How to run a Budget Status Report 1. Go to Commitment Control > Budget Reports > Budget Status 2. Click on the Add a New Value tab to make a new run control (NOTE: once you have created one, then stay at the Find an Existing Value and click on the Search button; then, find the run control that you created.) 3. Name the run control. I’d recommend budget_status. You cannot use spaces or special characters in the name. 4. Click Add to start creating the run Control. 5. Enter the Ledger group by click on the magnifying glass after the blank field. For a CFC with a Project ID, then choose PROJ_GRT. If there isn’t a Project ID, then choose APPROP. 6. Click on the Refresh button to reveal the chartfield names. 7. Click the Include CF checkbox by numbers 1 (Account) – 7 (Budget Reference) 8. Enter the Chartfield values that you want your report output for. At the very minimum, for APPROP enter the Department ID and Budget Reference, and for PROJ_GRT enter Department ID, Project ID and Budget Reference. You can enter ranges of values as well. 9. Click on the Save button at the bottom of the page to save your run control for future use. Next time that you want to run a Budget Status report, then do not click on Add a New Value, and click on the search button to search for the budget_status run control that you just saved. 10. To run the report, Click on the Run button 11. At the Process Scheduler Request, verify that you want the output to be PDF, and then click on OK. You do not have to list a server name. 12. Click OK to run the report. 13. To check on the status of the report running, and to get the output, click on the Process monitor hyperlink by the Run Button. 14. You will be taken to the process monitor. You will see your report. The budget status report is GLS8020. You will need to click on the Refresh button, until the Run Status = Success, and the Distribution Status = Posted. 15. Once the report is Posted, then to get your output, click on the Details hyperlink by the report that you ran. 16. At the Process Detail screen Click on the View Log/Trace hyper link. 17. Then, click on the file name that ends in .PDF. This is your report output. 18. Your report will then open up in a PDF report. This can be saved or emailed.
