Unfinished Business: ❖ Recruitment Rules ➢ President (Brianna Werner) entertained a motion to discuss the recruitment rules for 2015. So moved by Sigma Sigma Sigma Delegate (Haylee Sieben). Second by Alpha Sigma Alpha Delegate (Mikaela Bordewick). ➢ Sigma Sigma Sigma Delegate (Haylee Sieben): Section 4B. Strike August 27th and insert August 26th - This way the no drinking period starts before the All Sorority Social as well. ➢ Sigma Sigma Sigma Delegate (Haylee Sieben): Strike Section 4C. This section is already in the green book so it is not necessary to have it in the recruitment rulebook. ➢ Sigma Sigma Sigma Delegate (Haylee Sieben): Section 9. Move to the chapter section of the recruitment rules not the general rules section since it just pertains to the chapters. ➢ Sigma Sigma Sigma Delegate (Haylee Sieben): Section 10. Reword it so it is a proposal not a detailed plan and process since the applications are sent out before the rules may be passed. ➢ Sigma Sigma Sigma Delegate (Haylee Sieben): Section 11. I would strike three and insert one applicant. ■ John Bulcock: Are you indicating then that there is only one applicant from the chapter that they are automatically chosen then? ■ President (Brianna Werner): NPC wants us to have an equal amount of fairness for the chapters to have a representative on the Panhellenic Recruitment team so we would need to require at least one applicant from each chapter in order to have each chapter represented. This does not include the Head Recruitment Counselors. ■ Vice President of Recruitment (Molly Polzin): Purpose of making it three is that then there are at least 12 applicants to choose from. ■ Sigma Sigma Sigma Delegate (Haylee Sieben): I would keep it at three then and clarify that it is to allow a proper pool of applicants. ➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): Section 12. I would clarify in twelve that having a minimum of one counselor chosen from each chapter is so that each chapter can be represented on the Pi Rho Chi. ➢ Sigma Sigma Sigma Delegate (Haylee Sieben): I move to vote on the area pertaining to the selection of recruitment counselors alone since Pi Rho Chi interviews are on Sunday. I would like to add to this section about social media use in regards to chapters.. ■ Vice President of Council Management (Nikki Kramer): At AFLV other chapters were surprised that the entire chapters deactivated their social media and it is not just the Pi Rho Chis that do so. They use social media to market and look up information on the PNMs. They just cannot friend them on social media or private message them. ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I am concerned about potential new members seeing which chapter the pi rho chis are apart of by going through social media. ■ ■ ■ ■ ■ ■ ■ ■ ■ ■ ■ ■ Sigma Sigma Sigma Delegate (Haylee Sieben): If they are really interested they are gonna find out regardless if the chapters deactivate their social media or not. Alpha Chi Omega (Kacey Slattery): Maybe this section should be tabled until next week so we can discuss with our chapters what we want added to this section. John Bulcock: As i do not disagree with you, I think that this group should come up with some proposals to give your chapters options of what they would like to see in this section. Graduate Assistant (Sarah Schliesmann): If the chapters do not deactivate their pages they would just become a regular facebook page with nothing greek unless it is go greek. What needs to get figured out is how are you going to monitor it. You could select a member or members from the chapter such as the recruitment chair to monitor your chapter’s activity. Vice President of Recruitment (Molly Polzin): We could just change the chapter deactivation period from Sunday night to Wednesday night since during Formal Recruitment there is not any time for social media anyway. John Bulcock: An individual’s cover photo could be a photo of their sorority or something promoting their chapter’s philanthropy as long as it is factual information. President (Brianna Werner): The chapters could maximize social media. It gives an opportunity for chapters to put a name to the face and for the potential new members to do the same. Vice President of Recruitment (Molly Polzin) Maybe giving executive members in the chapters the opportunity to have facebook during the recruitment time could be an option. President (Brianna Werner): During the recruitment weekend the chapter facebook page could still be open and the chapter members page deactivated. The chapter members could post on the chapter facebook page. Alpha Sigma Alpha Delegate (Mikaela Bordewick): I agree; we are just still worried about the monitoring aspect. President (Brianna Werner): Just remember that when everyone deactivates the Vice President of Recruitment has to monitor the 250 Panhellenic social media pages where if the chapters were able to have social media each chapter would just be in charge of monitoring around your 60 members. Alpha Chi Omega (Kacey Slattery): I move to make the following additions to section 28. ● a) keep as is (everyone deactivates including chapter pages) ● b) chapter page active and member pages deactivated from Wednesday at midnight through bid day (active members can have access to the login info of chapter pages) ● c) allow everyone to keep facebook active, only promote go greek, executive member monitors all chapter members’ pages ■ ➢ ➢ ➢ ➢ ➢ John Bulcock: This is a great conversation for the community to have. This is not just talking about a community in general but a community of trust. ■ Sigma Sigma Sigma Delegate (Haylee Sieben): Shelby made a good point that even going through recruitment you do not have a lot of time to go through social media so the potential new members probably will not creep as much as we are worried about. ■ Gamma Phi Beta Delegate (Tiffany Maunu): It would be a great idea to all have our social media open and have that trust between all of us. It is a great marketing tool. Obviously I think we should table this until next week to bring back to our chapters. ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I am really concerned about the monitoring because there is no way to know if someone is private messaging a new member; it may be a good marketing aspect but i am just hesitate about promise bidding. ■ Gamma Phi Beta Delegate (Tiffany Maunu): This would just go with the whole trust aspect and accountability among us. Sigma Sigma Sigma Delegate (Haylee Sieben): Section 29: add “or Chapter Recruitment Delegate” Alpha Chi Omega Delegate (Kacey Slattery): Section 36: My chapter felt that the distance and time was not significant enough. ■ Gamma Phi Beta Delegate (Tiffany Maunu): Molly could you clarify of why you changed the distance from 10 min and 5 mile radius? ■ Vice President of Recruitment (Molly Polzin): There were problems last year of having enough people to drive potential new members to preference parties in the time allotted. We could change it back to that time but we would need to begin the Preference Parties earlier. ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): Strike 8 min drive and 3 mile radius and insert 5 mile radius. SIgma Sigma Sigma Jr. Delegate (Rachael Grooms): Section 42: strike as it is also in the green book Vice President of Recruitment (Molly Polzin): Section 44: striking the date and changing it to the following Monday. (August 10, 2015) ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): Strike Section 44 and just add to Section 43 that the exact date is up to the discretion of the Panhellenic Recruitment Team. ■ Section 43: Strike the date and add that the deactivation period is up to the discretion of the Panhellenic Recruitment Team. Alpha Chi Omega (Kacey Slattery): Is section 56 the portion where we are now not having the chapters receive the infraction if a pi rho chi receives an infraction but that individual receives them? ■ Vice President of Council Management (Nikki Kramer): Yes that is not listed in the recruitment rules that is part of the greek awards criteria in the recruitment section. ■ Gamma Phi Beta Delegate (Tiffany Maunu): So in the past the presidents negotiated the infraction amount and there was not a set price for an infraction. ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): If I cannot go to my tabling but I find another pi rho chi to cover for me do I still receive that fifteen dollar infraction fine? ● Vice President of Recruitment (Molly Polzin): It depends on the situation and why you were not able to make it to your tabling. ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): Add that when the 3 strike system will not be used it will result in the immediate removal from the Panhellenic Recruitment Team. ➢ Gamma Phi Beta Delegate (Tiffany Maunu): I move to table all of the proposed changes to bring this back to our chapters for another week. Second by Alpha Sigma Alpha Delegate (Mikaela Bordewick). ■ Motion passed with a 4-0 vote. ❖ Bylaw Revisions ➢ Gamma Phi Beta Delegate (Tiffany Maunu): I move to open the floor for discussion about the bylaw revisions. Second by Alpha Sigma Alpha Delegate (Mikaela Bordewick). ■ Gamma Phi Beta Delegate (Tiffany Maunu): My chapter wants to know who would be viewing the judicial hearing in Section IV Point I. ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): My chapter deals with things internally and the standards discussions are not public information and should not be. ■ Graduate Assistant (Sarah Schliesmann): I would like to make sure that you are aware that it states that it is after a judicial hearing which means the issue needs to be extremely serious. ■ Alpha Chi Omega (Kacey Slattery): Correct me if I am wrong but this is more of a transparency thing so that Greek Life does not hide anything. ➢ Gamma Phi Beta Delegate (Tiffany Maunu): I move to table the bylaw revisions until we figure out what is exactly going to be done about the judicial hearings. Second by Alpha Sigma Alpha Delegate (Mikaela Bordewick). ■ Motion passed with a 4-0 vote. ❖ 2015 Greek Awards Criteria ➢ President (Brianna Werner): I entertain a motion to discuss the 2015 Greek Awards Criteria. Alpha Sigma Alpha Delegate (Mikaela Bordewick): So moved. Gamma Phi Beta Delegate (Tiffany Maunu): Second. ➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I thought it looked really good. I do not think any changes need to be done. ➢ Gamma Phi Beta Delegate (Tiffany Maunu): We agreed. We thought it looked really positive. ➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I move to pass the 2015 Greek Awards Criteria. Alpha Chi Omega Delegate (Kacey Slattery): Second. ■ Motion passed with a 4-0 vote. ❖ Order of Omega Day of Service Event in April ➢ President (Brianna Werner): I entertain a motion to discuss the Order of Omega Day of Service. Alpha Sigma Alpha Delegate (Mikaela Bordewick): So moved. Gamma Phi Beta Delegate (Tiffany Maunu): Second ■ Alpha Sigma Alpha Delegate (Mikaela Bordewick): Our chapter thinks that we could do both the clothing drive and pop tabs. ■ ■ ■ ■ ■ ■ Gamma Phi Beta Delegate (Tiffany Maunu): Our chapter thinks that the clothing drive would be the best option. Vice President of Council Management (Nikki Kramer): The three options were Order of Omega sponsoring the clothing drive, hosting a pop tab drive for Ronald McDonald, or doing an Armed Service Project. Alpha Chi Omega Delegate (Kacey Slattery): Our chapter thinks that the pop tabs would not raise that much so we prefer to just do the clothing drive. Gamma Phi Beta Delegate (Tiffany Maunu): I move to power rank pop tabs as option 1 and clothing drive as option 2. Second by Alpha Sigma Alpha Delegate (Mikaela Bordewick). Alpha Chi Omega Delegate (Kacey Slattery): Can we add option 3 to be both options? ● Everyone agreed. The motion results are that PHC would like Order of Omega to sponsor the clothing drive and do the pop tabs for Ronald McDonald. New Business: ❖ Reallocation of Funds for Vice President of Risk Management ➢ Vice President of Risk Management (Hanna Peterson): I would like to take $20 from the funds for National Eating Disorder Weeks which is coming up February 22- February 28 to do an operation beautiful project. ➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I move to table this until next week so we can talk to our chapters. No second. ■ Motion failed. ➢ Sigma Sigma Sigma Jr. Delegate (Rachael Grooms): I think that it is only $20 and it is for a great cause so I do not see why we could not give her that reallocation. She would just be not spending some of her money on the other awareness weeks and there is usually a little left over money anyway. ➢ Alpha Sigma Alpha Delegate (Mikaela Bordewick): I move to reallocate $20 from the Risk Management awareness week budget to do the operation beautiful project. Second by Sigma Sigma Sigma Jr. Delegate (Rachael Grooms). ■ Motion passes with a 4-0. ❖ Allocation of Funds for Vice President of Member Education and Development ➢ President (Brianna Werner) I entertain a motion to open the floor for discussion on allocated funds to the Vice President of Member Education and Development’s Budget. Second by Alpha Chi Omega Delegate (Kacey Slattery). ➢ Vice President of Member Education and Development (Kammie Beyer): I am asking for an allocation of $70 for Fraternal Values Society so I can be initiated since I have to facilitate this program as well as be initiated. This was not put into the budget and so I would individually have to pay for this even though it is a recruitment of my position. ➢ No discussion. ➢ Alpha Chi Omega Delegate (Kacey Slattery): I move to allocate these funds.
