➢ Please send me a couple pictures of the post-its you complete. This will be useful
for the AFLV packet and to post on social media. If your chapter posts anything

➢ This can be used for formals to submit last minute details. This way you do not
have to email me this information.
❖ Please remind your chapters to bring MavCards to All Greek this coming Tuesday!!

➢ All Delegates need to attend since you are on the judicial board if something

➢ SECTION VII – ABSENCES
■ 7.5 Appointed chairs are required to attend at least two regularly
scheduled general Panhellenic Council meetings. If unable to attend a
regularly scheduled general Panhellenic Council meeting the appointed
chair must request an approved absence by the Panhellenic President
within 48 hours of meeting.
➢ This bylaw is in regards to the Greek Week Co-Chairs and Panhellenic
Recruitment Counselors. Greek Week Co-Chairs need to come at least twice
during their term. Panhellenic Recruitment Counselors need to come at least
twice during the Spring semester since their duties end the first week of classes.
If a Recruitment Counselor has already attended a PHC meeting during Spring
2015 we have record of that and will count those.

➢ We were thinking about doing something during dead week. We could do yoga

❖ Thank you for participation in the Greek housing conversation. Please keep in mind
that, at this time, we are only talking about the development of a process for
investigation. No decisions have been made about any models, amenities, funding
sources, or any other details. Many questions are being asked that it is simply too early
to be able to think about answering. Dr. Jones and/or I will be in touch about the next
meeting.
➢ I talked to the National NPC Delegate on the phone today for at least 15 minutes.
❖ The Greek Life Student Activity Fee budget is being presented Friday morning.

❖ The criteria and process for this year are posted on “Current Member Resources” of
www.maverickgreeks.com and in “Files” of Maverick Greeks’ OrgSync Portal. Use this
document for the programming you’re doing now.
❖ 2015 UIFI Funding Application now available in “Forms” Section of Maverick Greeks Org
Sync Portal. Members of ASA, Delta Chi, Lambda Chi, Phi Psi, Phi Kapp, Tri-Sigma,
and TKE will need to apply for their headquarters/foundation scholarship in order to be
considered for ours. Pay attention to deadlines! Our application is due March 31.
➢ This is in my opinion the best leadership building conference put on and a
absolute great experience.

been announced.
❖ An opening remains on MSSA for a senator from the College of Allied Health & Nursing.
❖ Reminder that a large Spring concert will take place the evening of April 22.
❖ Composite photo shoots will take place March 16-20. If you regularly use the Greek
Office for a group meeting, please make alternate arrangements for that week.
❖ Composite companies have until 2/24 to submit data for a composite contract bid. I will
share information when I have it, and we will meet shortly after to try to reach an
agreement.
❖ Reminder that people with after-hours access to Student Activities Office are able to
utilize the office for meeting space, but not for access to office/poster-making supplies.
Exception granted to councils for community-wide programming. Those working on
things for other groups will be asked to leave the office and may lose access. Regular
office hours at 8:00am-6:00pm Monday-Friday.

on recruitment rules. Alpha Sigma Alpha Delegate (Mikaela Bordewick): So
moved. Second by Alpha Chi Omega Delegate (Kacey Slattery).

comfortable with doing option B as we do not want to worry about monitoring

Alpha Chi Omega Delegate (Kacey Slattery): Alpha Chi Omega Delegate (Kacey
Slattery): My chapter chose option C and if a chapter member was the individual
who was caught private messaging a potential new member than they would be
responsible for paying that fine.
Gamma Phi Beta Delegate (Tiffany Maunu): My chapter felt most comfortable
with doing option B this recruitment as we do not want to worry about keeping
track of everyone and what they are doing as well.
Alpha Chi Omega Delegate (Kacey Slattery): I move to strike option A and vote
by paper on option B or option C. Second by Sigma Sigma Sigma Delegate
(Haylee Sieben).
■ Motion failed. The vote was 2-2.
Sigma Sigma Sigma Delegate (Haylee Sieben): My chapter talked a lot about
option C and how we should be able to trust each other. We have other
panhellenic members on facebook so we would be seeing what everyone posts
and the potential new members would not feel as if we are hiding anything. We
also talked about if you have pi rho chis in your photos you can make photo
albums private so those who are not friends with you cannot see those photos.
Point of Information: President (Brianna Werner): This section pertains to all
social media including Facebook, Snapchat, Vine, Twitter, Tumblr, etc.
Alpha Chi Omega Delegate (Kacey Slattery): I yield to Courtney Igbo-Ogbonna.
■ Courtney Igbo-Ogbonna: Looking at it as a past head rho chi we did not
have a lot of issues with social media. We would hold individual members
responsible for the infractions and fines that they give the chapters. We
can also change it back after this year if it does not work out. I yield back
to the Alpha Chi Omega Delegate (Kacey Slattery).
■ Alpha Chi Omega Delegate (Kacey Slattery): I yield.
Gamma Phi Beta Delegate (Tiffany Maunu): I do agree that the trust issue is
great, but I feel like putting that responsibility on the officers during recruitment
weekend is a lot of extra duties on top of what they already have to worry about
and that the potential new members can look at chapter pages if they want to
know about chapters.
Point of Information: President (Brianna Werner): This social media policy would
only be in effect from Wednesday through Sunday after bid reveal.
Gamma Phi Beta Delegate (Tiffany Maunu): Exactly, so I feel that the potential
new members have plenty of time to look at our chapter pages before
Wednesday if they wanted to and can focus on chapter pages Wednesday to
Sunday of recruitment.
Alpha Chi Omega Delegate (Kacey Slattery): Another thing we talked about is
that we use our Facebook page for communication and when it is deactivated we
cannot utilize that form of chapter communication and our previous president had
issues getting a hold of members last recruitment and could not simply post on
the Facebook page.
President (Brianna Werner): From a two year past pi rho chi experience I can see
both sides of the argument. However, when social media is deactivated, as soon

as we get it back we tend to focus on social media more instead of the new
members that just accepted bids into our chapters.
Sigma Sigma Sigma Delegate (Haylee Sieben): We talked about that in our
chapter and how on bid day once everyone reactivates everything that is the
focus and nobody is wanting to talk to the new members because they are too
caught up in what they have missed on social media. If we all still had our social
media we could focus more on getting to know the new members instead of
social media.
Sigma Sigma Sigma Delegate (Haylee Sieben): I move to revote on Option B or
Option C by paper vote. Second by Gamma Phi Beta Delegate (Tiffany Maunu).
■ Motion failed. The vote was 2-2.
Vice President of Recruitment (Molly Polzin): I have my personal opinions and I
think that giving up social media for a few days is not that big of a concern and
that the chapters could make an anonymous account that the chapter could use
as the admin for their chapter page that the entire chapter has the login
information for and can utilize during recruitment.
Vice President of Conduct Review (Briona Thomson): It was mentioned before
that we do not have enough time to be on Facebook recruitment weekend so
would those who are monitoring even have time to monitor those facebook pages
anyway?
Sigma Sigma Sigma Delegate (Haylee Sieben): I think we need to keep in mind
that most schools keep all of their social media and we are a smaller panhellenic
community so if the bigger communities are able to follow the rules and have no
major issues with this route than I do not see why we are so concerned with this
option. I think it is better to go wholeheartedly into this than taking baby steps by
choosing option B and then next year moving to option C. Why not just start with
option C right away.
Alpha Chi Omega Delegate (Kacey Slattery): I talked to my old roommates from
my previous school who have a similar sized Greek Community and they said
social media was used to look at potential new members pages to ensure they
live up to their values as well so it could be utilized by the chapters to look into
potential new members as well as the potential new members checking out
members of the chapter they may join.
Gamma Phi Beta Delegate (Tiffany Maunu): I just do not feel comfortable with
the idea of looking at Facebook pages of potential new members and letting that
affect our opinions of if they could be a quality member or not. We always preach
that by joining Greek Life you become a better version of yourself so if they have
not shown the best social media etiquette we as their chapter members could
assist them in showing them what is the best way to promote themselves on
social media.
Vice President of Council Management (Nikki Kramer): I just want to remind
everyone that if the chapters choose to deactivate the members social media
pages then it is the responsibility of three head pi rho chis to oversee the entire
panhellenic community to ensure that they are not using social media but if the
chapter members keep social media it is the responsibility of not only the three
head pi rho chis but also the officers of the chapters to ensure that the posts are

just greek in general and not chapter related. The responsibilities are much more
spread out with option C then with option B.
Alpha Sigma Alpha Delegate (Mikaela Bordewick): I would be okay editing one of
the options because I do not think we are going to come to a consensus with the
two options we currently have.
Alpha Chi Omega Delegate (Kacey Slattery): I yield to Courtney Igbo-Ogbonna.
■ Courtney Igbo-Ogbonna: Again from a past head pi rho chi position I just
want to point out that it saddens me that our community has no trust and
we have not had issues with social media in the past so this should not
make issues now by letting members keep their social media. This is also
good for the potential new members to be able to see who we are as
individuals and not just in the recruitment rooms.
Vice President of Member Education and Development (Kammie Beyer): What if
you set your privacy settings so anybody who is not your friend could only see
your cover photo and profile photos. Would that make chapters feel more
comfortable?
Alpha Sigma Alpha Delegate (Mikaela Bordewick): I feel like that would be seen
as hiding something still and we might as well just deactivate all the pages then.
Sigma Sigma Sigma Delegate (Haylee Sieben): You can also set your privacy
settings so nobody that is not your friend can personal message you.
Vice President of Community Service and Philanthropy (Alex Simonieg): Do they
even know your last names? I do not recall knowing anyone’s last names when I
went through. I just do not understand how they would be able to find us.
Gamma Phi Beta Delegate (Tiffany Maunu): I move to table this until next week
and I can discuss this further with my chapter and get a feeling to as where they
want to go.

Alpha Sigma Alpha Delegate (Mikaela Bordewick): I yield to Justine Otremba.
■ Justine Otremba: I can see both points of view of the chapter side and the
potential new member side since I was just a pi rho chi last year. The
entire panhellenic community could change their facebook to first and
middle name like the pi rho chis did this previous formal recruitment so it
is harder for potential new members to find you on social media. I yield
back to the Alpha Sigma Alpha Delegate (Mikaela Bordewick).
■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I yield.
Vice President of Conduct Review (Briona Thomson): If you are already friends
with a potential new member going through Formal Recruitment how are we
supposed to know that someone did not add them during the Formal Recruitment
process?
■ Vice President of Council Management (Nikki Kramer): You can see the
friendship of two individuals on Facebook and it tells you when two
people became friends.
Alpha Chi Omega Delegate (Kacey Slattery): I move to amend option C by
changing your name to all your social media to your first and middle name.
Second by Sigma Sigma Sigma Delegate (Haylee Sieben).
■ Motion passes with a 3-1 vote.
➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): We should amend option C
by adding a subsection of hiding all photos of rho chis from the public (locking
those albums from public access).
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): We should amend option C by
adding another subsection of changing messaging settings to only receive
messages from current friends.
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): I yield to Kaitlyn Kanne.
■ Kaitlyn Kanne: Last year even once the pi rho chis were disaffiliated, the
other chapter members still had social media until the week of recruitment
and some of them still had pictures with the pi rho chis on their profiles so
if potential new members really wanted to they could find out what
chapter the pi rho chis are in during that last month as well. I yield back to
the Sigma Sigma Sigma Delegate (Haylee Sieben).
■ Sigma Sigma Sigma Delegate (Haylee Sieben): I yield.
➢ President (Brianna Werner): It could be a chapter option of what social media
you want to deactivate and leave activated.
➢ Alpha Chi Omega Delegate (Kacey Slattery): I move to add option D of having
each chapter decide whether or not they want to deactivate social media or not
while keeping the no contact rule with potential new members. Second by
Gamma Phi Beta Delegate (Tiffany Maunu).
■ Motion failsed with a 2-2 vote.
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): I think that just defeats the
purpose of us being a panhellenic community if each chapter decides what they
want to do and we are not all doing the same thing. That does not speak
community wide at all.
➢ Alpha Chi Omega Delegate (Kacey Slattery): I think we just have to clarify the
second point in option C a little more.
➢ Vice President of Community Service and Philanthropy (Alex Simonieg):
Instagram can only be set to private, it cannot be deactivated as it is completely
deleted if deactivated along with everything on one’s instagram.
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): We would have to set specific
guidelines for each specific social media such as setting instagram to private.
Once instagram is set to private nobody that does not already follow you can see
anything on your profile anyway.
➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I move to table the discussion
on social media aka Section 28 until all of the delegates can discuss this with the
Vice President of Recruitment (Molly Polzin) and come up with a consensus.
Second by Gamma Phi Beta Delegate (Tiffany Maunu).
■ Motion passed with a 4-4 vote.
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): I talked to my chapter about the
infraction section and it is almost too set in stone and does not deal with the
severity of the infraction. No matter what the initial infraction is you are still only
paying $15.00 and we are not sure we like that. We talked about striking the
entire section and following the NPC Judicial Procedure. We would add in there
that all fines are up to the discretion of the head pi rho chis and severity of the
infraction.
➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I would feel better about this
since we never heard back from our NPC Delegate so we are not sure if they
would be okay with the new system.
➢ Alpha Chi Omega Delegate (Kacey Slattery): Our NPC Delegate was good with
the new infraction system but she did ask about the severity of infractions and
how we would distinguish between those.
➢ Gamma Phi Beta Delegate (Tiffany Maunu): Our NPC Delegate and chapter was
in favor of this new infraction system.
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): You could add in to the NPC
process about what a minor, moderate, major infraction fine may be.
➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): At the discretion of myself on
behalf of my chapter. If we change the fines to what haylee is discussing in the
new system, I think my chapter and NPC delegate would feel better about that as
it is more in line with the NPC process.
➢ President (Brianna Werner): I can see both sides of the infraction systems
proposed. The new infraction system is more structured and defined, but the npc
process is like an unanimous agreement. It is up to the chapters of what you
would like to see put into effect in our community.
➢ Sigma Sigma Sigma Delegate (Haylee Sieben): I move to change the titles of the
incident to minor, moderate, and major instead of first, second, and third. Second
by Alpha Sigma Alpha Delegate (Mikaela Bordewick).

➢ Sigma Sigma Sigma Delegate (Haylee Sieben): I move to amend the infraction
amount to fine amount. Second by Gamma Phi Beta Delegate (Tiffany Maunu).

➢ Sigma Sigma Sigma Delegate (Haylee Sieben): We should change the title of the
3 strike system to infraction since it is not based on three strikes anymore.
➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): We should change the
infraction levels and fine amounts to 15, 30, and 50. Second by Sigma Sigma
Sigma Delegate (Haylee Sieben).
■ Motion passed with a 3-1 vote.
➢ Alpha Chi Omega Delegate (Kacey Slattery): I think that we should leave the fine
amounts to 15, 25, and 35 and leave it up to the discretion of the head rho chis.
➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I move to vote on the
recruitment rules as changed except for Section 28. Second by Sigma Sigma
Sigma Delegate (Haylee Sieben).

❖ Presentation on Bylaw Revisions
➢ Vice President of Conduct Review (Briona Thomson): I am basically just going to
run through the judicial procedure with you set by NPC. The mutual agreement
tends to happen about 80% of the time. If that does not happen, then a violation
report is filed and a mediation will occur. A mediation is an informal hearing and
everyone tries to come up with a mutual agreement of what the sanction will be.
If both parties do not come to an agreement in mediation it goes to a formal
hearing which is a judicial board hearing where the sanction will be decided.
➢ The new bylaw revision states that “After each judicial hearing, public access to
results of hearing will be provided provided up to a three year period.”

This is only stating that it will be listed after a judicial hearing occurs
which is the last step in the process and the formal hearing. Sanctions
also have to be given at this step for it to be listed on the website.
A few examples found on websites of other Greek Communities.
■ The first example is from Mizzou - this is too much information and
unnecessary for us to give out.
■ The second example is from Arizona State University - this is also too
detailed of information.
■ The third example is from Iowa State University - this is kind of what we
are more so looking at.
■ The final example is from Clemson University - this is more so of what it
would look like on our website. At the end where it says judicial violations
and they state yes or no we would actually state what the violation was as
to not cause questions to arise.
● We would not include any information about what chapter
individuals were involved, but just the chapter and the sanctions
decided with when they were found accountable and how long
they are on probation for.

■ We have only had 3 incidents in the last 8 years and one of those
incidents involved all 4 chapters on the panhellenic side.
Point of Clarification: President (Brianna Werner): Sanctions are only posted if
you are found accountable.
Alpha Sigma Alpha Delegate (Mikaela Bordewick): Is the bylaw staying as it was
previously stated or is more information being added for the bylaws.
■ Vice President of Conduct Review (Briona Thomson): As of now, it is
staying as is unless you as delegates choose you want more information
added to clarify some items in the bylaws.
Sigma Sigma Sigma Delegate (Haylee Sieben): In mediation, the chapters
involved decide what the sanctions are; but if it goes to a judicial board hearing
than the delegates are apart of deciding the sanctions? Is that correct?

Alpha Chi Omega Delegate (Kacey Slattery): I move to table this until next week
to give my chapter clarification and to make sure they now feel comfortable with
this. Second by Gamma Phi Beta Delegate (Tiffany Maunu).

➢ We extended three bids last week and pinned those girls in at meeting on
Sunday.

➢ One last reminder that Sloppy Joes with A-Chi-O’s is this Saturday from 1:00pm4:00pm at the College Town Clubhouse.
■ If you do not have your ticket yet, I have some otherwise there is still time
to get one from another Alpha Chi.
❖ Gamma Phi Beta
➢ This weekend we are sending our entire executive board to our regional leader
conference.
➢ We pinned in our four new members this past week.
➢ We had a ton of fun last week participating in our annual Crescent Week with the
Lambda Chi Alpha Fraternity.
❖ Sigma Sigma Sigma
➢ We had a really fun social with Lambda Chi Alpha eating ice cream and playing
charades. We were surprised how many of us we could fit in the house.
➢ We have a sisterhood going on right now doing facials with a Mary Kay
consultant.
