After introducing the new solution, it has greatly reduced the number of assistance requests Since the introduction of the AMDP PRO document management solution, the user calls for trouble shooting on our document management equipment reduced dramatically – by as much as 95 per cent. In the past, the IT department received a lot of calls for fuser replacement, paper jam, etc. It took time to followup with these issues until they were resolved. With the new system, helpdesk calls have dropped to almost zero. This frees up staff to spend more time on more strategic work, which represents a saving to the company. CASE/SEP11/FXHK Fuji Xerox helps Solomon Systech set up a greener, more efficient office Solomon Systech Limited (Solomon Systech) was set up in Hong Kong in 1999. It is a leading semiconductor company providing display integrated circuit (IC) products and system solutions on an international basis under its own global brand. The company aims to be a one-stop-shop for display IC chips and system solutions. At the end of 2010, Solomon Systech had about 480 employees, of whom 280 were working at the Solomon Systech headquarters at Hong Kong Science Park. The drive to create an efficient and green working environment As a socially responsible company, Solomon Systech is committed to continuously improving its products, technologies, services and solutions so as to deliver genuine value to its customers, protect the environment, prevent pollution and comply with legal requirements. That same drive to constantly improve also underpins its environmental protection initiatives, which have helped the company to obtain the international ISO14001 environmental management certification. In terms of managing its daily office operations, Solomon Systech is always looking for ways to increase the productivity of its staff. It also prioritises a ‘green’ work environment, in line with its CSR objectives. “Solomon Systech has been encouraging its employees to protect the environment and minimize the waste of resources. For our part, in our procurement activities we actively source office equipment and solutions from vendors whose products are green and energy-efficient,” said Dr Vincent Yu, IT Manager, Solomon Systech Limited. “We also encourage staff to take everyday environmentally-friendly measures, such as limiting non-essential copying and using double-sided printing to reduce paper use.” Solomon Systech aims to keep its business and corporate operations as streamlined as possible and takes a rigorous approach to finding areas where greater efficiency or environmental performance can be achieved. Previously, the company did not bet all functions on single multifunctional device. The office was equipped with individual scanning, printing, copying and fax machines, and the company was always looking for a more reliable, energy efficient and environmental friendly solution that would integrate multiple functions reliably and seamlessly integrate with its existing SharePoint document management system. This would mean a welcome upgrade to existing equipment that would provide greater efficiency and ease-of-use for staff, in turn helping them to be more productive. As a result of the seminars, Dr. Yu knew that Fuji Xerox’s ApeosPort-IV C5570 multi-function device came with a host of new technologies. Its AMDP PRO portal, designed to integrate easily with the SharePoint document management system, would allow Solomon Systech staff to scan documents directly to the server, significantly reducing the number of steps required to do so with the company’s existing set-up. Not only was the C5570 more energy-efficient, but it was also faster – the whole system can be warmed up in 28 seconds. All of this would help to increase employee productivity. Dr Yu says this was potentially a win-win situation: not only was the new solution faster and easier to use, but it would also further the company objective of making operations more environmentally sustainable. On behalf of Solomon Systech, Dr. Yu contacted Fuji Xerox to enquire about the possibility of deploying the new solution, and either replacing or integrating all of the company’s existing equipment. Reviewing user needs to pick the right solution After taking the time to understand Solomon Systech’s requirements, Fuji Xerox suggested that the company to start off by conducting a comprehensive internal document management and operations survey. Once complete, the survey results would inform the planning process to ensure that any upgrade could genuinely meet users’ needs. Although the company had added a few new photocopying equipment six months earlier, we participated in seminars organised by Fuji Xerox and became convinced that the ApeosWare My Document Portal (AMDP) PRO Document Management Solution with the ApeosPort-IV C5570 multifunction device was the solution that could best meet our needs. This gave us a reliable basis for identifying the most appropriate solutions and features,” said Dr. Yu. The entire pilot program, from the design stage (in which employees participated) through to the trial and gathering of feedback lasted about one month. RESULT Fortunately, employees were very satisfied with their new document management capabilities. Once the survey had been conducted, Fuji Xerox worked closely with Dr. Yu and his team to design and deploy a solution to meet the company’s objectives.
