INTERVIEW/APPOINTMENT CHECKSHEET

POSITION OF ____________________________________________

Please check as each item is completed.

1. Position Proposal

As appropriate, college dean submits to VPAA a written:

_____Request for replacement of existing position (including a letter of resignation), or

_____Request for approval of pro forma position, or

_____Request for new position

2. Position Approval

_____ VPAA reviews request and, as appropriate, sends a written recommendation to the president

_____VPAA receives written approval from the president and will notify the college dean

3. Advertising Approval

College dean will:

_____S ubmit full NNU web ad (use template on the Common drive, Personnel, Faculty) and short, disciplineappropriate ad to the VPAA for review. VPAA will send the approved job announcement to the HR Office to be routed to the VPFA and formatted for the NNU website. The next two Affirmative Action forms will automatically be sent to you by the HR Office after the position announcement has been approved and posted on the NNU web page.

4. Expenses

_____A ll expenses*, including advertising, must be routed through VPAA for approval.

5. Candidate Approval for Campus Visit

College Dean will submit to the VPAA:

_____T heir own written recommendation and the recommendation from the search committee and/or

department chair along with the following materials: a._____Letter of interest from the candidate b._____Formal application form (link from NNU WEB announcement) including: c._____Vita

d._____Statement of Christian faith – must be evangelical Christian (include involvement in church activities,

Bible studies, etc. to show active faith life) e._____Statement describing philosophy of Christian higher education f._____References

_____1. Pastor’s letter of recommendation or notes from a phone conversation with pastor

_____2. Recommendation from someone who knows his or her work g._____Transcripts

_____VPAA will review recommendations and candidate’s materials. If visit is approved, a written memo will be sent

to the college dean and an AAO file will be established for the candidate.

6. Interview Process** (See interview guide for topics at each interview level)

Provide interview schedule and packet of materials (see #5 above) to each individual involved in the interview process a week prior to the scheduled interview.

campus (evaluation instrument attached)

7. Hiring Approval

College dean submits:

_____His/her own written recommendation accompanied by written recommendation from search committee chair, and interview evaluation sheets from search and cross-campus committee members.

_____Written recommendation from VPAA to President

_____President’s approval to offer contract (the president will initial and date the recommendation from the VPAA and send copy back to the VPAA for the file)

_____VPAA will inform the Dean of the President’s approval. Dean will get final Affirmative Action document to the

HR office.

8. Offer to Candidate

_____The VPAA will contact the candidate to offer the position.

_____The president’s office will prepare a contract and cover letter. In some instances, the president will ask the

VPAA to draft a letter for his/her (the president’s) signature. The appointment letter is sent from the president’s office to the candidate.

10. ____Place copy of this form in the candidate’s personnel file (copy for President, HR Office, Payroll and VPAA)

Amounts to spend before approval is needed are as follows:

$800 – advertising per position

$500 – local candidates

$1,000 – candidates traveling long distance

VPAA control over what is spent

As a courtesy, please notify the president’s office when candidate is coming for an interview. Include name of person conducting the search, name of the candidate, position, and from where the candidate is traveling.

**No interviews are to be scheduled prior to the VPAA’s approval to bring candidate to campus.

Somewhere early in process, let deans know about need for official transcripts.
