Attaching a document to a requisition
1. Create and save requisition
2. Before submitting for approval, you will attach the document. If your document Category
is “To Approver”, you will have to be clicked in the header region of the requisition. The
description field is the best option. Just click in the field-nothing needs to be entered
there.

3. Click on the paperclip on the toolbar.
a. Click in “Category” Field, then type a percent sign in the find box and click
“Find”. Select “To Approver”, “To Buyer” or “To Supplier”. If you have selected
“To Approver” please do a second attachment “To Buyer” with the same
document. (This allows for the attachment to be archived with the PO).
b. “Title” and “Description” are optional fields. You can leave them blank or you
could put in information such as “Dell quote” or “Project XXX bids”, any
descriptive information to explain what the document is.

c. Click on the Source tab
d. Click on the LOV for Data Type, select “File” and click in the “File or URL”

e. Click “Browse” and find the file to be attached. Click “Submit” then X out of the
file upload window. In the Oracle decision box that ask “Has file been uploaded
successfully, click “Yes”.
f. In the lower left corner of the Oracle window, a notice of “Transaction complete”
should appear. X out of the document upload window.
*Note: the requestor will not see the document in the paperclip unless they are clicked in the
“description” field of the requeisiton.
g. Submit for approval.

Additional notes
If you are attaching aquote, you must still reference the quote number in the
description field.
When attaching a document for the approver’s review that the buyer and/or supplier
would also need to see and/or save, please attach it a second time as a note to buyer
and, if need be, a third time as note to supplier. It’s easy to do, won’t take much time
at all and assures that all documentation is archived together.
For each document, please add a Note To Buyer:
- If attaching competitive bids, please note “Bids Attached”
- If attaching quotes, please note “quote(s) attached”
- If attaching other documents, note those in similar fashion
Once a document is attached to a requisition, it stays there forever. If you ever need to
retrieve the document, follow these steps:
o Access Requisition Summary
o Type in the requisition number
o Click “Lines” in the result area, bottom right corner
o Click “Enter”
o Click anywhere in the appropriate line and the paperclip on the toolbar will
change to include a folded yellow paper in the clip.
o Click on the paperclip
