How To Make a Copy 1 Make sure that you are in the Copy mode. If not, press the Copy Function button. 2 Place the original on the glass (Face Down) or in the document feeder (Face Up) LCD Screen Models OR Your documents will automatically double side. 3 When copying off the glass it scans the original and will wait 60 seconds for you to place next original If you do not want this press the 1 sided to 2 sided button to turn it off MP C2500 only 4 If your original is already double sided press the 2 sided to 2 sided button to scan both sides print out double sided. 5 Enter any required settings e.g. Lighter / Darker, Text / photo on the touch screen. 6 Enter the number of copies required using the Blue keys. 7 Press the Start Key How To Modify original settings LCD Screen Models Modifying the original settings to suit the originals can greatly affect how your copies will look and save you time. 1 Select Text/Photo if you have a mixture of text and photo originals [e.g. Magazine, brochure etc] Select Text if you only have text originals. Select Photo if you only have photo originals Others – Press then select: • Generation (A copy of a copy) • Pale if the original is pale • Map if you are making a copy from a map MP C2500 only 2 Press the Special Original button to advance to the next screen Select special original if: 3 Mixed Size: If you have a mixture of A4’s and A3’s in the originals. Batch: Too many pages to fit in the document feeder in one go. This will allow the machine to scan your originals in batches, but the copies will be produced in complete sets. How To Reduce or Enlarge a Copy 1 Place the original in the document feeder (Face Up) or onto the glass (Face Down). The original should be aligned to the rear left hand corner as shown. MP C2500 only 2 Press the Reduce / Enlarge key 3 Select the required ratio or use the + or – keys to move in 1% steps. Note: To change the ratio in 10% steps, press and hold down the + or – keys 4 5 6 LCD Screen Models Press the OK Key Select the paper tray and enter any other required settings. [For example: text/photo, how many copies required etc.] Press the start key How To Make Double Sided Copies 1 Make sure that you are in the Copy mode. If not, press the Copy Function button. 2 Place the documents face up in the document feeder or face down on the glass LCD Screen Models OR 3 UC policy - this device is defaulted to double sided; - When copying off the glass it scans original quietly and will wait 60 seconds for you to place next original - To select single sided copies, deselect this button MP C2500 only 4 Enter the number of copies required using the Blue keys. 5 Press the Start Key How To Sort Copies into Sets 1 Make sure that you are in the Copy mode. If not, press the Copy Function button. 2 Place the documents face up in the document feeder or face down on the glass OR MP C2500 only 3 Press the Sort key or Rotate Sort Key 4 Enter the number of copies required using the Blue keys. 5 Press the Start Key or press the Sample Copy key. Note: If you select the Sample Copy key, one sample set will be printed. If printed correctly then press, “Print” on the dialogue box displayed on the screen. LCD Screen Models How To Programming of Fax Numbers 1 Press the Scanner button 2 If this screen pops up press the Enter button otherwise go to step 3 3 Enter your computer User Name using the onscreen keyboard. Press Ok 4 Follow steps 2 and 3 again for your computer password using the password enter button 5 If necessary press the onscreen login button 6 Press the Facsimile button 7 Enter the fax number you wish to program using the blue number keys 8 Once you have entered the number press the Program Destination button on the screen. 9 Press the Names Button 10 Press the change button LCD Screen Models How To Programming of Fax Numbers 11 Enter the name you wish to show on the display using the onscreen keyboard 12 Press the OK button 13 Press the OK button again LCD Screen Models You will now have a quick dial key you can use when sending faxes. You will not have to log in to use this key, only to program. How To Document Server Overview LCD Screen Models Overview The document server is used to store and allow easy access for all staff to commonly used forms etc. There are 3 screens for the document server, namely List, Thumbnails and the Print screen List Screen This screen is used to select what file is to be printed. You can also change the name of files (Select the file you want to change on the touch screen, then press the File Management box and Change File Name box) You can delete files or print first page. Thumbnail Screen This screen is used to view the stored file as a Thumbnail. You can also change the name of files (Select the file you want to change on the touch screen, then press the File Management box and Change File Name box) You can delete files or print first page. To Printing Screen To Printing Screen To print any of the listed files, press the ‘To Print Screen’ and select the file you wish to print. The Print Setting screen is used to instruct the machine on how you want your document printed. If you are printing a multi-page file, you will need to select the duplex, sort etc options so that the document prints out in the format you require, irrelevant of how you scanned the document in. To exit this screen and return to the Select File screen, press the File List box. Excludes MP2000Le Model How To Save a Document to the Document Server via the Print Driver – Method A LCD Screen Models There are two ways to save a document onto the Document Server: Method A: If you are networked to print and you have the document stored on a PC, then you can save the document directly onto the Document Server without loosing any quality. Method B: If you only have a hard copy of a document for scanning. Method A Procedure: 1. Open the document you want to save in the appropriate application. 2. Select File / Print (Ctrl + P) 3. Select the Ricoh device/MFD/Machine and click on the properties box. 4. Click on the drop down box for Job Type and select “Send to Document Server” 5. Click on the details box underneath and enter a File Name etc as required and then click OK Note: If you enter a password when you want to print a document then you will need to enter the password before printing will occur. 6. Click on the OK button twice. The document will be sent to the Document Server and be available for printing out as required. Note: You need to set the print options / settings at the device How To Scan a Document onto the Document Server – Method B 1 Select the Document Server function key. 2 Select the Scan Original box and place your documents in the document feeder (Face Up) or on the glass (Face Down) 3 Make any other settings as required. [For example: For double-sided original, select 2-Sided original, Top-to-Top box or Text/Photo for magazine article.] 4 5 6 To change the User Name or File Name press the appropriate box Manually key in your name or select from the boxes and press OK to continue Press the Start key to start the scanning process. Note: • If you are scanning off the glass you will get 60secounds to place the next page onto the glass, once you have placed the next document on the glass press the Start key again to start scanning the next page. Once you have scanned all the pages off the glass press the # key. To return to the main screen press the Scanning Complete box. • If you fed your originals through the document feeder the screen will default back to the main screen automatically. LCD Screen Models How To Print a Document from the Document Server 1 Select the Document Server function key. 2 Select the file to print by touching the operational panel screen. LCD Screen Models Available File List To Printing Screen 3 Press the To Printing Screen and make the necessary print settings as required. [For example: 2-Sided copy will be printed double-sided, sort / staple options] 4 Key in the amount of prints required using the blue number keys. 5 Press the Start key or Sample copy key Note: You will need to have a duplex unit and a finisher fitted for the double-sided printing and stapling options. How To Resolve Printing Errors LCD Screen Models If you have to walk up to the device and press buttons to clear printer errors and to get your print jobs to print out, we would recommend that you check the following common mistakes. 1 Mismatched paper size. From your computer, with the document open, select File then Page Set-up. Ensure that the paper size listed matches what size you want to print onto. For Multi-page documents ensure this is set to “Whole Document” 2 Paper tray incorrect / documents prints from the wrong tray. Ensure that both are set to your requirements or default tray. For Multi-page document, ensure that this is set to “Whole Document” How To Scan to Email 1 Make sure that you are in the Scanner mode. If not, press the Scanner Function button. 2 If this screen pops up press the Enter button otherwise go to step 3 3 Enter your computer User Name using the onscreen keyboard. Press Ok 4 Follow steps 2 and 3 again for your computer password using the password enter 5 If necessary press the onscreen login button Select the Scan Settings key. You can change the following: 6 • The scan type – Tex or Photo, B&W or Colour • Resolution – 100 dpi to 600 dpi • Image Density – To make scan lighter or darker • Scan Size – Machine will “auto detect” standard sizes (A4 or A3) any other size scans, select the nearest size or use 7 Press the Key with your name on it to send to your email account 8 Set your originals in the Doc Feeder or on the glass. 9 Press the Start key to start scanning 10 Press the Login/Logout Key to Log Out LCD Screen Models How To Do “Auto Colour Calibration” LCD Screen Models 1 Press the “User Tools/Counter” key 2 Select the Maintenance box 3 Select “Auto Colour Calibration” 4 Select “Start” box for Copier function. 5 The machine will print out a test page. Place this on the glass with the arrow on the test sheet aligned with the arrow in the top left hand corner of the glass and select the “Start Scanning “box. Once calibrated, the machine will default back to the Auto Colour Calibration Screen. We recommend that you complete a calibration for Printer Function x 3 test patterns. 6 Press the Start Box for Printer function, then select “Test Pattern 1” box and then the “Start Printing” box. Repeat step 6 for the “Test Pattern 2” box and “Test Pattern 3” box Once you have completed 4 calibrations (You should have printed 4 different test sheets) press exit.
