is subject to individual quotation, but the following is a guide for the standard level of service:• Year 1 - 10% of INDeX DECT RSP, less 25% • Year 2 - 10% of INDeX DECT RSP Compatibility INDeX DECT is compatible with all software versions of INDeX. However Level 6.1 or later and Voice Manager 5.9 are recommended because “chain diverts” and opening the first target mailbox are supported. These features are useful when diverting from a DT to a DH1 with divert on no answer to voice mail and ensure that the mailbox of the dialled extension is opened. The “cordless” port type and associated licence key are not required for integration to INDeX DECT. These features were introduced to support connection of the Peacock RTS 1250 CT2 system. INDeX DECT may be connected to any system that can provide analogue extension ports supporting DTMF or loop dialling and timed-break recall. This includes the complete range of earlier SDX products and other manufacturers’ products. The approval of INDeX DECT does not permit connection to direct exchange lines. System Component & Configuration Details INDeX DECT comprises a limited number of component parts. To keep ordering and configuration simple the packaging of each component has been carefully considered so that all cables and associated items are automatically supplied. The ordering of INDeX DECT is based around a ‘Starter Pack’ which is a 2 base station, 4 handset system to which addition components may be added to create a system of the required configuration. DECT Control Unit (DCU) The DECT Control Unit provides an intelligent interface between the INDeX and the DECT Base Stations. It comprises a wall mounted cabinet supplied pre-configured with an integrated PSU and intelligent motherboard. The motherboard provides the processor function of INDeX DECT and interfaces for 8 DBS. Also supported by the motherboard are a maximum of 8 DECT Alog Boards (DAB) and the DECT Expansion Board (DEB). A V24 port is provided on the motherboard for the connection of a PC or modem for configuration and maintenance functions. Please note that the DCU is not supplied as an individual item and is only available with the starter pack. DECT Alog Board (DAB) The DAB is installed in the DCU and provides 8 interface circuits for connection to alog cassettes in the associated INDeX system. The DAB interface circuits support DTMF or loop dialling and timed-break recall. A dedicated DAB interface circuit is required for each DH1 handset on INDeX DECT. The DCU supports 8 DABs, each DAB supports 8 DH1 handsets, so the maximum capacity of INDeX DECT is 64 DH1s. Supplied with a DAB 5m cable for connection to TJF. DECT Expansion Board (DEB) This is installed in the DCU to provide interfaces for an additional 8 DBS. A DEB must be installed if the total number of DBS to be supported by INDeX DECT is between 9 and 16 (i.e. greater than 8). Supplied with DCU/DEB 5m cable for connection to TJF. DECT Base Station (DBS) The DBS provides radio coverage of between 60 and 600 metres depending on building construction. It is connected to the DCU by a single two wire cable of maximum 1km length. Each DBS can support 4 simultaneous DH1 calls. The DCU supports 8 DBS as standard or 16 DBS if the DEB is installed. The DBS uses the same connection method as INDeX DTs and is supplied with a standard DT line cord. DH1 Cordless Handsets The DH1 is a light weight pocket size cordless handset, supplied with user guide and a part charged battery with capacity for 9 hours talk time / 90 hours standby. The DH1 can support the connection of a headset. In addition to all the features of the INDeX alog 2-wire port, (except the receipt of message waiting) the DH1 has a number of special cordless features. 4 Way Charger Wall or desk mount charger rack for 4 DH1 handsets. Supplied with plug top power supply unit. Single Charger Desktop charger for a single DH1 handset with a fast charge slot for a spare battery. Supplied with plug top power supply unit. Headset Adaptor Cable Plugs into DH1 and provides quick disconnect connector to enable GN Netcom headsets to be used with the DH1. The recommended headsets are the ADDvantage monaural - order code AHS/M/ADD, and the Profile I/II/III order code AHS/M/P123. INDeX DECT Starter Pack INDeX DECT is supplied as a starter pack containing all the essential components for a system configuration of 4 DH1 handsets and 2 DBS. Additional components should be ordered for use with the starter pack to enable the required customer configuration. The starter pack comprises the following items:• 1 DECT Control Unit (DCU) • 1 DECT Alog Board (DAB) • 2 DECT Base Stations (DBS) with line cords • 4 DH1 cordless handsets • 4 Single Chargers with plug top power supply units • 1 DAB 5m cable for connection to TJF • 1 DCU/DEB 5m cable for connection to TJF • 1 programming cable (DCU to PC) • 1 mains cable Pricing & Ordering Details Full details of INDeX DECT pricing and configuration are included in the new SDX Business Systems price list, see Reseller Update 118. Orders for INDeX DECT should be placed in the normal manner, but must be accompanied by the attached INDeX DECT registration and order form. Issued by Andrew Saunders (extn 4175) Reseller Update Update no: 120 Date: 22nd May 1997 --------------------------------------------------------------------------------------------------------------- Fax Manager for SDX Voice Manager Fax Manager on the SDX Voice Manager has intermittently exhibited a number of problems. This has meant the temporary unavailability of facsimile whilst these problems were investigated further. The problems have arisen in environments where a single DDI number is routed to the Voice Manager which is configured to automatically detect fax carrier tone to receive a fax document. Under such circumstances and in a small number of instances, voice channel performance problems have been experienced upon detecting the fax carrier. Fortunately, only a very small proportion of sites that make specific use of the feature described have been affected. The majority of facsimile installations have used the fax facility either for outgoing facsimile (fax transmitted to the caller either on the same line or by transmission at a later time), or on dedicated facsimile DDI numbers where the detection of fax carrier was not called for. SDX are now able to supply facsimile on a Controlled Release basis if the customer requirement does not involve the problem situation described. This follows extensive analysis, testing and prolonged field trialling. At no time during this episode has any voice functionality been affected. No special version of the software is being issued to rectify this as the problem has been identified to be related to the manner in which the product is used. Every effort is being made to fix this problem and the solution will be communicated when available. All orders for Voice Managers with fax must be accompanied with a Controlled Release form as attached which should be forwarded to Sales Order Processing. Year 2000 Compliance Update SDX BS plc recently communicated in Reseller Update 114 dated 2nd April 1997, that holiday times on Voice Manager are non year 2000 compliant. This has now been corrected. All new systems shipped after June 1997 will be fully 2000 compliant and a FOC upgrade ‘pack’ will be available at the end of June 1997. Full details will be communicated nearer the time. (Please refer to Reseller Update no. 102). These are used to help identify why the product has been returned to SDX Business Systems. In February we stated that we would not process product returns that did not have labels. Since then we have operated a relatively ‘relaxed’ enforcement of this procedure. However, we now wish to enforce it more rigorously. This update is to inform you that since Monday 19th May this policy has been fully enforced. Goods returned to us will not be processed if a Product Return Label is not present. We have plenty of label pads should you not have any and they are available free of charge (order code LAB-RETPAB). Issued by:- Sarah Stacey (extn. 4162) Attached:- Reseller Update 102 Reseller Update Update no: 123 Date: 19th June 1997 --------------------------------------------------------------------------------------------------------------- The Data Router Cassette Product Overview The Data Router Cassette (DRC) is the first product to emerge from our development relationship with Bay Networks. The DRC enables the INDeX to route data from an Ethernet Local Area Network (LAN) across any of its digital line cards in the same way as voice calls. That is to say, all of the INDeX’s alternate route selection features can be equally applied to data as well as voice, allowing calls to be re-routed in the event of congestion or failure. The DRC can support upto a maximum of 32 x 64K connections. These connections could all be to a single location or thirty-two individual locations. The DRC can automatically add new 64K channels to a call should the need for additional bandwidth arise, or drop channels should the amount of data fall. One of the key differences between the DRC and other routers is the ability to handle data from analogue modems (upto eight) as well as from other routers. The DRC also includes, as standard, an X.21 interface for connecting DRCs (in different locations) via kilostream services or frame relay networks. Detailed below are some key applications suited to the DRC. Remember these applications are NOT mutually exclusive, a single DRC can link LANs, enable remote workers and provide access to the Internet all at once. (For the full product overview please refer to the Product Description Addendum 2, May 1997). Key Applications Voice & Data over Private Circuits- Replacing Multiplexers Traditionally, companies with private networks wishing to share a megastream circuit between voice and data, have installed multiplexers to which the voice and data networks are connected. Using a DRC at each of the sites removes the need for the multiplexer. Apart from the financial benefits of less equipment, the DRC has a distinct advantage over time division multiplexers (TDMs) in that it establishes connections as and when there is data to send, whereas traditional TDMs allocate a fixed bandwidth to voice and data regardless of the demand. However, if the customer requires, INDeX can be configured so that voice and data have their own groups of B-Channels; have some dedicated channels and share the rest; or just contend for the whole link. 1 of 9 Linking Multiple LANs Together Using Public Circuits Where the volume of voice and data traffic does not justify the expense of a private circuit, data can be switched over the public network. In this type of solution minimising call costs is paramount. The DRC adds to INDeX’s least cost routing software by spoofing and compressing data calls. Spoofing is where network administration data is handled locally by the DRC on behalf of the distant network, thereby eliminating unnecessary telephone calls. Compressing the data to be sent to the far network will reduce the number of 64K B channels required. Home and Mobile Workers Home and mobile working are now becoming popular topics increasing the need for “dial up” access to the corporate LAN. Home workers fall into two categories - permanent and occasional. Permanent home workers are likely to be using ISDN lines. By providing a Bay Networks CLAM* in the home connecting to a DRC in the office, all the benefits of spoofing and compression detailed above can be given. Occasional and mobile workers are more likely to require modem access to the office. The DRC with the full modem option is able to support upto 8 simultaneous modem connections. When a call is presented to the DRC it automatically checks to see if it’s a digitally sourced or modem call. If the caller is using a modem the DRC will allocate a modem for the duration of the call after which it will be freed for reuse. *Note: CLAM - a small ISDN2 (Basic rate) router Enabling Internet Access A DRC can be used as the gateway to an Internet Provider. It supports industry standard protocols for connecting to Third Party routers that may be in use by a Internet Provider. When using the DRC or any router for Internet access it is important to install a firewall for security. In these types of application authentication protocols and CLI checking are ineffective. Publications There are a number of new publications available to assist at the point of sale these are:1) 2) 3) 4) Product description Data Brochure Data Glossary Price List Configuration Information Each INDeX system can support ONE Data Router Cassette. The DRC can be installed in any slot on the system. Each B channel (up to 32) that is enabled on the DRC uses 1 port on the INDeX. Therefore a DRC uses as a minimum 8 ports, or 16, 24, 32 ports depending on the type of licence key ordered. Modems do not use ports on the INDeX. Ordering and Pricing Information There are three hardware variants of the DRC, the zero modem option (DRC-0M), the four modem option (DRC-4M) and the eight modem option (DRC-8M). The DRC is supplied with 8 x 64Kbps B-channels as standard, configurations above 8 B-channels require the purchase of a licence key for the additional channels. In order to purchase the correct licence, as with all INDeX keys, it is necessary to know the serial number of the INDeX CPU that the DRC is going to be used in conjunction with. Note: The licence is held on the INDeX CPU, if the CPU is changed a new licence will be required. 2 of 9 As an example, if you require a 24 B-channel DRC with four modems you will need to purchase a DRC-4M and a LIC-DRC-16B (8 + 16). (VAR = Value Added Reseller). The SDX Accredited INDeX Reseller (DRC) will be able to sell, install and maintain the DRC. The convergence of the voice and data worlds, plus the introduction of the DRC, present immense opportunities for INDeX Resellers as customers look for one total solutions provider for their Voice and Data requirements. However to fully maximise the potential offered, SDX Business Systems and our Resellers need to take on and keep abreast of new products and technologies in the data market. With this is mind we have introduced a new category of accreditation - the SDX Accredited INDeX VAR (Value Added Reseller). This category of accreditation covers both INDeX specific products and ‘other’ complementary products and /or technologies. The SDX Accredited INDeX VAR (Data) will be able to sell, install and maintain complete voice and/or data solutions incorporating the DRC and/ or Bay Networks data products. On completion of VAR accreditation the Reseller will also be a Bay Networks Authorised Partner (Bay AP). This is a highly regarded qualification in the data industry and will be a powerful differentiator at the point of sale. 3 of 9 SDX Accredited INDeX Reseller (DRC) To attain accreditation the Reseller must have two sales and two technical staff qualified as detailed below. In addition all sales will be subject to the purchase of a minimum of one day’s pre-sales support (£750nett) from SDX Business Systems plc. This should be ordered from SDX Business System’s Technical Support Group. Please contact Claire Saunders (01707 392200 ext. 4335). This course should be attended prior to T39 and T91. Course Code Duration INDeX LAN and NOC T38 1 day Part Two This section enables the Reseller to achieve Bay Networks Authorised Partner status. Please note that this entails completing an application form which is submitted to Bay Networks for approval. This is a currently a significant task (the application form is twelve pages) and time consuming since Bay Networks in the States have to sign off the approval. We are negotiating with Bay a process of facilitating this approval and as soon as we have completed this we will distribute the information and assist each Reseller with their application. The appropriate number of delegates must pass a number of external examinations which relate specifically to Bay Networks products. Naturally if a Reseller already has full Bay AP or higher status then these delegates are exempt from this part of the Data VAR accreditation. The same delegates still have to complete the INDeX specific element. The examinations are held at ‘Sylvan Prometric’ approved test centres (Sylvan Prometric is a Bay approved independent testing organisation). Examinations may be taken at a number of regional centres. Further details of location, dates and prices can be obtained by telephoning 0800 592873. Approximate fees are £100 - 150 per examination. These fees are NOT included in training fees. The mandatory examinations are as follows: Examination Title Network Manager Hub Connectivity Router Specialist Switching Specialist Min number of delegates 4 1 1 1 Where only one delegate is required to pass an examination it is possible for the same one engineer to pass all three or, for the examination load to be distributed amongst the nominated engineers. There are a range of courses to assist delegates in preparing for these examinations. We strongly recommend that these courses are attended since the examinations are based on them. Course Network Management Optivity Hub Connectivity Bridge/Router Switching Code T171 T201 T196 T202 T269 Duration 4 days 2 days 5 days 4 days 3 days Associated examination Network Manager+ Network Manager+ Hub Specialist Router Specialist Switching Specialist + There are two courses to prepare for the Network Manager examination, a four day and a two day. The four day course is more in-depth and includes more comprehensive product literature (extremely useful for the examination). We recommend that at least one engineer attends the four day course to enable the literature to be available for the other three engineers who can then attend the two day course. Without the literature from the four day course it is very difficult to pass the Network Manager examination. 6 of 9 We strongly recommend that engineers with little or no hands on experience of protocols attend the following course first. Course TCP/IP Support Code T203 Duration 2 days Special Pricing for SDX Accredited VAR (Data) Due to the level of training required to enable SDX Resellers to gain Accredited VAR status, SDX has arranged a training package which ensures that costs to the reseller are minimised but the quality of courses are maintained. We are offering a special price of £3700 for the minimum level of training* required for four Reseller engineers’ tuition for the data element of part one of the accreditation. This is a reduction of £900. The courses are detailed below. Course Data Skills INDeX DRC PTS Data Code T37 T39 T91 Duration 1 day 2 days 3 days Minimum number of delegates 4 4 4 *the minimum level of training assumes that the Reseller is already accredited for INDeX or ACD and thus already has certification for the other courses. To gain Bay Authorised Partner status (via the Bay training courses) the course duration and costs would be as follows: Course Network Manager course (4 days) - 4 delegates Hub Connectivity course (5 days) - 1 delegate Bridge/Router course (5 days) - 1 delegate Switching course (3 days) - 1 delegate Duration 16 days 5 days 5 days 3 days Cost £6160 £1925 £1925 £1155 This represents a total of twenty-nine days training at a price of £11165. Allowing for the three training credits offered by Bay to Bay AP resellers (traded against the three most expensive courses) this would represent a final cost to the Reseller of £5765 (to train the minimum number of delegates NOT per engineer). In comparison, by sourcing suitable alternatives, we have managed to reduce the number of days training to only twenty-two days at a cost of £3500. The courses are detailed below. Course Network Management Optivity Hub Connectivity Bridge/Router Switching Code T171 T201 T196 T202 T269 Duration 4 days 2 days 5 days 4 days 3 days Minimum number of delegates 1 3 1 1 1 In summary therefore, an existing SDX Accredited INDeX Reseller can complete the training for Data VAR accreditation for a package price of £7200. The two additional recommended courses (T38 INDeX LAN and NOC and T203 TCP/IP Support) are available at a discounted price of £750 per delegate if booked at the same time as the data package. The full cost of the courses, if booked separately, is £825. Centralised Voice Mail INDeX to INDeX Details of the centralised voice mail applications supported by INDeX require reiteration. Within INDeX only networks, centralised voice mail operation is supported using either the SDX Voice Manager or the Seltek Premier Voice Manager. In both cases the benefit of visual voice mail integration is available to all INDeX display terminal users within the network. The remote INDeX sites within the network have voice mail box functionality but do not have access to:• Auto Attendant • Call Queuing • ACD record options The following planning rules apply for centralised voice mail within INDeX networks:• • • • • All INDeXs have Level 6.3.1 software All INDeXs are using a linked numbering scheme All INDeXs are using the same extension number length across the network SDX Voice Manager is at version 5.9 using the ‘SDX Last’ option only Seltek Premier Voice Manager is at version 4.5 or above Centralised Voice Mail INDeX to iSDX INDeX centralised voice mail operation with iSDX is supported at Level 6.3.1 for the following configurations. INDeX with DPNSS connection to an iSDX that has analogue connection to an Octel VMX Voice Mail system. Because of the proprietary way that iSDX operates voice mail message waiting, INDeX only supports centralised voice mail with iSDX in this particular configuration achieving a high level of integration. Support of other centralised voice mail applications with iSDX is not supported, if in doubt contact TSG or Sales Support. The brochure has a RSP of £0.75 each and is sold in packs of 50. An initial quantity of 100 is being sent to each reseller under separate cover. The order code for this item is D-BRDECT. The brochure contains a product overview of INDeX DECT and an introduction to the business benefits of cordless telephony. A more detailed description of INDeX DECT is contained in the Product Description Addendum II. This has an RSP of £4 each and is sold in packs of 20, order code D-PRDESAD2 - sample enclosed. DH1 Handset Accessories The INDeX DECT DH1 cordless handset is to complemented by the introduction of two accessories, a phone cover and a holster. Both items are manufactured in quality black leather specifically for the DH1. Each unit has a sturdy integrated belt clip, making them suitable for use during most physical activities. It is recommended that the clip of the DH1 is removed when used with these products. The phone cover has a clear plastic front and need only be removed from the DH1 when the battery requires charging. The phone cover provides additional protection against physical damage and the ingress of moisture and dirt. The holster provides a very secure method of carrying the DH1 on a belt and is particularly useful when engaged in physical activities, e.g. maintenance and warehouse work. The DH1 is removed from the holster to make and receive calls and for battery charging. Both the phone cover and holster will be available from 18th August. Repaired handsets will be returned with original battery, it is therefore advisable to return handsets for repair without the battery. There is no repair service for chargers or charger PSUs. Misleading Competitive Comparison It has come to our attention that a competitor is circulating a comparison between INDeX DECT and their own DECT product. The comparison is misleading in many respects and entirely inaccurate in a number of areas. Whilst it would be inappropriate to name the competitor or the product concerned, it is important to provide accurate information concerning the areas of comparison, these are detailed below. Analogue vs. Digital Connection Connection to an analogue extension port on the interworking INDeX or PBX is required for each INDeX DECT DH1 cordless handset. This method of integration offers a number of benefits over digital connection:• Non-blocking full availability connection between INDeX and INDeX DECT. Therefore no complex traffic planning to determine the number of digital channels. • INDeX DECT can be integrated with any PBX. • DH1 cordless handsets are analogue extensions of the host INDeX or PBX and therefore have access to the all features of the host system. Furthermore if INDeX DECT is added to a legacy PBX, DH1 users do not need to learn new features or change existing working practices. • Being feature transparent, INDeX DECT simply uses the intelligence and call routing capability of the host INDeX or PBX. This simplifies INDeX DECT installation, configuration and maintenance and removes the risk of interworking problems. System Size INDeX DECT has a maximum configuration of 16 base stations and 64 handsets. The average DECT system configuration in business applications is 4 base stations and 12 handsets. Therefore INDeX DECT clearly has the capacity to address the cordless market opportunity. It is expected that the average DECT system size will increase as the cordless market develops. Accordingly a development is planned for INDeX DECT that will increase the system capacity to 32 base stations and 128 handsets, delivery expected second half of 1998. Handover and Roaming Contrary to the competitor suggestion INDeX DECT supports the features of roaming and seamless handover. These features are generic functions of multi base station DECT technology. Handover is an instantaneous process that does not introduce any delay, disruption or distortion to speech quality. INDeX DECT users will not be aware that handover has occurred. Additional Benefits of INDeX DECT • INDeX DECT is available to INDeX Resellers on an exclusive basis differentiating the INDeX Reseller at the point of sale. • Unlike many other products, including the competitor in question, INDeX DECT is fully GAP compliant. This is becoming a major requirement for purchasers of DECT systems and is a major point of product differentiation. • The analogue integration method used by INDeX DECT means that it is compatible with almost any PBX, increasing the business opportunity of INDeX DECT as a value add sale. Please refer to the Product Description Addendum 2 for a complete description of INDeX DECT, the features of roaming and handover, and the business benefits of cordless telephony. Issued by:- Andrew Saunders (ext 4175) Reseller Update Update no: 128 Date: 22nd August 1997 ------------------------------------------------------------------------------------------------------------------- Controlled Release of Level 7.0 With immediate effect SDX Business Systems plc are pleased to announce that INDeX Level 7.0 software will be available on Controlled Release. The objective of this Reseller Update is to highlight the key features of Level 7.0 software and the corresponding ordering mechanism. Level 7.0 provides the software platform to support a future range of second generation value added products. Also incorporated are a number of functionality enhancements which are detailed in the attached Level 7.0 Product Description. The key features of level 7.0 are summarised as follows • • • • • • • Support of the Data Router Cassette DDI Routing Enhancements Mobile Number Feature DSS/BLF Enhancements Call Centre Enhancements Licence Key Enhancements Administration Enhancements Compatibility Level 7.0 software should only be installed on a CPU that is PCS 11 or above, it can be upgraded from any version of INDeX software, and is compatible with the Global Voice Manager 5.9, the Seltek Voice Manager 4.6, ACD 4.2/5.1/5.2 (for CPU’s 200/400/800) and ACD 5.2 for use with the CPU100. Level 7.0 Software Upgrades A Level 7.0 upgrade pack will be despatched free of charge to each Reseller Technical Principal. Additional upgrade packs may be ordered using the code INDEX-70 RSP £100 (normal MLD applies). CPUs will continue to be despatched at 6.3.1 software until the general release of level 7.0 in September, from which point CPUs will be despatched loaded with 7.0 software. The upgrade packs will contain CPU100, 200, 400 and 800 software at controlled release version level 7.0. Also included in the pack are updated system programming, installation and maintenance sections of the engineering manual in both hard copy and Windows help file format. The electronic serial number of a CPU does not change when it is upgraded to Level 7.0. Therefore the licence keys previously supplied with CPUs remain valid after upgrading to Level 7.0. Note: Please be aware of the new Agent licence key that is required in level 7.0 for systems using the SDX ACD Manager, Seltek Premier and Seltek Lite Voice Manager products. Please notify SDX Business Systems when upgrading an existing system to Level 7.0 by completing the attached ‘7.0 Controlled Release Registration Form’. This form is also used to obtain the new ACD Agent and Mobile Numbers licence keys. See ‘Controlled Release Registration’ section below. The new features, facilities and associated benefits enabled by Level 7.0 are available to existing INDeX users as a simple upgrade. Although Level 7.0 is available free of charge to our Resellers, the opportunity exists for Resellers to charge for the software element of upgrades to existing systems. Therefore SDX Business Systems are suggesting a retail selling price of £595 for the software element of Level 7.0 upgrades. Feature Licence Keys As per Level 6.3.1, licence keys are required for WOCs, Visual Voice Mail Integration, CTI and Silent Monitor. In Level 7.0 the Cordless licence has been renamed Divert Tones and the functionality revised. A licence key is no longer required for MF integration of such devices as doorphones, which is now enabled on the terminal menu. A level 6 series system with the Cordless licence enabled that is upgraded to level 7.0 will automatically have the Divert Tones licence enabled. The Cordless licence was introduced to enable integration with the Peacock RTS 1250 cordless system. INDeX DECT does not require the use of the Cordless licence. The Cordless licence has also been used to enable simple MF integration with third party voice mail products. The Cordless licence has an RSP £1000 (normal MLD applies) as detailed in the current SDX Business Systems price list. However in exceptional circumstances this has been made available FOC at the discretion of SDX Business Systems. When Level 7.0 moves to general release in September, the Cordless / Divert Tones licence key will in all cases be subject to the revised RSP of £1750 (normal MLD applies). Systems using a SDX ACD Manager will require an ACD Agent licence corresponding to the maximum number of simultaneously logged on ACD agents. The Seltek Premier and Lite VM also use an ACD agent log on code for each of its VM channels. Please remember to include these in the ACD Agent licence. For example, a system with a 30 agent ACD and a Seltek Voice Manager with 4 voice channels, will need an ACD Agent licence for a minimum of 34 agents. The closest available ACD Agent licence is for 35 agents. Refer to the INDeX Level 7.0 Product Description for further details and a list of available ACD Agent licences. The ACD Agent licence is currently FOC and only available to users of SDX ACD Manager and Seltek Premier / Lite Voice Manager. The Mobile Numbers feature allows a DT and an associated INDeX DECT DH1 to share a single directory number. Refer to the INDeX Level 7.0 Product Description for further details. This feature is enabled by the new Mobile Number licence, which is FOC but will only be available to users of INDeX DECT Licence keys for Silent Monitor, WOC and Visual Voice Mail Integration continue to remain free of charge. CPUs will continue to be supplied with licence keys for two WOCs and Visual Voice Mail Integration until further notice. The ACD Agent and Mobile Number licences can be obtained by using the ‘7.0 Controlled Release Registration’ form see ‘Controlled Release Registration’ section below. Training Unlike previous releases of INDeX software, it is not mandatory that engineers receive technical update training for Level 7.0. The documented changes in the installation, programming and maintenance manuals will provide the information an engineer will require to understand the changes from 6.3.1 to level 7.0. However, if any Reseller would like to attend a specific Level 7.0 workshop, please contact Carol Bell on 01707 364154. As level 7.0 goes into controlled release any future SDX Business Systems training courses will be run on the level 7.0 INDeX platform. Similarly, the Level 7.0 documentation will provide the information required for Sales Training. However, if the Reseller requires a Level 7.0 Product Update, this should be arranged directly with your Regional Account Manager. Controlled Release Registration To ensure that the controlled release process is a success and that the appropriate level of support is available it is important that we have complete visibility of all systems with Level 7.0. Therefore, please notify SDX Business Systems when upgrading an existing system to Level 7.0 by completing the attached ‘7.0 Controlled Release Registration’ form. The key features of level 7.0 are summarised as follows: ♦ DDI Routing Enhancements ♦ Mobile User Enhancements ♦ DSS/ BLF Enhancements ♦ Call Centre Enhancements ♦ Licence Key Enhancements ♦ Administration Enhancements DDI Routing Enhancements INDeX level 7.0 has added further DDI functionality to the existing benefits available in previous levels of INDeX software. DDI Alpha Tagging Enhancements Historically, DDI numbers have been routed via individual pilot tables to achieve a unique alpha tag for each number. This was an in-efficient use of directory numbers, because many calls are often routed to common destinations. A new DDI Number table has been introduced within the DDI number menu. This has a capacity of 1000 DDI numbers in a maximum of 10 blocks, DDI number may be up to 8 digits in length. The DDI table allows a unique alpha tag to be assigned to each DDI without using a pilot number. The new DDI alpha tag has a display priority above pilot number names (see following table). The DDI alpha tag table does not control call routing. The call routing of DDI will continue to be achieved by existing methods. For Example : On previous versions of INDeX software a DDI call to an extension would not show an alpha tag unless the call was sent via a pilot number, using the pilot name for alpha tagging. This uses 3 directory numbers every time it is used (ie. Pilot, associated Trunk & Terminal number). With level 7.0 the DDI number is passed through a DDI Names list which will attribute the DDI name to the DDI call, displaying the alpha tag from the DDI names list in the display of the terminal. A Second Example: If a block of DDI numbers are presented to a an ACD group, each DDI having its own alpha tag. Previous versions of INDeX software would require an individual pilot number for each DDI alpha tag. With level 7.0, the incoming DDI can be given an alpha tag by the DDI Names list, and then follow a translation to match the DDI range to a single pilot number. This saves using up blocks of pilot numbers, purely to provide alpha tagging. Page 2 Naming Priorities The following table indicates the display priority for incoming calls (Priority 1 being the highest). The Group Name is the name associated with the terminal group. Name Priority Group Name DDI Name Pilot Name Trunk Name CLI or Speed Dial Name 1 2 3 4 5 For Example, A call presented on a line with a trunk name programmed will show the name of the trunk rather than the CLI or Speed Dial Name. Back Busy on DDI A new directory/pilot number sub menu has been added for DDI call routing that determines the maximum simultaneous number of call attempts/connected calls that are possible for each DDI number. When this number is reached any additional call attempt will be rejected as if the destination was busy. This new field is called the Call Limit field. For Example: If this parameter is set to a value of 10 for a particular DDI number and 9 calls have been presented on this number and are currently connected to agents, when a 10th call is presented on the DDI number it shall be routed according to the incoming dispositions. However, if there is a subsequent call attempt, i.e. the 11th call attempt, then this will be rejected as busy. No further call attempts will be successful until the total number of connected or queued calls that were presented on this DDI number falls to below 10. Mobile Number A new feature Mobile Number has been added, this allows the user to have one number for both their normal DT extension and their DECT handset. When the normal extension is called both the DT and DECT handsets ring, giving the effect of your DT being in parallel with your DH1 handset. If the user is called while using either handset, the system will give a busy indication, and the option to use message, call back and camp on. This feature is only available with the INDeX DECT. The Mobile Users Licence has to be enabled for this facility to work. Some of the benefits available with this feature are : • not having to set your divert every time you leave your desk • if the user is in a meeting and does not want to be disturbed. When the DECT handset is turned off the call will continue ringing the DT handset following the divert no answer to Voicemail. This feature is invoked by entering a valid internal number (ie. the DECT dn), in a field Mobile Number under the terminal/ extended functions menu. DSS/BLF Enhancements The ability to route DDI calls via a pilot trunk plan is very powerful and a USP of SDX/INDeX. It is now possible to programme a pilot number under a DSS/BLF key on a terminal and a DSS/BLF unit. When multiple calls are presented this enables the user to determine the answer priority. For example: An operator may have pilot numbers for support, sales and administration programmed on their BLF keys. In the event of the different DDI calls being presented at one time, the operator can then select which call they answer first. Page 3 The key gives an alternate red/green indication to indicate an incoming call. When the status of the monitored pilot number changes from idle to ringing, a burst of ring indication is given on the terminal. The terminal with the pilot number DSS/BLF key, should be included in the ringing pattern for the calls routed via the pilot number. As the key does not represent a physical trunk the lamp will only show ringing status. A further enhancement is that when a trunk group number is programmed against a DSS/BLF key, there will now be a single burst of ringing when incoming calls are presented. This gives the operator both visual and audible indication that a call is waiting from that specific trunk group. For example: An office may have a collective group containing two answering positions, each located in separate parts of the building. If ext A leaves their desk and forgets to take their phone out of group, and a call comes in while ext B busy, ext A will ring and therefore ext B will not receive call waiting. If the trunk group number is programmed on the terminal, ext B will be given visual and audible indication that there is another call to deal with. DSS/BLFs units are often used with DT’s to create operator stations. It is now possible for internal calls to queue and hear ring tone when calling such an operator station when the DT is busy. This is achieved by allowing extensions to call pilot numbers (i.e a pilot number 0) and hear ring tone. This pilot number should then be programmed on a DSS/BLF key of the operator station. A burst of ring indication is given to the operator station DT when the status of the monitored pilot number changes from no ringing extensions to ringing extensions. Note: It is recommended that trunks are not routed to the operator station using the same pilot number as internal calls. Page 4 Call Centre Enhancements INDeX level 7.0 has introduced a number of changes in ‘Call Centre’ functionality that provides benefits for current and future ACD products. Supervisor Messages A new menu option ‘supervisor messages’ has been created. This menu allows the original preset ACD soft key messages URGENT, MANAGER, LISTEN and HELP to be modified with up to a maximum of 8 messages per Turret. It is possible to define up to 30 messages for system wide use. Each message has two fields, the first field (7 alpha numeric characters) is where the message name that will be displayed on the TT3/5 soft keys. The second field (30 alpha numeric characters) allows a longer description of the function key. A new terminal menu option has also been introduced. This new option is used to define a maximum of 8 messages from the 30, that is available to each terminal. The 8 preferred messages are entered in order of priority for each terminal. While connected to an external call, the agent will select the required supervisor message using the context sensitive display and scroll key. To enable these soft functions to easily integrate with the Seltek ACD, the soft keys also generate events when selected. The event number that is sent can be calculated by subtracting the message number from one hundred (see table below). Defaults provide URGENT, MANAGER, LISTEN and HELP keys which send the same events as the corresponding old keys except that HELP now sends 99 instead of 999. Message List Number ‘P’ Event Help Listen Manager Urgent Definable 1 2 3 4 5-30 99 98 97 96 95-70 Automatic Busy Wrap-up Time-out A time-out has been introduced to automatically force agents out of Busy Wrap-up. It is selected in administration per terminal, if manual or automatic Busy Wrap-up is to be used. There is a time out parameter value for each agent, this may have the value 0 to 999 seconds. Where 0 indicates manual busy wrap-up. This allows the agents supervisor to define a maximum time spent in Busy Wrap-up before the agent will be forced back into the ‘available’ state and able to take further calls. However this does not prevent the Agent to manually exit the Busy Wrap Up state. Page 5 Roaming Agent Enhancement The feature introduced in 6.3 software that allowed a trunk plan to be assigned for each Roaming agent has been enhanced. On previous levels of software an internal call to a roaming agent that was logged off, would end with the caller receiving an unavailable indication. A message number parameter has now been assigned for each Roaming Agent number. This parameter determines where all internal calls to that agent number will be routed when the agent is not logged on, this is normally expected to be a voice mail system. For Example : If an agent has logged off for the day, and has a Voicemail box, any internal call, or transferred external call to that Roaming Agent number will follow the message number (VM group), opening the correct mailbox for that agent.. Note: An external DDI call to the roaming agent will still follow the trunk plan, as on INDeX 6.3 software. Licence Key Enhancements A number of new licence keys have been introduced in level 7.0. Agent Licence Licence keys will be used to control the maximum number of ACD agents that may be simultaneously logged-on. When the number of log-on attempts reaches the maximum limit the next log on will be unsuccessful. The ACD agent licence key has the same format as the WOC licence. i.e. a licence for the feature followed by a numeric value. The agent licence key will be sold as 1-10 agents and then additional steps of 5 agents (see table below). The agent licence key must be enabled for INDeX systems using the Seltek ACD manager. The number of agents enabled by the key should correspond with the number of agents the ACD manager will simultaneously monitor. Additionally each channel on the Seltek Premier and Lite Voice mail uses an agent from the licence key. Note: This licence key will not replace the Seltek dongle, and is intended for use on future developments. There will be no charge for Seltek ACD, Seltek Premier VM and Seltek lite VM users. In order to obtain this licence key, please read associated Reseller Update 128. Page 6 Agent Licence Keys Agent Licence Number Allowed Agent Log On’s 1 to 10 11 12 13 14 15 16 up to 50 1 to 10 15 20 25 30 35 40 210 For example: If a customer has an 30 agent ACD, the CPU will require and Agent Licence number of 14. Other Licences As well as the agent licences there have been some further licence changes, these are: 1. The cordless licence has been removed 2. Divert tones has been added and is reserved for future developments. 3. The addition of mobile numbers, which allows the user to utilise the Mobile Users feature. A new System sub menu called Server licences has been added, which consists of forty licences which will be used in conjunction with future developments. Enhanced Administration Menu The Administration package has been completely re-written although this is not obvious, it has been done to allow easier programming changes (for future developments,) and to tidy up the software code. The changes which have been done, provide a user friendly interface, concentrating in the areas where parameters have to be input, especially where large and variable screens are used eg. Groups, network routes etc. An example of this is the ability to tab through the String Analysis entries. The directory menu has changed significantly, with the Trunk and Station selections being amalgamated. A change/swap feature has also been added to simplify directory moves and changes. The swap function will completely swap all attributes of the terminal, unlike previous swap commands where the terminal number was the only area that was swapped. A new port type has been added to the terminal menu called MF Receiver, this allows the port to receive DTMF tones. This replaces the Cordless port type and is intended to be used with products such as the door entry system where DTMF from a DT keypad has to be generated in order to open the door. The permissions list has also been changed to allow greater flexibility, controlling access down to any field within administration. For example. A password could be setup for access only to the remote forward status of terminals. A new field, ‘answer page’ has been added to the system/ facility menu which allows the system manager to inhibit the answer page facility. If the field is changed to ‘no’, then page calls cannot be answered by somebody pressing the Answer/ Release key. Auto Log On has been added to the terminal/extended functions menu. This field will be used in conjunction with future developments. Note: After loading a 6 series database the permissions list must be defaulted. This is done by typing DEFAULT at the prompt in the Permissions List Menu. Page 7 External Transfers from Two Wire Ports Two wire ports are now able to terminate an attempt to transfer a call to an external destination. This feature is required so that the transfer attempt may be aborted if the external destination is busy or unavailable. The method used will involve the use of DTMF key sequences and/or recall signals. Consider the following example, a two wire port answers an incoming exchange line call. It is required to transfer the call to an external destination. Having placed the original call on hold and called the external target for the transfer, if it is busy the two wire port then wishes to terminate this outgoing call attempt and try another destination. This feature is only supported for voice mail ports. To terminate an outgoing call attempt the voice mail port dials # (DTMF hash/gate) before the inter digit time-out has expired or recall, recall # after the inter digit time-out. Level 7.0 Changes to Telephone and Turret Guides BLF Lamp Status The DSS keys on DT4, DT5, TT5 or DSS/BLF incorporate dual colour BLF lamps. These show the status of the number stored under the DSS key. Red BLF Lamp Signals: Call to/ from other extensions - Slow Flash: Call on line parked at another extension - Fast Flash: Extension ringing - Solid: Extension or line busy Green BLF Lamp Signals: Calls to your extension - Slow Flash: Call on line parked at your extension - Fast Flash: External call ringing your extension or exchange line ringing if trunk group programmed. - Solid: Call connected or held at your extension Alternate Green/Red Lamp Signal : Pilot Number. - Slow Flash: Caller ringing pilot number. Sending Supervisor Messages You can use the • ACD MSG key to send a message to your supervisor. The message appears on their PC’s screen. The message available to each turret can be altered by the system maintainer. To send a message: 1. Press • ACD MSG. Select the message to send or press • DONE. How SDX Business Systems Respond to End User Enquiries We are receiving an increasing volume of correspondence from end users primarily in the form of questionnaires and compliance statements. To all such communications we are making a consistent response in the form of the attached letter and the “SDX Business Systems – Year 2000 Compliance” document. We are not signing any end user supplied documents because many of these attempt to achieve a greater level of indemnity regarding a products performance and functionality then entitled under the Terms of Contract under which the product was acquired. We strongly recommend that you follow the same approach and create an end user response based on the format of our letter. Issued by Andrew Saunders (extn 4175) Reseller Update Update no: 135 Date: 20th November 1997 ------------------------------------------------------------------------------------------------------------------- Introduction of Level 7.1 and the CPU V Series With Level 7.0 currently on controlled release and CPU’s still being shipped with 6.3.1 software, the following update is intended to identify how a new CPU and associated software variants will be introduced within the next three months. INDeX Level 7.1 INDeX Level 7.1 will replace Level 7.0 which is currently on controlled release. Level 7.1 will be available on controlled release from December 1997. Level 7.1 will be delivered in two versions supporting both the existing CPUs and the new CPU-V series. As well as supporting the new CPU, level 7.1 will contain any fixes for any field issues found in 7.0 and have the ability to support BT’s new ISDN-2E provision (see ISDN-2E section below). The only feature enhancement between Level 7.0 f05 and Level 7.1 is a change in the Roaming Agent functionality. The message number introduced in Level 7.0 can now be either on switch, or a valid destination over a DPNSS network. As this is the only feature change, no additional Sales or Technical training will not be required. Any future software developments will be developed to work purely on the new CPU V series. This will mean that any existing CPU users that would like to take advantage of new features in future software versions after Level 7.1, will need to upgrade to a CPU V series. Level 7.1 will be the last version to support the existing CPU. A further reseller update will be issued nearer to the time of controlled release detailing the compatibility and licensing rules. Controlled Release of Level 7.0 INDeX Level 7.0f05 will remain on controlled release until the release of INDeX Level 7.1. Details of Level 7.0 software and its additional functionality can be found in the level 7.0 Product Description (enclosed in Level 7.0 upgrade pack). Field issues identified in the controlled release period and resolved in Level 7.1 may be found in Technical Bulletin 41 available from TSG. At the time of Level 7.1 Controlled Release, upgrade packs will be despatched for CPU upgrades. CPUs will continue to be despatched at 6.3.1 software until the General Release of 7.1. Introduction of the CPU V series During January 1998 the current CPU range will be replaced with the CPU V series. The CPU V series provides increased performance and memory capacity required for future INDeX developments. The CPU V will only run with level 7.1 software and any further software releases will also only run on this new CPU V series. (see Level 7.1 section). With the anticipated phase over to the new CPU in January, maintainers who require additional stocks of the existing CPU should purchase them now. However, repairs to the existing CPU will continue therefore it is not necessary to increase spares holding of the existing CPU. The CPU V will continue to support all current cassettes and GCU type devices. The administration of the INDeX will remain the same, therefore no additional training will be required. Software/ CPU Implementation The diagram below describes the phasing of the introduction of the new CPU and its associated software. Any further software developments after Level 7.1 will only be supported on the new CPU V series. 6.3.1 Existing CPU 7.0f05 Existing CPU EQUIVALENT VERSION 7.1 Existing CPU ISDN -2E BT is introducing a new ISDN2 service, this service will be known as ISDN-2E. This provision will provide full ETSI Euro-ISDN compliance to BT’s Basic Access service. INDeX has participated in interworking tests with this BT ISDN-2E provision, some of the key points to note are; DDI will no longer be sent from the public network as 3 or 4 digits, but as the complete subscriber number, without the national number prefix (zero). For example, DDI number 01707 123456 will be received as the DDI digits 1707 123456. This will have implications for the DDI names table which will not cater for more than 8 digits. Additionally the DDI call will have to be passed through String Analysis to match the received digits of 1707123456 for the required 3 or 4 digit destination on switch. (See technical bulletin 40 for more information). CLI information is sent without the national number prefix (zero), so the CLI displayed on a DT will show 1707392200 not 01707392200. This will have implications if speed dial matching is done, however this can be overcome by entering the speed dial in a different format (see technical bulletin 40 for more information). Please note that these changes will only occur if the user is connected to an ISDN-2E provision. During interworking testing it was noticed that when the link was restarted, the INDeX would require the presentation of an incoming call before an outgoing call could be made on the ISDN-2E line. Level 7.1 will deal with this ‘restart’ message, therefore SDX Business Systems recommend that the INDeX is upgraded to Level 7.1 when interfacing with an ISDN-2E connection. Since the 13th October 1997, any further BT ISDN2 installation is in the form of ISDN-2E giving full ETSI compliance to BT’s Basic Access Service. Although the original ISDN2 provision will no longer be installed, BT will continue to support this provision on existing installations. There is currently no change from previous ISDN2 pricing. Issued by Dave Garwood extn 4306 Reseller Update Update no: 136 Date: 28th November 1997 ------------------------------------------------------------------------------------------------------------------- SPOT Due to disappointing demand for SPOT, we have decided to cease manufacturing and supply of this product with effect from 31 December 1997. This is also a reflection of SDX Business Systems’ strategy of providing server based CTI solutions and a new model of the DT handset range, called the DT-6, available in the first quarter of 1998. The DT-6 will be able to provide outbound dialling functions with a direct connection to a desk top PC through an RS-232 port, thereby supporting telephony enabled outbound dialling applications such as Microsoft Outlook on a digital handset. We have a number of SPOT units in stock which are being offered, with immediate effect, at a sale price of £39.00 (plus VAT) net. Jon Cowell, SPOT Product Manager, will be taking up a new role as CTI Product Manager, reporting to Kian Kormi, effective 1 December 1997. Issued by Kian Kormi extn 4618 Reseller Update Update no: 137 Date: 28th November 1997 --------------------------------------------------------------------------------------------------------------- Data Router Cassette As a result of exceptional, sudden demand, sales of the DRC have exceeded all previous forecasts and as a result we are temporarily out of stock. The relocation of manufacturing from Watford to Ireland has exacerbated the situation as the lead time for DRC components from Bay suppliers is longer than expected. As a result the next deliveries into SDX are not expected until mid January 1998. We will continue to try and improve this 5-6 week supply problem. Issued by:- Andrew Saunders (extn. 4175) Reseller Update Update no: 138 Date: 10th December 1997 ------------------------------------------------------------------------------------------------------------------------------ Re: GN Netcom Headsets The objective of this Reseller Update is to confirm the GN Netcom headset portfolio available from SDX Business Systems plc and to communicate the positive outcome of the ongoing investigation into the performance of DT/TT with headsets in extreme ESD (Electro Static Discharge) conditions. As detailed in Reseller Update 100, (14th January 1997), a very small incidence of DT/TTs using headsets experienced failures as a result of static damage. This only occurred in areas experiencing extreme ESD. The affected sites represented less than 0.3% of the installed base. The problem was caused by a build up of static on users discharging into the DT/TT via the quick disconnect connector (QDC) on headsets. This is a generic problem of terminals and headsets with QDC, when used in extreme ESD conditions and is not particular to INDeX or GN Netcom Headsets. Although both the INDeX ® DT/TT and GN Netcom headsets have always complied with the CE requirements for ESD performance, in a small number of installations ‘real world’ conditions exceed the CE performance requirements. From 1st February 1997 until August 1997 SDX Business Systems implemented the following actions:1. All direct connect headsets, (HS/P123/IND) were supplied without the quick disconnect connector facility. 2. All Headsets purchased with an MPA II unit (HS/M/P123, HS/M/PB, HS/M/ADD & HS/M/ADD/BIN) were supplied with an isolation barrier device for connection between the MPA II unit and the terminal. At the same time a joint SDX Business Systems and GN Netcom development programme was established to improve the ESD performance of the terminal/headset combination. This development programme concluded in August 1997 and resulted in the following product developments:1. A new headset barrier box (HS-BARRIER) designed and manufactured by SDX Business Systems, with the advantages over the original unit of enhanced performance and continuity of supply. HS-BARRIER was phased in during August and will continue to be supplied as standard with all MPA II units (HS/M/P123, HS/M/PB, HS/M/ADD & HS/M/ADD/BIN). HS-BARRIER is also available separately, and is suitable for use with most designs of amplified headset. It is not suitable for use with unamplified headsets that connect directly to DT/TT. 2. A new ‘shrouded’ GN Netcom QDC that gives enhanced ESD protection and is backwards compatible with existing GN Netcom headsets. This shrouded QDC was phased in during August and will continue to be fitted as standard to all headsets supplied via SDX Business Systems. The shrouded QDC is only available via SDX Business Systems. As previously explained in this update the ESD issue is not unique to GN Netcom and can affect any headset using a QDC. It is strongly recommended that only headsets incorporating the ESD performance enhancements detailed above are used with INDeX DT/TT. Therefore only GN Netcom headsets purchased from SDX Business Systems are recommended for use with INDeX. For particularly severe static environments the previously supplied Profile NON QDC headset remains available as a special order item. The Profile NON QDC headset provides a direct connection to INDeX DT/TTs. The Headset details are: Code HS/P123/IND/NQD, Part Number 30UTN00002SAA at a price of £150.00 RSP. This is a special order item and has a lead time of 10 weeks. GN Netcom Introduce 2 Year Warranty GN Netcom has enhanced their Customer Service to include an extended warranty on their entire headset range. The GN Netcom Warranty has been increased to 2 years, this is effective on all new purchases of Headsets from the date of this update. The Benefits of Headsets Headsets offer efficiency, ergonomic and health benefits to all telephone users and their use within the business environment is increasing. We recommend that customers consider the use of headsets for all types of telephone users and not only operators and ACD agents. The benefits of headsets are summarised below:• Comfortable working position, no health risk or bad posture resulting from holding the handset between head and shoulder. • Both hands are free for easy access to computer keyboard, taking notes, accessing files, etc. • The benefits are available without the loss of privacy associated with loud speech. The impact on certain customer-facing departments will be as follows: Order Processing/Shipments: The final pre-Christmas despatches from these offices will be on Tuesday 23rd December 1997 for delivery to your premises on Christmas Eve. However we will be able to accommodate collections from our Stores in Little Mundells by arrangement only up to 11.30a.m on 24th December, and these should be liaised via Order Processing as required and by Friday 19th December. Normal shipments will resume on Monday 5th January 1998. In line with the 2-week lead time to despatch currently in force on INDeX and peripheral equipment, the final date for placing orders requiring guaranteed pre-Christmas delivery should be Wednesday 10th December, however, owing to the shortness of the month, we will extend this to include orders received up to 2.30 p.m on Monday 15th December. Whilst every effort will be made to fulfil orders received up to 2.30 p.m on Monday 22nd December, it is most unlikely that we could supply ACD or Voice Manager systems ordered this late in the month. Please take all of these factors into consideration when reviewing your installation schedules for the coming weeks. He joins from Viglen Technology plc where he has been Finance Director. Mr Dean spent twelve years with Amstrad plc, the personal computer and peripherals manufacturer, in a number of senior financial positions including that of Group Finance Director since 1992. He was closely involved in a number of key transactions including: the acquisitions of Dancall Telecom in 1993 and Viglen Technology in 1994, the disposal of Dancall Telecom to Bosch in 1997 and the flotation of Viglen Technology in August 1997. Prior to joining Amstrad, Mr Dean worked with RTZ Pillar Group and Coopers & Lybrand. Mr Dean, 42, is a qualified chartered accountant. SDX Business Systems also announces that Bob Kennedy, one of the three founding directors of SDX Business Systems plc, will step down from his current position as Finance and Operations Director at the end of January 1998. However, he will be continuing as a non-executive director and will be principally involved in the management of strategic business development assignments. Frank Bretherton, Managing Director of SDX Business Systems, said "We are delighted to announce Tony Dean's appointment which broadens and strengthens the Board of SDX Business Systems. Tony brings with him an invaluable mix of quoted company experience. We are pleased that Bob Kennedy remains as a non-executive director of the company and will continue to play a key role in providing senior management expertise for our future business development." This reseller update is designed to clarify the ordering procedure. The QMS runs as a client of the SDX ACD Server across a Local Area Network. The product is supplied and supported directly by QMax Systems Limited. To enable the QMS to connect to the ACD Server, the server needs to have a QMS Client Licence enabled in the dongle. In addition SDX Business Systems supply QMS Client Software to be installed in the QMS PC to allow it to connect to the ACD server. The Licence and Client Software may be purchased from SDX Order Processing under order code ACD5 QMS at a price of £2500 RSP. An ACD upgrade order form complete with the site details must accompany the order. The software will be supplied at 5.2 unless otherwise requested. A new site option disk and QMax Client Interface software will be supplied. A Level 7.1 upgrade pack will be despatched free of charge to each Reseller Technical Principal. Additional upgrade packs may be ordered using the code INDEX-71 RSP £100 (normal MLD applies). The upgrade packs will contain CPU100, 200, 400 and 800 software at level 7.1. Also included in the pack is a copy of this update and a Technical Bulletin detailing the differences between 7.0f05 and 7.1. SDX Business Systems recommend that any sites currently running at Level 7.0f05 should be upgraded to 7.1. Functionality Level 7.1 will contain any fixes for field issues found in 7.0 and have the ability to support BT’s new ISDN-2E provision. The only feature enhancement between Level 7.0f05 and Level 7.1 is a change in the Roaming Agent functionality. The message number introduced in Level 7.0 can now be either on switch or a valid destination over a DPNSS network. As this is the only feature change, no additional Sales or Technical training will not be required. Compatibility Level 7.1 software should only be installed on a CPU that is PCS 11 or above. It can be upgraded from any version of INDeX software, and is compatible with the Global Voice Manager 5.9, the Seltek Voice Manager 4.6, ACD 4.2/5.1/5.2 (for CPU’s 200/400/800) and ACD 5.2 for use with the CPU100. Licensing The electronic serial number of a CPU does not change when it is upgraded to Level 7.1. Therefore the licence keys previously supplied with CPUs remain valid after upgrading to Level 7.1. CPU V Availability As explained in Reseller Update 135, the existing CPU is being replaced by the CPU-V. It is expected that all CPU shipments from the 19th January 1998 will be V series CPUs. The CPU-V will only support Level 7.1, therefore all CPU V cassettes will come with 7.1 loaded as standard. The CPU V series provides increased performance and memory capacity required for future INDeX developments. As the CPU V will only run with level 7.1 software, any further software releases will also only run on this new CPU V series. Repairs to the existing CPU will continue therefore it is not necessary to increase spares holding of the existing CPU. The CPU V will continue to support all current cassettes and GCU type devices. It is possible to take a copy of an old database from an existing CPU and upload it into a CPU-V, preventing the need for the database to be completely re-typed. The administration of the INDeX will remain the same, therefore no additional training will be required. This document details how the service works and what is required from the Resellers who wish to use the service. Process To initiate a collection the Reseller will contact the Parceline Customer Service number - 0645 300 100 quoting the following:Returns Account number - 221110 (this is pre-printed on the consignment notes provided by SDX) Postcode and address and collection Contact name and number at the collection address Number of cartons and approximate weight Earliest and latest collection times A collection reference number will be given to the Reseller by Parceline for use in any subsequent queries. Collections will be made on the same day for requests up to 12 noon and next day for later requests. When goods are collected, a Parceline driver’s signature should be obtained on each consignment note. The top billing copy will be taken by the driver, the Reseller should keep the customer copy. The Reseller may progress deliveries or obtain a proof of delivery by contacting the Parceline Customer Service on 0645 300 100 and quoting the appropriate collection reference number. The delivery service offered is ‘Next Day’ to SDX, i.e. if goods are collected on Monday they will be delivered to SDX on Tuesday. If the Reseller requires a faster return service they should NOT use the SDX Parceline account but make alternative arrangements. Please note that the maximum insurance cover provided by Parceline for each consignment is £50. SDX is offering a free collection service only, therefore it is the reseller’s responsibility to ensure that their insurance cover is adequate for any loss or damage in transit. SDX Business Systems plc will not be held responsible for any loss or damage in transit incurred by the Reseller in using this service. Please note the following:All items to be returned must be adequately packed in strong cartons (up to a maximum of 40kg each), NOT pallets. One consignment note is to be attached to each carton. As SDX is charged per carton (not per shipment) please ensure that returns are packed in multiples to ensure each shipment consists of as few cartons as possible. Consignment notes must have the following information filled in and the complete note attached to the carton (labels have peel off backing paper):Reseller name and address Reseller contact name and number Reseller shipment reference Sender’s signature Date of shipment Carton dimensions and weight (Please see attached sample of completed consignment note for guidance). The PCS level is used to indicate the build status of a cassette. Following a design change to a cassette the PCS level is incremented. The change is intended to give more accurate indication of the PCS level of a cassette following a return for either repair or upgrade. It is the policy of SDX Business Systems to repair or upgrade an INDeX cassette and return the product to the reseller at the latest PCS level. If a cassette cannot be fully upgraded to the latest PCS, the level will be described with two numbers. The first number represents the PCS level that the cassette has been fully upgraded to, and the second represents the later PCS level that the cassette has been partially upgraded to. (See Figure 1 and Table 1) Example of Labelling The Second Digit is the later PCS level that the cassette has been partially upgraded to. The First Digit is the PCS that the cassette has been fully upgraded to. upgrade/ repair (Fig 1) Example of the New PCS Label A DSLC 32 could be returned for repair/ upgrade at PCS 4, with the DSLC currently shipping at PCS 7, the cassette would be upgraded and returned with the label PCS 6-7. This would indicate that the cassette was fully upgraded to PCS 6, and partially upgraded to PCS 7 specification. In this example a complete upgrade to PCS 7 specification is not possible because the PCB layout was revised between PCS 6 and PCS 7. This is further explained in table 1 below. It is our intention to issue a PCS status document covering all INDeX cassettes during March 1998. SDX Business Systems will not partially upgrade a cassette that may lead to the appropriate system performance being compromised. Page 1 PCS Level 4 5 6 7 6-7 Description of Build Change Original Level of Cassette Change to component values to improve speech quality. Change to firmware (1.5) to improve reliability of sign on. Table 1 A cassette that has been fully upgraded will continue to be labelled with a single PCS level. Any new cassettes will be issued with the single PCS number. When the DH1 handset rings the DECT-VB will vibrate, alerting the user to an incoming call. The DECT-VB is ideal for use in noisy environments where the DH1 ringer may not be heard (e.g. factory floor), or in applications where the DH1 ring signal is muted and the discretion of a silent ring indication is required (e.g. during a meeting). The DECT-VB is a separate unit, and does not connect to the DH1 or require any programming - it simply recognises the DECT signalling information from a DH1 handset that is within a 25cm range. The DECT-VB is a light weight pocket sized unit (approximately 70mm x 35mm x 12mm) and is battery powered using a single AAA dry cell, giving approximately one months use (depending on number of calls received). The DECT-VB is simple to use, just clip it to your belt next to your DH1 or place it in the same pocket as your DH1. When the DH1 rings the DECT-VB will vibrate. Detailed instructions are given below. The DECT-VB is not supplied with batteries, these must be purchased separately. The order code is DECT-VB, the RSP is £43 subject to normal MLD. Instructions of Use 1. You should place your DECT-VB close to your DH1, ideally both units should be next to each other clipped to your belt or placed in the same pocket. 2. Set the switch on DECT-VB to position M1(operation within 5cm of DH1) or position M2 (operation within 25cm of DH1). Position M1 is recommended. 3. When a call is presented to the DH1 the VB unit vibrates to signal the call arrival. 4. Press the DECT-VB reset button to stop the vibration and then answer the call using the DH1. If during a call the DH1 will be used more than 5cm/25cm (depending on switch position M1 or M2) from the DECT-VB it is not necessary to press the reset button, the vibration will automatically stop. If required the DH1 ringing can be muted, refer to the user guide for details. The DECT-VB will continue to operate if the DH1 ringing is muted. The DECT-VB is also compatible with GSM, CT2, CDS 1800 and other DECT systems. Therefore the DECT-VB may be falsely activated if used within close proximity with other cordless or radio transmitting equipment. The VHOC delivers the functionality of the Windows Operator Console (WOC) for visually impaired users. This is achieved by the visual prompts of the NOC / WOC being spoken to the operator. The operator is then able to react to the voice prompts and answer the calls in an appropriate manner. The VHOC is a stand-alone system that connects to INDeX via a standard RS232 port, in the same way as the existing WOC. NOC Servers / Clients and WOCs can be used in conjunction with the VHOC, but each requires an independent connection to an INDeX.v24 port. The VHOC is only available as a pre-configured PC and comprises a VHOC Server and VHOC Client application. The VHOC machine has the ability to boot into a VHOC or a NOC depending on the preference of the operator logging on at that time. As the system has been designed primarily for visually impaired users, the VHOC PC loads the VHOC unless the user specifically elects otherwise. 2) VHOC Overview The functionality of the VHOC machine is similar to the WOC/NOC. The visual prompts of the WOC are translated via a sound card into voice prompts. The voice prompts can be tailored (pitch, volume and speed) to suit the specific needs of each individual operator. When a visually impaired operator logs on to the VHOC for the first time they will choose a standard voice type for the voice prompts. The voice types can be manipulated to suit the needs of individual users. Each new user to the VHOC will configure the system to speak the desired voice prompts. This section of the configuration process will obligate the assistance of a sighted individual. The name and system configuration of the last known user is the first option offered to the operator logging on. If the prompted user name spoken at start up is not their log-on user name, the operator uses the arrow keys to scroll through the name list until they locate the correct log-on name. When the correct log-on name is located the operator presses [enter] and the pre-configured settings for that user are loaded automatically. The calls are presented, answered and transferred in the same way as the WOC. To assist the visually impaired operator the overlay for the keyboard has been translated into Braille, there is also a Braille ‘crib sheet’ and user guide. 3) Ordering and Pricing Order Code VHOC LIC WOC 1 Product Description Pre-configured VHOC PC, VHOC Software and Line Drivers Operator Position Licence Key RSP £ 4,300 Discount MLD 1,700 MLD The VHOC has a lead-time of 8 weeks from the receipt of the order. 3.1) Licence Keys When ordering a VHOC machine it is essential the order is accompanied with an order for the relevant Licence Key. If WOCs or NOCs already exist on the site then the licence key ordered must be for the total number of operator positions to be located on the site. If more than one operator position is being ordered then the licence key ordered must be for the total number of operator positions required. The licence key mechanism is detailed in greater depth in Reseller Update No. 146 entitled “Announcing the Controlled Release of the Networked Operators Console”. At this time there is no intention by SDX Business Systems to release the VHOC as a networked product or as a software only option. 3.2) Availability Orders for VHOC may be received immediately, but are subject to an 8 week lead time, as detailed above. 4) Training and Technical Support No specific training is required for the VHOC although knowledge of the NOC and Networks would be a considerable advantage. Technical Support for the VHOC will be available from our Technical Support Group in a similar manner to other products from SDX Business Systems. 5) Compatibility The VHOC will only be compatible with system software 6.3.1 and above. It is recommended that the VHOC is used with Level 7.1 system software. If the VHOC is to be used with system software 6.3.1 a patch is required, this is available for the Technical Support Group. This procedure replaces the existing Out of Box Failure (OBF) procedure (as detailed in Reseller Update 76, August 1996) and aims to improve and simplify the process in several areas. The main changes to note are as follows: 1. SDX Business Systems will provide a FOC advance replacement within *24 hours for ANY product (including Seltek Premier and Lite products) that has failed within four weeks of despatch from SDX Business Systems (this is a significant improvement on OBF timescales). 2. SDX Business Systems will collect the faulty item from site when the advance replacement is delivered thus removing the need for a purchase order from the Reseller for the advance replacement. An invoice will only be raised for the advance replacement if we can not collect the faulty item when delivering the replacement and it is not returned to us within one week of despatch of the advance replacment. 3. Any faulty item returned to SDX Business Systems will be credited in full as long as it is returned to us within eight weeks of despatch from SDX Business Systems. This ensures that the Resellers are not disadvantaged on failed products that they deal with themselves (e.g. terminals) and which currently when returned to us are repaired under warranty and returned. 4. The Returns Collection Service announced mid December via Reseller update 144 (attached) can be used to return all items including faulty products thus reducing carriage costs to the Resellers. *For some locations we will only be able to guarantee delivery within 48 hours Page 1 of 4 Full details of the new procedure are detailed below. EARLY LIFE FAILURE (ELF) PROCEDURE 1. DEFINITIONS The following explains the terms used in the new procedure. Early Life Failure (ELF) Any installed product that fails within four weeks of despatch from SDX Business Systems and is either collected from site by courier or, returned within one week of advance replacement issue. Any faulty product that is returned from the reseller to SDX Business Systems within eight weeks of despatch from SDX Business Systems. Advance Replacement An item despatched FOC to the Reseller to replace an installed product that fails within 4 weeks of despatch from SDX Business Systems. Delivery Zones Zone A = any location within same day courier distance Zone B = any other location (e.g. Devon and Cornwall, Scotland, Northern Ireland) that is not within same day courier distance Returns Collection Service SDX Business Systems offers a next day collection and delivery service for items to be returned. This covers repairs, early life failures and returns for credit. All returns are to be addressed to SDX Repair Administration. All items being returned to SDX Business Systems must have a completed Product Return Label attached and be accompanied by either an SDX Product Return Advice Note, a Reseller Return Advice Note, or a Purchase Order. SDX Business Systems reserves the right NOT to process product returns that are not accompanied by a Product Return Label and an appropriate Product Return Advice Note. Full details can be found in Reseller Update 144 (attached). 2. PROCESS There are two methods of dealing with Early Life Failures:- the Reseller requests an immediate advance replacement; the Reseller replaces the failed item from their own maintenance stock. How the procedure operates in these two situations is detailed below. 2.1 Advance Replacement To initiate an advance replacement for any item that has failed within four weeks from date of despatch from SDX Business Systems the Reseller will need to do the following: The Reseller engineer will contact SDX Technical Support Group (TSG) to report an Early Life Failure (ELF). Should TSG be unable to resolve the fault via the phone or via remote access to site, an ELF will be confirmed. In cases involving Seltek Lite and Premier voice Page 2 of 4 products, the Reseller may either contact First Choice CTI Technical Support direct on 01883 333 606 or be transferred from Welwyn Garden City Technial Support to Caterham. If an ELF is confirmed, Technical Support will take the following details: Reseller name; engineer name and contact number; possible delivery times for the advance replacment; end user name and delivery address and pass these details to Sales Order Processing (SOP) for action. SOP will then determine whether the site falls within zones A or B and the following actions will be implemented accordingly: 2.1.1 For Zone A (Same Day Delivery) Sales Order Processing will arrange for the issue of a replacement item and accompanying delivery note. (There is no requirement for an order from the Reseller). This will be delivered by courier direct to site (or address agreed with the Reseller) for same day or within 24 hour delivery (depending on time of call and distance to site). The courier will collect the faulty item to return to SDX Business Systems. If the faulty item can not be collected by the courier and is not returned within one week of despatch of the advance replacement, SDX Business Systems will issue an invoice at trade value to cover the cost of the item. The invoice will be raised without a PO from the Reseller and will quote our sales order number as a reference. To obtain a credit for the faulty item, it should be subsequently returned to SDX Business Systems for credit within eight weeks of despatch using either the Returns Collection Service or any other returns mechanism. 2.1.2 For Zone B Sales Order Processing will arrange for the issue of a replacement item and accompanying delivery note. (There is no requirement for an order from the Reseller). This will be despatched by a suitable carrier direct to site (or address agreed with Reseller) for the fastest possible delivery but this may not be within 24 hours (expected time of delivery will be confirmed to the Reseller by phone and fax by Sales Order Processing). If the faulty item is not returned within one week of despatch of the advance replacement, SDX Business Systems will issue an invoice at trade value to cover the cost of the item. The invoice will be raised without a PO from the Reseller and will quote our sales order number as a reference. To obtain a credit for the faulty item, it should subsequently be returned to SDX Business Systems for credit within eight weeks of despatch using either the Returns Collections Service or any other returns mechanism. 2.2 Return for Credit If the Reselller has ELF items that they can deal with themselves then they have the option of returning the faulty items to us as follows: SDX Business Systems will accept faulty items returned for credit within eight weeks from date of despatch to Reseller. Items should be returned complete, in their original packaging where possible and be suitably packed for return. Page 3 of 4 Items being returned for credit should have ‘Returned for Credit’ indicated on the Product Return Label and accompanying Product Return Advice Note (i.e. have a unique reference and list the items being returned for credit). Page 4 of 4 Notes on the ELF procedure: 1. SDX Business Systems reserves the right to charge the Reseller for the carrier services if the ‘ELF’ item subsequently proves not faulty, or the item was in fact despatched to the Reseller over four weeks ago. 2. Please note there is now no correlation between invoices for Advance Replacement items and credits for faulty items. Therefore SDX Business Systems’ credit control will not accept non payment of invoices issued for advance replacements on the grounds that a credit is pending (on return of faulty goods). 3. Credit will only be issued if the items are faulty, are returned within eight weeks of despatch from SDX Business Systems, are in ‘as new’ condition and are complete. Reduced credit will be given if parts such as cables, manuals, keyboards etc. are not returned. Items that are either not faulty, or outside the eight weeks, or are not returned in ‘as new’ e.g. damaged, will be rejected for credit and will be repaired/refurbished where necessary and returned to the Reseller. A charge may be made at SDX Business Systems’ discretion We have introduced this new procedure as a demonstration of our confidence in the quality of our products and to simplify the advance replacement and return for credit processes. As a new service we will be monitoring both its use and its effectiveness on an individual account basis. Any comments or queries please contact myself. Encs.
