Epicor® Prophet 21® Manufacturer’s Representative Functionality for Epicor Prophet 21 You may call it an “order,” an “agent order,” a “commission order,” or a “manufacturer rep order,” but regardless of how you refer to them, any order where you act as the sales representative for a certain manufacturer, supplier, or vendor requires special treatment. Since these orders are billed and filled by the manufacturer, processed without creating a customer receivable, and paid as a commission from the manufacturer, they cannot be treated as a normal order. The manufacturer’s representative functionality in Epicor Prophet 21 manages such orders by providing you with the features necessary to separate manufacturer rep orders from normal orders, while tracking how they impact your bottom line and business processes. Manufacturer’s representative functionality improves the accuracy with which you track and record the items, customers, and dollars associated with rep orders. Pricing and flexibility Benefits • Shortened order processing time • Automated commissions calculations • Streamlined manufacturer rep order pricing • Improved commission records Once enabled in your order processing system settings, manufacturer rep order entry simplifies billing rep orders by allowing you to enter line items as you would for a typical sales order. However, since rep orders are an on-inventory process, Prophet 21 will not allocate any quantities from inventory, and will print manufacturer rep order forms in place of pick tickets, packing lists, and invoices. Additionally, the manufacturer tab allows you to enter the manufacturer, supplier, or vendor who will fill the order, and view the total commission calculated for each order. To give you flexibility when pricing a rep order, the manufacturer rep order field in the sales pricing page allows you to choose whether or not the price of each line item will reflect the pricing used on sales orders. Selecting “yes” will transfer the price used on sales order to the rep order, while choosing “only” allows you to apply unique prices to rep orders, which ensures that regardless of the requirements for a rep order, your pricing will be accurate. Commission processing Manufacturer’s representative functionality adds a commission tab to pricing page maintenance that allows you to calculate the commission for an item on a given rep order using a difference, multiplier, percentage, or fixed rate. Prophet 21 then uses the calculation method you selected in the price page to determine the “dealer commission”—the commission the manufacturer pays you—in manufacturer rep order entry. Since commissions are calculated within the solution, you can be sure that your calculations can be more accurate and inline with your business goals. Manufacturer’s Representative Functionality for Epicor Prophet 21 Epicor Prophet 21 The prices tab in manufacturer rep order entry allows you to view commissions as both a percentage and dollar figure, and provides a field where you can make changes to the current commission values. Once an order is approved and marked complete, a commission receivable is created and added to accounts payable. The commission payments window allows you to view all commissions owed and accept payments against each rep order. Reporting depth To help keep you on top of how rep orders affect your bottom line, manufacturer’s representative functionality allows you to view rep orders on Prophet 21’s open orders, sales history, who bought what, and sales rep commission reports. Additionally, this functionality includes a host of standard reports, including open manufacturer rep order report, aged dealer commissions report, and dealer commissions payment journal. Aside from running reports, you can drill into rep order data from the order drill downs screen for more information about order indicators and commission figures.
