This role will suit a highly organized person, who will provide administrative and organizational support to the NYC office team and CEO directly on occasion. You will be involved with corresponding with suppliers and clients, organizing overseas travel and running the office on a day-to-day basis – including troubleshooting IT problems. Responsibilities: This is a dual role with responsibility for the organization and coordination of the office operations, along with supporting and assisting the CEO and Directors as necessary. Your contribution will include but is not limited to: AccountAbility Office Manager, New York: September 2011 ` Office Activities Ensuring all visitors to the organization are well received and all telephone calls, emails and general correspondence are efficiently and effectively handled Ensuring good maintenance of all office equipment with relevant suppliers and that the office is maintained in a tidy manner Planning office layout and equipment procurement and researching new providers Designing and implementing office policies and procedures, ensuring all team members have an acceptable level of understanding Providing office/ IT inductions to all new staff members Negotiating with vendors and researching best costs to ensure overheads budget is met Designing and ensuring all filing systems are maintained and up to date Providing assistance to colleagues globally with regards to travel plans Administrative Activities: Becoming the “Go-To” person in the NYC office, assisting the team with general enquiries and requirements Supporting the assistance provided to the CEO and when necessary, providing first point of contact with the CEO in his EA’s absence Clerical tasks, such as filing, printing, document creation and modification Creating expense claim forms, including purchase orders for acquisitions, and maintaining a record of all credit card payments AccountAbility Office Manager, New York: September 2011 ` Skills and Qualifications: Specifically, we are looking for someone with the following attributes: Previous work experience in a similar environment Highly organised, being an initiator in taking responsibility Must have skills in setting priorities and managing work pressures Excellent administration skills Excellent communications skills, both written and verbally, with a high level of attention to detail Flexible working attitude, with a can-do team player approach Competent in MS Office applications including Outlook, Excel, Access and PowerPoint An understanding of corporate social responsibility or sustainability How do I apply?
