$78,355 - $94,015
(It is anticipated that this Term assignment will end on June 30, 2018)
The Toronto District School Board adheres to equitable hiring, employment and promotion practices.
Reporting to the Construction Data Systems Administrator, the Project Office Specialist will assist the Design,
Construction & Maintenance Unit with the efficient recording and delivery of all construction programs. There will be
numerous construction projects annually (approximately $250 million). The Project Office Specialist will support the
management team by providing project management support to ensure that time schedules and cost targets are
maintained for both procured services and In-house.
The Project Office Specialist will:

Produce weekly progress and specialized reports;

Collect and document project progress status from Project Supervisors;

Update project status on the Enterprise Resource Planning System (SAP) (Budget status, completion status
and schedule information);

Close projects upon completion and provide analysis of any financial problems for resolution;

Analyze progress performance in terms of Cost Performance, Time Performance and Completion;

Update Project Supervisors as required so that corrective action may be taken as necessary;

Act as a liaison and a coordinator among Project Supervisors for special multiple projects; and

Receive and review As-Built drawings.
Summary of Duties:
 Establish and maintain a system for creation of account assignments for the different construction programs;
 Initiate Project Definitions and Network orders for the individual construction projects;
 Update project status on the Enterprise Resource Planning System (SAP) (Budget status, completion status and
schedule information);
 Close projects upon completion and provide analysis of any financial problems for resolution;
 Produce weekly progress and other specialized reports;
 Coordinate among Project Supervisors the analysis and production of the yearend financial statement;
 Monitor, analyze and produce a quarterly status for projects reserved from previous years;
 Analyze progress performance in terms of cost performance, time performance and completion;
 Communicate any problems to Project Supervisors and so that corrective action can be taken as necessary;
 Establish benchmarks based on previous performance;
 Act as a liaison and a coordinator among Project Supervisors for special multiple projects and assist in construction
reviews on occasion;
 Receive and review As-Built drawings;
 Perform quantity take-off and assist in construction estimating on occasion;
 Provide leadership in fostering equity and inclusiveness in the development and implementation of programs and
services; and
 Other duties as assigned.
Qualifications:





University degree in Engineering or Architecture with five years of progressively responsible related engineering and
construction experience for a large, multi-site unionized employer, or an equivalent combination of education and
experience;
Knowledge of building and safety codes;
Comprehensive knowledge of the principles of Project Management;
Successful experience using Project Management software applications;
Successful experience monitoring large budgets;

Prior experience in planning, scheduling and cost control;
Familiarity with Board’s specification and procedures;
Proficient computer skills including computer assisted estimating, spreadsheets, databases, word processing,
presentation packages, financial information system, facility services information system, facility condition database,
email, internet;
Strong analytical skills & problem solving ability;
Proven ability in promoting equitable practices which value inclusiveness and diversity; and
Good oral, written communication and organizational skills.
Special Requirements:
 Provision of own vehicle for Board business;
 Requires travel to TDSB sites on a regular basis; and
 Requires wearing safety equipment (e.g. safety shoes, hard hats) when visiting construction sites.
Asset:
 Project Management Certification; and
 Membership in Professional Engineers Ontario or Ontario Association of Architects.
Location:
This position will be located at the Oakburn Centre, 15 Oakburn Crescent (wheelchair accessible).
