Applicant Contact Information Washington State University Residence Hall Association considers co-sponsorship to include endorsement, responsibility, support and a shared financial responsibility for the activities of the co-sponsored group. Co-sponsorship programs must be for the benefit of the residence hall population. Our goal is to use this money for the benefit of our residents, whether it goes towards Hall Governments/Councils, Paraprofessional Hall Staff, or other programming bodies and/or registered student organizations. Funding Proposals Must Take place on campus at Washington State University is Pullman, WA, with the exception of conferences or sponsored trips on an exceptional basis Be comprised of 50% Residence Hall students as the intended population Be beneficial to the residence hall population Include the RHA logo on all advertisements Involve shared planning and/or shared financial responsibility for program Be approved by the group’s advisor/professional staff member Funding requests for programs that charge admission will be on an exception basis. RHA may choose to purchase tickets for on-campus residents to use for attending the event. It is not RHA’s goal to fund programs that students then must pay out of pocket to attend. Be submitted by Midnight, 12:00 AM on the Wednesday prior to the Monday that they wish to bring their presentation to Finance Committee & General Council. Only Residence Life Hall Governments/Councils and Hall Staff may reserve space in the residence halls. Any reserved space must be requested from and approved by the Residential Education Director of that hall. RHA cannot approve space within the hall for outside groups. These guidelines are maintained in most cases, but are always subject to the change at the discretion of the Finance Committee and RHA Council. READ THESE STEPS Failure to follow this process may result in the rejection of your proposal. 1. Complete the form below and include all appropriate information; be sure to describe your request in as much detail as possible. Please include your budget number in your proposal (if we do not receive your budget number within 30 days of your submission, it will not be considered for funding). We look to fund well thought-out, organized programs that will be advertised in advance and well attended (if applicable). 2. Submit your proposal online by Wednesday, Midnight/12:00 AM prior to the RHA meeting you wish to present at. Funding proposals submitted after this time will be tabled until the following meeting. Please keep in mind that it takes 2 council meetings to discuss, vote and pass money for a request, please plan accordingly. 3. Present your proposal at the Finance Committee meeting, MONDAY in CUB L37. The VP of Administration and Finance will notify you via email for the time, as it depends on the number of requests submitted that week, but is typically between 6:00 - 7:00 PM. At this time the Finance Committee will review your proposal and ask questions of you. 4. If you are requesting an amount exceeding $500.00, that same evening, present an abbreviated proposal at the RHA Council meeting, MONDAY at 7:00PM in BUTCH'S DEN. You will be included in the agenda for that meeting and will be given an opportunity to speak to the council about your funding proposal and answer questions from Council. After you have presented, you are free to leave the meeting. If your request is $500 or under you do not have to come to council, unless instructed to do so by the VP of Administration and Finance in advance. 5. Return to the RHA Council Meeting the following week, MONDAY at 7:00PM in BUTCH'S DEN to hear the result of your proposal and answer any final questions. You will be asked to give a brief update/summary on your proposal and then leave the room while the council votes. After voting, you will receive an email from the VP of Administration and Finance regarding the final decision made and explaining the required advertising process and receipt of funding for your program. If money is approved, YOU MUST SUBMIT YOUR BUDGET NUMBER (if requesting funds be transferred) within 30 days or your request will be terminated. 6. Include the RHA logo on any and all advertisements and include budget number in response to the result email from the VP of Administration and Finance. Until we receive your budget number, we are not able to transfer you the approved funding. If not received within 30 days of the approval the funds will be revoked and the proposal terminated.
