spaceavailabilityandmakearequestforspaceviatheResource25(R25)
schedulingsystem.ThelinktothissystemisfoundinMySalve.TheR25system
providesyouwiththeopportunitytoseewhetherornotyourintendedevent
competesorconflictswithothereventsoncampus.Thisisalsowhereyoumay
requestAVequipmentandlinktothecateringrequestform.
TheR25systemcannotadequatelypushinformationtoothersourcessuchas
www.salve.eduorSALVEtodayatthistime.Therefore,apubliccalendarofeventsis
neededforproperpromotionandvisibilityformultipleaudiences.Ifyoureventis
opentoothersoncampusortothepublicatlarge,pleasenotifytheOfficeof
UniversityRelationsatsalvenews@salve.eduforplacementofyourfunctionon
SalveRegina’spubliccalendarofevents.Notificationshouldbemadeonlyafter
receivingconfirmationthatyoureventhasbeenapprovedforspaceviaR25.
DigitalSignage
Digitalsignageisdeployedatmultiplelocationsaroundcampus,includingthe
McKillopLibrary,MileyHallandtheRodgersRecreationCenter.Recognized
Universitygroupsmayrequestdigitalsignageviatherequestformfoundinmultiple
resourceareasontheUniversity’swebsite.Requirementsandtemplatesforsignage
arealsoavailableatsalve.edu/digital-signage.
MediaProtocol
StandardUniversityprotocolrequiresthatanymediaoutletorrepresentativeseek
permissionfromtheUniversitypriortotakingphotographs,videofootageor
conductinginterviewswithfaculty,stafforstudents.
Thepurposeofthisisnottostifleideasorinhibitfreedomofspeech.Rather,itisto
maintainastandardsetofoperatingproceduresthatbecomefamiliartocommunity
membersandthemediaforanygivensituation.Itmaynotseemimportantwhen
promotingthegoodworksofstudents,theachievementsoffacultyorthe
prominenceofourspeakersoncampus,butitisextremelyimportantintimes
wheresecurityissuesariseorwhenacrisis,tragedy,orotherwiseunfortunate
circumstancetakesplace.Ifthereisnoformaloperatingprocedure,itbecomes
harderforthoseresponsibleforcommunicatingaboutSalveReginaduringtough
timestodotheirjobproperly.

Theriseofnewmediatechnologiesincludingsocialmediahasfueledasurgeof
independentmediaoperators.Onthepositiveside,itisanorganicprocessofnew
voicesenteringourworld.Onthecautionaryside,thereisincreasedpotentialfor
inaccurateinformationtobetransmitted.
Asoutlinedinrespectivehandbooks,SalveReginaemployeeshavearesponsibility
totheUniversitywhenspeakinginpublicorthroughthemedia,andareaskedtobe
sensitivetotheimportanceoftheirwordsandactionsparticularlywhenexpressing
personalopinion.IfidentifiedwiththeUniversity,youmayerroneouslybe
perceivedasofficialspokespeople.Pleaseremembertoclarifythataffiliationsare
onlyforidentificationandthatpersonalopinionsdonotnecessarilycoincidewith
theviewsoftheUniversity,itsfaculty,stafforstudents.
BroadcastEmail
Broadcastemailmessages(excludingthepromotionofevents)maybetransmitted
totheUniversitycommunityasawhole,ortodesignatedgroupssuchasfaculty,
staff,classyearsandgraduatestudents.
BroadcastemailmessagesareintendedtoinformtheSalveReginacommunity
aboutmattersrelatingtoUniversityoperations,campussafetyandtechnological
alerts.Requestsforparticipationorsolicitationsforinvolvementaregrantedonlyif
theypertaindirectlytoacademic,volunteerandcommunityserviceactivitiesthat
arenon-eventoriented.Individualeventsarenotpromotedviaindividualbroadcast
emailmessagessimplyduetothevolumeofeventsoncampus.Eventsarepostedin
thepubliceventscalendarandarealsohighlightedthroughSALVEtoday,the
SALVEtodayUpdateemailandsocialmediaoutletssuchasFacebookandTwitter,
amongotherpractices.Faculty,staffandstudentswhowishtoadvertiseanevent
shouldcontacttheOfficeofUniversityRelationstodeterminethemostappropriate
meansofdistributionbasedonthenatureoftheeventandthedesiredoutcome.

Printmaterialsforeventsordepartmentoperationsareprocessedthroughthe
OfficeofDesignServices.Pleasecontactsalvedesign@salve.edutosetupan
appointment.EventsshouldbescheduledwithinR25priortotheproductionof
promotionalmaterials.
PleasenotethatallprintpiecesbeingpurchasedwithUniversityfundsneedtobe
coordinatedandapprovedinassociationwiththeOfficeofDesignServices.Thisis
toensurestandardsforquality,mailingandUniversityimageryaswellasforproper
processingandpayment.Inaddition,allexternalpostersusingtheUniversity’s
name,logoorlikenessshouldbeapprovedbyDesignServicespriortopostingoff
campus.
