Purpose
People credited with this unit standard are able to prepare for
and chair a formal meeting, and manage post-meeting followup.

Explanatory notes
1
A formal meeting is one where there is a recognised and established set of rules that
govern the meeting. Such rules are often written, and may include organisational
requirements, a club or incorporated society constitution, etc. Such rules usually
cover such matters as: frequency of meeting, notice of meeting and agenda, venue,
etc; conduct of the meeting, including discussion and decision-making processes,
quorum, etc; reporting requirements after the meeting.
Such rules set the customary procedures for meetings.

People should be assessed against this unit standard in a real-life context using
naturally occurring evidence or in simulated conditions that demand performance
equivalent to that required in the real-life context.

It is assumed that the candidate has a level of underpinning knowledge of formal
meetings at least equivalent to that specified in outcome 1 of unit standard 9679,
Participate in formal meetings. This underpinning knowledge, however, is not to be
assessed for credit for this unit standard.

Outcome 1
Prepare for a formal meeting.
Evidence requirements
1.1
Notice of meeting and agenda, including supporting information, are confirmed
as ready.
Range
supporting information may include but is not limited to – financial
reports, minutes of previous meeting, action list, matters
outstanding, correspondence;
evidence of three is required.

1.2
Strategies for ensuring the meeting achieves its objective(s) are identified, with
contingencies.
1.3
The rules governing the meeting are identified, and explained in terms of the
chairperson’s role.
Outcome 2
Chair the formal meeting.
Evidence requirements
2.1
Chairing style facilitates meeting progress.
Range
includes but is not limited to – culture, language, participation.
2.2
Customary procedures are applied consistently throughout the meeting.
2.3
Meeting focuses on objectives that follow the published agenda.
2.4
Decisions are clear, include a time-frame for action and specific person
responsible, and are within the delegated mandate of the meeting.
Outcome 3
Manage post-meeting follow-up.
Range
minutes include a record of decisions taken and may include a summary of
discussions or other content, as dictated by customary procedures.
Evidence requirements
3.1
Minutes are confirmed as a true and correct record before distribution.

Providers must be accredited by NZQA, or an inter-institutional body with delegated
authority for quality assurance, before they can report credits from assessment against
unit standards or deliver courses of study leading to that assessment.
Industry Training Organisations must be accredited by NZQA before they can register
credits from assessment against unit standards.
Accredited providers and Industry Training Organisations assessing against unit standards
must engage with the moderation system that applies to those standards.
