Traditional Paper Records Systems Cannot Keep
Up with Volume of Digital Information or Changing
Legal Requirements
Situation: A pharmaceutical company used a traditional paper records
management system and added SharePoint to manage digital records. The
company tried extending the retention module of its paper records system
to SharePoint, since the same retention policy also applied to the digital
information. The effort confused records managers, and employees could not
access information when they needed it.

CHALLENGE
A global pharmaceutical
company struggled to merge
separate record-keeping systems
for managing paper and digital
documents and had to manually
update changes in information
governance policies and
regulations for each country in
which the company operates.
RECALL SERVICES
Root Cause: The fast-growing pharmaceutical company had expanded its
research teams in several European locations while its headquarters remained
in the United States. Separate instances of the retention module of records
management systems were created to maintain a retention schedule in various
countries. That forced the company to manually update each system anytime
regulations or corporate policy changed. The record-keeping systems were
best suited to manage paper records and could not handle the increasing
volume of digital information. Moreover, the systems could not support paper
records stored offsite by third-party vendors.
Resolution: CommandIGTM Enterprise solution makes it easy to update the
retention policy to comply with changes in laws and regulations in each country
in which the pharmaceutical company operates:
•
Manage a multi-jurisdictional retention policy and create customized file
plans to support location-specific governance actions.
•
Integrate with a third-party legal feed that automates the updates required
in the retention policy should regulations change in the United States and in
each of the European countries.
•
Provide a single solution for the company to manage both paper and
digital documents. CommandIGTM Enterprise can be easily integrated with
Microsoft SharePoint as well as offsite paper records storage systems from
third-party vendors.
