JOB DESCRIPTION I. JOB TITLE: Assistant to the Executive Director Reports to: Executive Director II. JOB PURPOSE AND SUMMARY: Responsibilities include, but are not limited to, performing and coordinating a variety of administrative duties and tasks for the Executive Director, and Board of Directors. This position is charged with effectively and professionally representing Leadership Centre County (LCC), the Executive Director, Board of Directors and LCC’s volunteers and stakeholders. This is a permanent part-time position. The executive assistant typically works 15 to 19 hours per week from August 15 through June 30 and up to 15 hours per week (as needed) from July through August 14. Position start date estimated to be June 8, 2015. Specific Functions of the Job: (list in order of importance) Answer phones and assist class members, volunteers, vendors and stakeholders, respond to email and other social media; Assist in management/dissemination of all outreach communications; Support LCC Marketing Intern’s efforts in this arena; Write and/or edit and coordinate correspondence on behalf of the Organization, and Executive Director; work with the Executive Director to produce annual directory and other publications as necessary. Accurately maintain databases; organize and maintain files and records, electronic and physical; Assist ED in journaling and processing accounts payable transactions to ensure finances are maintained in an effective and up to date and accurate manner; Coordinate management of class member recruitment activities; Compile reports from access data base as requested by Executive Director and/or board members including program day volunteer lists, prospective applicants and nominees, composite mailing lists, class member lists etc. and other reports pertinent to the Executive Director and Board of Directors; Manage office supplies and equipment; Schedule/cancel appointments, maintain calendar, assist in making logistical arrangements for program days and other LCC activities. Attend board meetings to serve as the recording secretary. Prepare large mailings to donors, alumni and friends. Manage email correspondence with LCC alumni, board members, committees and class members. Coordinate Organization functions to include logistics and material preparation and follow-up (evaluations, thank you letters etc.) such as but not limited to Transformational Leader Series, Graduation Celebration, program days; General shipping and receiving (mail); Perform other related duties as required. Working knowledge of Quicken Able to maintain confidential member information III. QUALIFICATIONS Minimum Educational Requirements: Associate’s degree in a business related area preferred.
