Proposal for Remodel/Renovation or Equipment Acquisition
INSTRUCTIONS
The Academic Infrastructure Committee (AIC) is a Faculty Senate Committee
whose role is to provide a campus-wide faculty voice for development of
academic infrastructure, with general duties including policy review, planning,
implementation, and problem solving. Academic infrastructure is here defined to
include: (1) academic space (faculty offices, lecture rooms, labs, studios, activity
rooms), (2) academic information (traditional media, digital media), (3) academic
hardware (computer-based, non-computer based - lab equipment,
instrumentation, curriculum tools, studio equipment), and (4) academic software
(multimedia tools, specialty software).
The purpose of this document is to collect, review and coordinate equipment
requests for items that exceed a Division's ability to acquire from its annual
budget.* The AIC reviews proposals each year and makes recommendations to
the relevant staff within the University's Finance and Administration Division.
Determinations as to which proposal may be funded rests with the Executive Vice
President for Finance and Administration, after determining available resources
and prioritizing needs with the President's cabinet.
Proposals to the AIC should be made on the attached form no later than 9 March
(one week prior to the AIC meeting). The form will be used to inform the
committee’s decision. Forms should be submitted electronically to the chair at
harchanko@wou.edu. The AIC will review the proposals and make its
recommendation in the March meeting. They will forward their recommendations
to relevant staff members according to the list below (with a copy of any
recommendation sent to Eric Borst:, Director of Budget & Payroll,

Electronic Equipment Proposals will be sent to Mr. Bill Kernan, Director,

Specialized Equipment Proposals (e.g., laboratory, music equipment and so
forth) will be sent to Mr. Mark Weiss, Executive Vice President for Finance and
Administration, weissm@wou.edu, AD207G, phone ext. 88175
Staff will review the requests for impact, feasibility and timeliness. Their
recommendations will be forwarded to Mr. Weiss for action by 15 April. The AIC
committee will be informed of work or purchasing that receives favorable review
but must be delayed. The AIC will be informed of work or purchasing that is
denied with a rationale. The AIC will be responsible for informing those who
requested the remodel/renovation or equipment acquisition of the results.
* Requests for remodeling or renovating existing facilities (e.g., classrooms, offices, laboratories,
etc.) will be decided by a similar process in April.

I. Describe purpose of equipment.
II. Give a brief description and cost estimate of equipment.
III. Describe impact on classroom instruction, research or creative activity. Include a
description of the breadth of the request’s impact (such as benefits to other disciplines)
as well as the depth of the impact (necessity to a particular program).
IV. Describe the impact on future budget cycles in sustaining this request. Will there be
a need to budget money for upkeep or replacement? How will those costs foreseeably
be met?
V. Describe any reasons for the timeliness of this purchase. Is there a critical or costsaving reason to prioritize this item for this year?

VI. How might other resources be used for funding? How have these resources been
explored?
VII. Itemize equipment with specifications, recommended manufacturer, model number
and cost estimate. Multiple items may be listed if all relate to the same purpose. For
example, a new digital camera, memory card, video monitor and connecting cables may
all relate to one instructional need. Attach additional pages as necessary.
