How to release hours on employees’ behalf (Timekeeper):
Employees are allowed to enter and save hours in the future, but are not allowed to “release” future hours for
Timekeeper approval. It is important for Timekeepers (and employees) to understand how to deal with this restriction
when time approval deadlines are designated earlier than normal by the Payroll Department. Please follow the
instructions below if you are a Timekeeper and need to record and/or release time on an employee’s behalf.
***PLEASE NOTE THAT THESE INSTRUCTIONS ARE FOR “RELEASING” HOURS WHICH AUTOMATICALLY APPROVES THOSE
HOURS. IF HOURS HAVE ALREADY BEEN RELEASED BY AN EMPLOYEE IN A PARTICULAR PAY PERIOD, TIMEKEEPERS MUST
STILL “APPROVE” THE HOURS THAT THE EMPLOYEE WAS ALLOWED TO RELEASE IN THE “APPROVE WORKING TIMES”
TRANSACTION (CATS_APPR_LITE).
A. Login to BUworks Central and click on the Webgui tab, then click on the “ECC System” link at the far left.
B. Locate the “Maintain – L2324, NREP Timekeeper – Distributed” folder, then double click on the Time Sheet
Maintain Times” option in your user menu.
C. You will be taken to the “Time Sheet Initial Screen.”
1. Enter “TMKWN001” for the Data Entry Profile, then hit the Enter key on your keyboard.
2. Enter the BUID# of the employee you need to release time for, then hit the Enter key on your keyboard.
3. Click the silver square directly to the left of the user ID# in the grid as shown below to highlight the
employee.
4. Click on the “Enter Times” button toward the top of the screen.
D. You will be taken to the employee time sheet.
1. The default screen will be the Data Entry View (use this view if you need to enter or edit any of the
employee hours for the pay period. Upon entering or editing any hours, once you hit the “save” button
those hours are automatically approved.
2. Make sure that you are in the correct pay period. If not, use the “left and right arrow” icons to toggle back
or forward to previous or future pay periods.
E. To release (automatically approving) any unreleased hours:
1. Click on the “Release View” button beneath the time sheet.
2. Click the silver box at the far left of any row that has hours being displayed in a color other than black.
3. The colored hours are “unreleased hours” while any hours colored black still need to be approved via the
“Approve Working Times” screen or “CATS_APPR_LITE.”
4. Click on the “Release” button at the top of the screen. If you don’t see a Release button, scroll over to the
right and click on the two little black arrows to view more options.
F. If you need to view more options:
1. After clicking the little black arrows, you should see either the “Release” button or the “More” button, which
has a drop down menu with the “Release” option. Choose this option (or the shortcut is “Shift + F4).
G. After you have released the hours, they should turn black in color and you should see a message at the bottom
left corner of the screen confirming that “X” times have been released (which automatically approves them).
H. Remember to hit the “Save” button at the top of the screen or the hours will not be released and approved.
Verifying Approval Status for Time Entry - Timekeeper
Select Variable View at bottom of timesheet. In pop-up, deselect all but Approved.
All hours approved turn blue.
