Senior Faculty Officer (SFO) - Tabea Lephuthing: tabea.lephuthing@wits.ac.za (011) 7172075; room 226 Responsible for all matters relating to clinical programmes i.e MMeds, MDents, Registrars & Supernumeraries & HPCSA related matters; manages & administers registration process, nomination of examiners process; enquiries; circulation of examination outcomes; liaise with Hospital HR and Clinical Heads of departments and divisions; administrates the Supernumerary Registrar Programme; liaise with host departments, CEO’s of the host hospitals, registration with statutory bodies and immigration requirements; record-keeping of all supernumerary registrars; arrange for appointments with staff from MPS for malpractice insurance; assists new appointees with applications for medical aid insurance; compiles letters and fees quotations for the international office; handles queries/anomalies relating to registrations; handles all postgraduate web-generated enquiries; communicates with students both verbal and in writing; manages registration process for all postgraduate students whose registrations are not routine, e.g. special curricula, dual faculty registrations, concurrent institutional registrations, late registrations, amendments. Receives and checks application forms for completeness; processes application forms on SIMS; manages & control data capturing; scans applications and supporting documents; manages correspondence regarding outstanding documents and application statuses; circulates the decisions for ratification by the Chair FGSC; captures all statuses on SIMS after approval; arranges screening and selection. Faculty Officer (FO) - Palesa Khumalo: palesa.khumalo@wits.ac.za (011) 7172463; room 210 - Responsible for all matters relating to protocols & research for all PG programmes (including change of title, change of supervisor & appointment of supervisor); manages the examination process of research projects for all PG programmes; receives results from examiners and handover to SFOs to release; coordinates assessment of protocols; receives all protocols for School based assessor meetings; enters candidacy details and links students’ records to PG Committee agenda; links correspondence codes so that a systems letter is generated; submits the revision for review and final approval by the Chair of the Faculty Graduate Studies Committee; follows up on any cases where submission has not been made within the required time-frame; liaise with the Chair of the PG Committee regarding the protocol process; updates students’ candidacy details on the system; processes payment of examiners. Captures data for PG applicants and students; scans applicants’ records and links them to the SIMS; assesses and checks the documentation to ensure that checklist of documents received is complete; checks that all certificates and accompanying documentation are in the name of the applicant; recordkeeping of applicants’ admission data through the utilisation of document imaging technology and conventional filing systems; sorts application forms as per firm offer listing; prepares application packs for the postgraduate programs offered in the Faculty; photocopy all relevant documentation; provides administrative assistance to the senior staff as and when required.
