 POSITION DESCRIPTION Position Title GENERAL MANAGER Reports to BOARD OF MANAGEMENT Direct Reports Artistic Director, Operations Manager, Marketing & Development Manager, Book Keeper and all other staff and contractors as required ABOUT COURTHOUSE ARTS Courthouse ARTS is Geelong’s No. 1 venue for youth arts and culture. Located in the historic former Geelong Law Courts and Police Station complex, the Courthouse was established in 1996 to create diverse opportunities for young people to actively participate in and drive creative and cultural initiatives. Our target audience is young people aged 12 to 26 years old who reside in the Geelong or Barwon region of Victoria. Our mission is to nurture emerging artists in the Geelong region. We create, commission and collaborate. We promote discussion between artists at all stages of development. We initiate and produce outstanding new performance, visual art and media projects. We provide opportunities and pathways. We offer mentoring, training and development for young artists and we actively invest in the local cultural economy. Courthouse ARTS is a non-­‐judgmental environment that provides a permanent dynamic infrastructure to amplify the voice of young people in Geelong. We aim to become a hub for independent thinking and artistic exploration and a leader in the creation and development of new work on the national stage. The position is responsible for the overall management of Courthouse ARTS including financial control, management of personnel, key stakeholder relationship engagement and the development of a strategic philanthropic plan. The position is responsible for the overall achievement of the organisation's strategic business plan as set by the board of management. The position is to ensure the reputation, brand and vision of the organisation is at forefront of programming initiatives. AREAS OF RESPONSIBILITY AND ACCOUNTIBILITIY HUMAN RESOURCES • Appoint administration, management and production staff • In collaboration with the Artistic Director appoint marketing, teaching artists and production staff • Supervise and support administration, programming and production staff • Lead staff performance and review process • Develop position descriptions as necessary • Administer all core staff contracts • Manage and plan for leave arrangements • Oversee professional development requirements • Coordinate and implement annual review process in collaboration with the Board of Management • Coordinate payroll details for submission to Finance officer/assistant • Monitor, implement and communicate industrial awards and legislation changes • Ensure complaints and grievances are handled appropriately in accordance with the Grievance procedures • Develop and manage the organisations operating policies and procedures to ensure they are a comprehensive reference and in accordance with current legislation BUSINESS MANAGEMENT • Prepare and acquit all funding submissions and applications in conjunction with the Artistic Director and other staff as required • Develop and oversee organisational risk management plan • Develop and oversee Business Continuity Planning • Manage insurance needs, assessment and policy selection • In collaboration with the Board of Management develop policies for approval • Ensure the organisation is compliant with all relevant legislation • Negotiate key contracts (leases, partnerships, sponsorships) • Lead organisational planning in collaboration with staff and Board • Oversee legislation compliance review annually with staff • Oversee creation and maintenance of Policy and Procedure Handbook • Oversee in conjunction with all staff the creation of the organisation's annual report to members. FINANCE • Develop annual budgets and 3 year forecasts as required in collaboration with Book-­‐ keeper • Monitor and revise annual and project budgets • Develop project budgets as appropriate • Authorise expenditure against approved budgets • Meet regularly with Treasurer to review financial position • Report financial position to Board as per agreed cycles • Oversee the preparation of annual audited financial statements • Oversee sound financial management systems and protocols Courthouse ARTS General Manager Position Description Page 2 of 5 • Monitor and effectively manage the organisations cash flow • Set annual targets for reserves and funding as required PROJECTS • In collaboration with the Artistic Director develop and negotiate all parameters for projects including significant artist contracts • In collaboration with the Artistic Director develop and distribute project overviews and actionable plans to staff and collaborators • In collaboration with the Artistic Director forge key partnerships for projects • In collaboration with the Artistic Director negotiate contracts with key project partners • In collaboration with the Artistic Director oversee the management of all programs and projects deliverables and ensure they align with key stakeholder expectations • Devolve project information and management to Artistic Director and other staff as appropriate NETWORKS AND RELATIONSHIPS • Represent the organisation within high level arts, youth and community networks • Ensure the organisation is represented in other relevant networks • Forge and maintain high level relationships with government, business, the philanthropic sector including potential sponsors and patrons • Forge and maintain high level relationships with local, national and international networks to promote the strategic direction of Courthouse ARTS MARKETING • In collaboration with the Artistic Director and Marketing & Development Manager develop a marketing strategy • In collaboration with the Artistic Director and Marketing & Development Manager oversee the implementation and budgeting of the marketing plan and campaigns DEVELOPMENT • Develop long term and short term funding strategies • Write key and lead funding submissions with support from staff as appropriate • Develop and maintain relationships with current, past and potential funders • Write and review additional funding submissions and proposals STRATEGIC PLANNING • Develop triennial Strategic Plan in conjunction with the Board, Artistic Director and staff • Oversee annual strategic planning processes • In collaboration with the Board of Management select and apply appropriate organisational performance metrics ARTISTIC PROGRAM • In conjunction with the Artistic Director develop and implement the Artistic program in accordance with the vision and mission statement of Courthouse ARTS COMMITTEE OF MANAGEMENT • Attend Board meetings and prepare Board report and papers as required • Be accountable to the organisation Secretary • Be accountable to the board Secretariat Courthouse ARTS General Manager Position Description Page 3 of 5 WORKPLACE HEALTH AND SAFETY AND RISK MANAGEMENT • Responsible for the risk management of all projects and ongoing operations All Courthouse ARTS staff have a shared responsibility for contributing to a safe working environment. This includes the following responsibilities: o Managing and maintaining a safe work environment o Identifying areas of risk (physical and organisational) o Ensuring incidents are reported and addressed in line with policy OTHER • Other duties as directed from time to time by the Board • Manage legal matters in collaboration with the Executive Sub-­‐Committee • To emulate the Values and Behaviours of the organisation in all interactions with staff, Board and stakeholders • An ability and commitment to work flexibly and outside standard hours of operation including some weekend work • The maintenance and management of the Courthouse ARTS facility in conjunction with other tenants and landlord.
