This file basically consists of some last minute things you might be interested in

Things You Should Bring to Machine Check-in (Friday night):
Location: James Earle Rudder HS in Bryan (3251 Austins Colony Pkwy, Bryan, TX

 Driver Roster. Expect 8 seeding rounds...if you are then in semi-finals, each team will
have three more rounds. The final four will play three final rounds
 Emergency kit-guy phone number (you don't want your team excluded just because you
have car trouble) Call Dan Martin at 979-229-6055 if you have problems in transit.
 All student permission/liability forms (# forms = official roster)
 Robot and tools/parts/kids to perform compliance modifications (Use the example check in
list on page 6 to prepare)…Only use parts listed on the consumables list and returnable list!
 Entire returnable kit including all boxes, packaging, and instructions.
 Any unused/unaltered consumables (we don’t want PVC sticks and wood back). Help us
save funds next year by returning parts we can easily store and re-issue.
 Information and file (on flashdrive) to support your entry in the Simulink Award
competition.
Timeslots for machine check-in have been posted online (see current season/schedule
page)…The teams are given preference during their reserved time slots. Others will wait
in line.
Machines must be checked in by Friday in order to advance past the seeding
competition.

Presentation teams are expected to bring their own laptop. There is a projector in the
room, but it is recommended that you bring your own if possible (to avoid technology
surprises).
Read the Awards Judging and Policies Part I and Part II for details including time allotted
and required breakdown of the time (5 min setup, 3 min breakdown, 5 min Q&A…).
Please arrive AT CAPSHER at least 30 minutes before your presentation start time. Our
host will be Kevin Sherry (co-founder of CAPSHER)
Booth Setup Saturday morning.
You may begin setting up your booth 2 1/2 hours before your scheduled booth-interview
time. You should finish setup before 15 minutes prior to your scheduled booth interview
time. There will be assigned locations for all the teams that notified us they wanted to
compete in this category. NO setup will be possible on Friday evening. There is not likely
to be a safe on-site storage area for booth materials on Friday night.

Important Note: Each team has an obliged timeslot where the team’s interview specialists
should be ready. Because the interview process is informal, these arrival times are only
approximate.
3-Minutes of Fame
Your team has an opportunity to address the crowd after your assigned round (see
schedule page). The objective is to solicit crowd and judge support for your team in the
Spirit and Sportsmanship judging. Non-BEST teams also have this opportunity to share
something positive.

Your “presenters” must check-in with the Emcee before your assigned round. We will not
look for you. We can play a video for you if we receive it Friday (deliveries by flashdrive
on Saturday are not guaranteed to work). We will attempt audio, but cannot guarantee it.
Game Day Notes:
Plan to arrive at 10-15 minutes before your scheduled check in time on Saturday, Oct.
24th. Teams should officially check-in before doing anything else.
 Mandatory drivers' meeting at 8:45am at the staging area (gym area between
spectators and pit)
 Lunch break will be approximately 11:30-12:45. This time will go by very fast,
please have the food waiting for your teams. There will NOT be time for you to eat
off-campus. Expect to eat picnic style in and around the gym area (we’re seeking
more detailed information now).
 Charge your transmitter batteries overnight before the contest for a full charge.
Double check and then triple check that the transmitter power button is turned off
before you leave the robot at machine checkin.
 During the competition, make sure the machine is ALWAYS turned off when
unattended.
 Your team will be issued a team standard (10’ long PVC pole with your team number
on it). At all times on Saturday, that pole should be attended by an informed
individual with the robot. That is how we will track your team down. On Saturday it
is near impossible for us to track down and communicate with coaches without the
team standard.
 Anyone on floor in either field area or pit area must wear non-marring shoes.
 Drums are only allowed if they have drum pads and should only be played when your
team’s robot is on the field.
 Take Care of the School Property. We would like to be allowed back in the future.

NEW THIS YEAR! We will collect all robots at the end of the competition. Please do
NOT disassemble your robot. Robots will be on display at Mentors & Makers for some
time. Those teams advancing to regional competition, or wanting to use the robots for
marketing, or wanting to display robots at school, will be able to collect them from
Mentors & Makers beginning Monday.
Official Drivers Roster - Due at Friday Check in on Oct 23rd
Please provide two identical copies of your drivers list. This list dictates the order in which your drivers
will participate in the matches throughout the day. It is your responsibility to make sure the correct drivers
are available when the matches begin. Incorrect driver rotation will result in disqualification from the
match. Changes are not allowed to the driver roster other than to remove a student that has left the
competition for the day. A driver may be excused for part of the day without penalty to the team, as
long as the time of proposed absence is noted by this driver on the roster form at the time it is
turned in. Drivers should NOT be on BEST Booth/Interview teams. Please print clearly or fill in
electronically.
