JOB DESCRIPTION POSITION TITLE Text Book and Course Packs Manager, Bookstore REPORTS TO: Director, Bookstore PRIMARY FUNCTIONS: Buy, promote, sell, & display all text books and course packs, and maintain text and course packs inventory. AREAS OF RESPONSIBILITY: 1. Oversee the textbook adoption process. 2. Secure textbook orders each semester from faculty. 3. Ensure that textbook timeline of adopting books, buyback, buying decisions, purchasing, text department set-up, selling, returning of textbooks is completed in accordance to schedules, timelines and guidelines. 4. Distributes, receives, and processes textbook adoption forms from faculty to prepare purchase orders. 5. Coordinate the used and rental book program. 6. Sets appropriate inventory levels in textbook area; determines textbook quantities to purchase from publishers and used book wholesalers; generates purchase orders; want lists wholesalers. 7. Coordinate and pull and pack all online textbook orders. 8. Informs faculty of book order changes and problems with orders; works with publisher representative to solve problems or create alternatives. 9. Contacts publishers and vendors regarding purchase orders; resolves order problems and coordinates textbooks returns via phone, fax, mail, and/or email. 10. Controls textbook inventory; determines which books to return to publishers, wholesalers, and distributors. 11. Determines buyback quantities to purchase from students for bookstore use and quantities to sell to wholesalers. 12. Ensure shelf tags reflect correct and updated information; maintains current knowledge of courses and syllabi. 13. Maintains inventory and booklists for store use, campus departments, faculty, library, and vendors. 14. Places orders with vendors and shelves textbooks to ensure accuracy within the department; 15. Monitors inactive non-returnable and old edition/our-of-print section. 16. Maintains accurate inventory levels and classifications, purchasing and sales records. Monitors textbook stock movements. 17. Physically reconciles every textbook title at least three weeks prior to each rush. Communicates any problems with faculty daily and to others as required; 18. Monitors and confirms that all used book vendors’ overstock is returned within 45 days from the first day of class. 19. Follows all publisher return procedures, especially publishers with restricted return policies; 20. Completes returns by end of each semester. 21. Completes all markups and markdowns, accurately and on a timely basis. 22. Attends annual tradeshows and conferences to stay current on technology, trends and place orders. Travel may include annual out of state trips each year and require occasional travel to remote campuses. 23. Coordinate all course pack creation with faculty. 24. Submit copyrighted materials to service to obtain permission to include copyrighted materials in course packs. 25. Ensure timely copyright clearance for all copyrighted material to be used in course packs. 26. Manage all course pack printing. 27. Ensure that all course packs are received and shelved in a timely manner. 28. Accepts delivered merchandise (both textbooks and course packs) and reconciles with purchase orders; enters information from purchase orders and invoices into computer database. 29. Maintains shipping and purchasing records. 30. Processes and balances invoice information for transfer to accounts payable. 31. Any other textbook and/or course pack duties as assigned by the Director. EDUCATION: Essential: High school graduate. Desirable: Bachelor’s degree in related field. Essential: 3+ years of directly applicable bookstore retail experience, specifically in a general bookstore setting performing customer service. Two+ years of experience as a Buyer. Desirable: 3+ years of directly related college bookstore retail experience. Two+ years of experience as a Textbook Buyer. EXPERIENCE: KNOWLEDGE, SKILL AND ABILITIES: This position requires good communication skills, both written and verbal. Previous work with computerized databases and general computer facility essential. Knowledge of publishers, imprints, frontlist, backlist, some category specialization. Must possess a high level of accuracy and be detail oriented. Excellent interpersonal, problem-solving and organizational skills. Ability to effectively juggle tasks and different issues while still maintaining productivity. Must be team oriented and establish respectful, supportive, and cooperative working relationships within department, and with the college community and the public. Must contribute to a positive store environment; must be self-motivated, adaptable, accepting of new challenges, and open to change. PHYSICAL DEMANDS: Ability to travel and attend conferences off campus. Ability to lift up to 70 lbs. WORK SCHEDULE: FTE: 1.0 (40 hours a week) TERM: Year round position SCHEDULE: Bookstore hours 8:00 A.M. to 5:00 P.M. Monday through Friday; 10:00 A.M. to 4:00 P.M. Saturday during academic year; 7:30 A.M. to 4:30 P.M. during summer. Must work at least 1 Saturday each month; other evening and weekend work required during special events and rush.
